How to Upgrade NotebookLM with Gemini Notebook: Plans, Limits, and Workflow

Gemini Notebook expands Google’s notebook workflow without requiring you to leave NotebookLM. Compare account eligibility, published quotas, source limits, privacy terms, and upgrade routes.

You do not need to replace NotebookLM to use Gemini Notebook. Google describes notebooks as shared across Gemini and NotebookLM: sources added in one can appear in the other, so you can use features from both apps. To get higher notebook quotas or organization-level controls, choose an eligible Google AI, Workspace, or Google Cloud route based on your account and needs—not simply the highest tier.

What “upgrading” NotebookLM means now

Google’s current help materials call the feature Gemini Notebook, while some product announcements and capabilities still use the NotebookLM name. Google’s April 8, 2026 announcement described notebooks as “personal knowledge bases shared across Google products, starting in Gemini.” That means this is best understood as an expanded, connected notebook workflow, not a requirement to abandon NotebookLM or pay to keep using it. Google’s announcement explains the cross-app idea.

Google lists Standard, Plus, Pro, and Ultra access for Gemini Notebook. Routes include Google AI Plus, Pro, or Ultra plans; qualifying Google Workspace or Workspace for Education licenses; and eligible Google Cloud enterprise plans. The right path depends first on whether you use a personal account or a managed work or school account. Google’s plan and access guide is the live reference for eligibility and quotas; it says limits are subject to change.

Compare the published notebook limits before paying

The figures below are Google’s consumer-facing limits shown on its plan page when checked October 3, 2026. They are product quotas, not a benchmark of answer quality, and Google may change them. Ultra is listed in two storage variants; the storage label distinguishes those columns.

Use the table to identify a specific bottleneck: source capacity for large collections, daily chat volume for repeated analysis, or artifact and Deep Research limits for frequent reports and study materials. A higher quota does not establish that a plan will produce proportionally better research. Choose the upgrade route for your account

Personal Google Account

Gemini app notebooks currently require an adult personal Google Account. If you need higher consumer quotas, compare the eligible Google AI Plus, Pro, and Ultra plans against your actual usage in Google’s plan guide. The help page does not establish a single universal upgrade path for every account or region, so confirm the offer and eligibility shown for your own account rather than relying on a remembered price or rollout announcement.

Work or school account

Workspace notebook access is separate from the Gemini app’s personal-account notebook feature. Google says most work or school users have access, but the available limits and data handling depend on the Workspace license; an organization may need an eligible plan to expand access. Ask your Workspace administrator which license and notebook access apply to your account. Google’s plan guide and Gemini Apps notebook help describe the distinct account paths.

Enterprise governance

For managed deployments requiring enterprise controls, Google documents Gemini Notebook for Enterprise access through an administrator-provided eligible Gemini Notebook for Enterprise or Gemini Enterprise license. Google Cloud documentation describes enterprise-grade protection, data regionalization, files remaining in the GCP project, and controls including IAM and VPC Service Controls. Build a source-grounded research workflow

A notebook is most useful when its conclusions can be checked against the material it contains. Gemini Notebook and NotebookLM support importing source material and asking questions grounded in those sources; research features can also help discover material to add. Google’s source guidance lists documents and media including copied text, audio, Google Docs, Slides and Sheets, images, Word files, text and Markdown, PDFs, CSV, PowerPoint, eligible Play Books titles, ePub, public YouTube videos with captions, and Gemini chats in relevant workflows. Availability depends on source type, account, and app. Check Google’s current source instructions before planning around a particular file type.

