How to understand variable pay, bonuses and salary deductions on your payslip

Learn how to reconcile gross pay, variable hours, bonuses and every deduction on a UK payslip, with 2026–27 National Insurance and student-loan figures and a step-by-step troubleshooting checklist.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To read a UK payslip, work in this order: confirm the pay period and payday, check that basic and variable earnings add up to gross pay, identify every deduction, then compare net pay with the amount deposited. Gross pay is before deductions; net pay is what remains. The labels and layout differ between employers, but this underlying sequence does not.

This guide uses UK rules and 2026–27 figures where stated. If you are paid elsewhere, use your country’s payroll and employment guidance instead.

What a payslip tells you

A payslip is a record of how an employer turned your agreed pay into the amount paid to you. In the UK it can also serve as evidence of earnings, tax paid and pension contributions. Keep each statement with your employment records, particularly when applying for credit, checking a tax position or resolving a payroll dispute.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start by locating the pay date and the period covered. A monthly statement might be issued on 30 April for work calculated to a particular cutoff date; a weekly statement may cover a named week. Do not assume that the payday is the same as the final day included in the calculation. Payslips should be provided on or before payday in the UK.

The exact headings vary. One employer may call a payment “basic pay”, another “salary”; overtime may be listed by rate, by hours, or under a local code. Read the figures by function rather than by label:

  • Earnings: the items that make up gross pay.
  • Deductions: amounts taken from those earnings under payroll, pension or other arrangements.
  • Net pay: the amount left after the deductions shown on that statement.

Gross pay: build the figure from its components

Gross pay is your pay before deductions. Re-add the individual earnings lines and compare the total with the gross figure. This is the quickest way to detect a missing shift, an incorrect rate or a bonus that has been placed in the wrong period.

Basic salary or ordinary wages

For a salaried employee, basic pay is normally the agreed salary allocated to that pay period. For an hourly or variable-hours worker, ordinary wages depend on the hours and rates recorded for the period. Check the statement against the employment agreement and the timesheet, rota or other approved record.

Hours-based pay and the variable-hours rule

Where pay varies according to time worked, UK payslips must show the hours worked. The detailed 2019 guidance explains that this hours requirement is distinct from the separate calculation of hours for National Minimum Wage purposes. The payslip’s hours should therefore be compared with the employer’s time record, not treated as a substitute for the statutory minimum-wage calculation.

Check each of these together:

  • the period in which the hours were worked;
  • the number of ordinary, overtime, night or other separately paid hours;
  • the rate attached to each category; and
  • the resulting amount on the earnings line.

If your rota says 42 hours and the payslip shows 36, ask whether six hours were moved to the next payroll cutoff, rejected from the timesheet or omitted. Obtain the answer before assuming the hourly rate is wrong.

Overtime, commission and other variable additions

Variable pay can include overtime, commission and a bonus. The employer’s arrangement determines the name, timing and calculation. A commission may be based on sales approved in an earlier period; overtime may be paid one period in arrears. Compare the payslip with the written terms and the record used to approve the payment.

Do not expect every employer to display the same detail. What matters is that you can identify what was paid, the period or event it relates to, and the basis used to calculate it. Ask payroll for a coding explanation if an item appears under an abbreviation you cannot match to your agreement.

Cash bonuses

A cash bonus is earnings for payroll purposes. HM Revenue & Customs states: “The bonus you’ve paid counts as earnings, so:” Employers add the cash bonus to other earnings and deduct PAYE income tax and Class 1 National Insurance through payroll.

This does not mean that every bonus is taxed at one special flat rate, or that you can determine the final net bonus from the bonus amount alone. The payroll result depends on the employee’s other pay, tax code, National Insurance category and circumstances in that pay period. A non-cash award can follow different rules, so do not automatically apply the cash-bonus treatment to vouchers, goods or other benefits.

How to check variable pay against your records

  1. Mark the covered period. Write down the start and end dates printed on the payslip and the payday.
  2. Gather source records. Use the approved rota, timesheet, commission statement, bonus letter or other document that sets out the payment.
  3. Match hours and rates. Multiply each paid category by the agreed rate, allowing for any documented cutoff or arrears arrangement.
  4. Check the terms. Confirm whether a bonus or commission is discretionary, conditional, prorated, or paid after approval. The payslip cannot by itself prove that the underlying target or eligibility calculation was correct.
  5. Re-add the earnings lines. The components should equal the gross-pay figure before deductions.

