Check that you are using the right work account, understand the applicable data protections and connected-tool terms, and verify AI-generated work before relying on or sharing it.
Start with your employer’s rules
Find your organization’s current approved-tool list and its AI-use or data-classification policy before putting work material into a prompt. A familiar chatbot or personal account is not automatically approved for company use. Microsoft’s employee guidance likewise tells workers to follow their organization’s AI policies and use company-authorized services: Safety tips for using AI at work.

If the rules do not clearly cover the service, feature, or type of information you intend to use, ask your IT, security, privacy, or legal team—or the policy owner—before proceeding. Vendor documentation can describe a product’s protections, but it cannot determine what your employer permits.

Check the account and exact service
Approval applies to the service and configuration your organization has authorized, not to every product with a similar name. Confirm that you are signed into the organization-managed account and using the approved feature. For example, Microsoft’s statement that Copilot Chat provides enterprise data protection applies to the described experience when users sign in with a work or school account; it is not a general assurance about every chatbot or account. Keep restricted information out unless policy permits it
Microsoft advises: “Avoid disclosing sensitive or confidential company details, including personal information about employees or vendors, to AI services.” Follow that rule unless your organization explicitly authorizes the specific data category for the specific service.
Potentially sensitive examples include passwords and credentials, customer records, employee details, unreleased financial information, contracts, and source code. This is a practical set of examples, not an exhaustive list from Microsoft’s guidance. When in doubt, treat the material as restricted and ask before using it.

Minimize what you share
When policy allows the task, use public information or remove details that are not needed. Do not assume that deleting a name makes a dataset anonymous: an organization’s rules should define what counts as sufficiently de-identified and safe to use. If those rules are absent or unclear, do not submit the material until the policy owner clarifies them.

“Enterprise” or “work” branding alone does not tell you every relevant data-handling detail. Protections and settings can depend on the product, subscription, tenant configuration, and feature. Microsoft’s documentation describes encryption, tenant isolation, identity and permission controls, sensitivity labels, retention policies, and audit support, while noting that some controls vary by subscription. Review the documentation for the exact service and confirm tenant-specific settings with your administrator: Enterprise data protection in Microsoft Copilot and Microsoft Copilot Chat and Data, Privacy, and Security for Microsoft Copilot.

For your organization’s approved configuration, find out:
- Whether prompts or responses may be used to train models.
- What is retained, for how long, and what activity is logged.
- Who can access or audit that activity.
- How identity permissions, sensitivity labels, and retention rules apply to the service.
- Which contract, subscription, and tenant settings govern your account.
Do not infer an answer from another provider’s terms or from a different account type. If documentation does not make the applicable settings clear, ask your administrator or policy owner.

Review agents and connected tools separately
An agent or connected service may have its own privacy statement and terms for handling organizational data. Microsoft directs users to review those terms rather than assuming the protections for the main product automatically cover every connected tool. Check the agent’s data practices and your employer’s approval before connecting it to work information.

AI can make mistakes. Verify facts and suitability before copying generated text into email, code, documents, or decisions, as Microsoft’s workplace guidance recommends. Also check that the output does not reveal confidential information or include material that is not cleared for its intended audience; a generated response is not automatically approved for disclosure.

A quick decision sequence
- Check policy: Find the current approved-tool list and rules for the data category. If unclear, ask the policy owner before entering work material.
- Check service and account: Confirm the exact feature is approved and that you are signed into the organization-managed account covered by that approval.
- Minimize input: Use only the information needed, and keep restricted company or personal data out unless policy explicitly permits it.
- Check protections: Verify applicable training, retention, logging, access, audit, and contractual terms for your service and tenant.
- Check connections: Review separate terms and approval for agents or connected tools.
- Review results: Verify accuracy and disclosure suitability before using or sharing the output.