Import deliberately and check what arrived

  • Google’s source help describes uploads up to 200 MB or 500,000 words per source. Its guide says free users can include up to 50 sources, while the plan matrix lists larger source counts for eligible tiers. Check the active account’s quota before splitting or moving a collection.
  • A web URL import extracts webpage text; it does not bring in images, embedded video, or nested pages. Paywalled webpages are unsupported. A URL pointing to a PDF is treated as a PDF source.
  • YouTube imports require a public video with captions, either uploaded or auto-generated. If a key claim is spoken but absent from captions, do not assume the notebook has that content.
  • Google Drive sources require view access. Drive files auto-update and sync every few minutes; changes are reflected when the notebook opens, and manual sync is also available. Google files’ comments and footnotes are not imported.
  • If a Drive file is deleted or your access is removed, its source becomes inaccessible. It still counts toward the source limit but is not referenced in chats or Studio generation. Gemini Notebook cannot edit or delete the original Drive file.

Before asking for synthesis, inspect the notebook’s source panel and confirm the intended files and relevant content are present. This catches import gaps—such as inaccessible Drive files or missing webpage media—before they affect the analysis.

Use discovery when the notebook does not yet contain enough evidence

Fast Research searches the web or accessible Drive content, returns results with descriptions and links, and lets you select sources to import. Deep Research can browse many websites and prepare a multi-page report with a source list; you can inspect the results and choose what to import. Google says Deep Research may take a couple of minutes, is limited to users over 18, and is subject to account limits. Treat the generated report as a source-discovery aid: inspect its cited material and add the sources you want the notebook to use. Some features may be limited on mobile. Use Gemini and NotebookLM together without losing project context

Gemini app notebooks provide a project-specific space for sources and chats, with source material and changes syncing with NotebookLM. The Gemini connected app can help create or manage notebooks and sources using @Gemini Notebook; Google says changes sync automatically. NotebookLM also offers formats such as Video Overviews and infographics, as described in Google’s product announcement. The practical advantage is using the surface that has the feature you need while keeping notebook material connected—not assuming every tool appears identically in every app.

Some connected-app functions require Keep Activity. Google says autosaving chats, remembering past chats, adding existing chats, Drive source access, and study or business notebooks are unavailable when Keep Activity is off. The exact notebook and source features also vary by web, mobile, Mac, and enterprise surface. Study notebooks currently work at gemini.google.com but not in the Gemini app on Mac, according to Google’s help page. In the European Economic Area, the Gemini Notebook connected app must be connected manually. Review current Gemini Apps notebook availability and requirements.

Understand the privacy terms for your account type

Do not treat the consumer, Workspace, and Cloud statements as one blanket privacy promise.

  • Consumer Gemini Notebook: Google says data is not used to train Gemini Notebook unless you provide feedback. If you submit feedback, Google may review the full interaction context. Read the terms for the account and feature you use in Google’s plan help.
  • Workspace and Workspace for Education: Google says uploads, queries, and model responses are not reviewed by human reviewers and are not used to train AI models. The applicable license and organization policies still determine access.
  • Google Cloud enterprise: Google describes enterprise-grade protections and says files remain in the GCP project, data regionalization is honored, and files, chats, and outputs are not reviewed by human reviewers or used to improve generative AI models. A practical way to decide whether to upgrade

  1. Identify the account and surface. Determine whether the notebook is under a personal Google Account, Workspace or Education account, or an administrator-managed Cloud enterprise route. Confirm that Gemini app notebooks are available for your account and region.
  2. Measure your current bottleneck. Count the sources needed for a typical project and note how often you use chats, Audio or Video Overviews, reports, study artifacts, and Deep Research. Compare those needs with the published quota table.
  3. Check workflow prerequisites. Confirm source types, Drive permissions, Keep Activity requirements, and whether your device or app supports the feature you need.
  4. Match the tier to the bottleneck. Choose a personal plan if the issue is an individual quota; ask an administrator about Workspace access or Cloud controls when the need is managed sharing, IAM, VPC-SC, or organizational data handling.
  5. Recheck current terms before changing plans. Google’s plan limits and feature availability can change, and launch dates are not current eligibility rules. Use the linked help pages for the offer, quota, and account terms currently displayed.