Keep a note of any item that is intentionally delayed to a later period. A timing difference is not necessarily an underpayment, but payroll should be able to explain it and tell you when the balance will appear.

Deductions: identify what was taken and why

Deductions are not another form of earnings. They reduce gross pay to produce net pay. Income tax and National Insurance are common, but the list can also include student or postgraduate loan repayments, employee pension contributions, Payroll Giving and child maintenance, depending on your circumstances and workplace arrangements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Each deduction should have a recognizable name or code and an applicable basis. UK guidance identifies several possible grounds: a legal requirement, a written agreement with the worker, or authorization in the employment contract. There are exceptions to the normal protection against deductions reducing pay below the National Minimum Wage, so legality depends on the facts and the type of deduction. If you do not recognize an item, ask payroll what authority and calculation they used rather than guessing.

PAYE income tax

PAYE is the income-tax amount your employer sends to HMRC through payroll. The amount is calculated using the pay in that period and your tax code, along with payroll information such as year-to-date pay. A tax-code change can make the deduction rise or fall even when your basic salary has not changed.

If the tax looks wrong, check the tax code shown or used by payroll against the code in your HMRC record and ask the employer to confirm which code was applied. Do not infer an error solely from the fact that a bonus month has more tax: the bonus increases taxable earnings in that period, and the final result depends on your full circumstances.

Employee National Insurance

Class 1 National Insurance is calculated using your earnings and National Insurance category. For most employees in the 2026–27 tax year, HM Revenue & Customs lists these main rates:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Pay frequency Employee rate stated for the band Band
Weekly 8% £242 to £967 a week
Weekly 2% Above £967 a week
Monthly 8% £1,048 to £4,189 a month
Monthly 2% Above £4,189 a month

These are date-sensitive examples for most employees, not a promise about every category or future tax year. Confirm the applicable rates, thresholds and your category for the year covered by the payslip. A cash bonus can push pay into a band in the period it is paid, which is one reason the National Insurance line may be higher than usual.

Pension contributions

Distinguish an employee pension contribution from an employer contribution. Only the employee amount shown as a deduction reduces your take-home pay. An employer contribution is a separate employer-side payment, even if both figures appear in a pension section.

HMRC notes that pension contributions are normally taken after National Insurance and before tax, but workplace arrangements differ. Salary sacrifice and other schemes can change how the lines appear. Check the wording on your payslip and, when necessary, ask the workplace pension provider whether the figure is an employee contribution, an employer contribution or a different adjustment.

Student and postgraduate loan repayments

Loan deductions are plan-specific. The current payroll guidance gives these annual thresholds and rates:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Plan Repayment rate Annual income threshold
Plan 1 9% Above £26,900
Plan 2 9% Above £29,385
Plan 4 9% Above £33,795
Plan 5 9% Above £25,000
Postgraduate loan 6% Above £21,000

These thresholds and rules can change and are applied according to the worker’s plan. If a repayment appears unexpectedly, verify the plan held by payroll and compare it with your repayment notice or account. A change in earnings can trigger a deduction without any change to your basic salary, especially when overtime or a bonus is included.

Payroll Giving, child maintenance and other items

Payroll Giving and child-maintenance deductions may be legitimate but are not universal. Other workplace deductions can arise from a written agreement or contract. The important check is that the item is identifiable, the amount can be explained, and the employer can point to the legal, written or contractual basis for taking it.

Net pay: reconcile the final amount

Net pay is the amount after the deductions listed on the statement. Compare it with the payment that reached your bank account, allowing for the employer’s payment date and any separate payment run. If the bank amount differs, check whether a separate adjustment, advance or correction was paid outside the main payroll.

Do not subtract an employer pension contribution from your take-home pay unless the payslip also shows an employee contribution. Likewise, do not treat a cash bonus as a separate payment that escapes ordinary payroll: it is included in earnings and the related PAYE and National Insurance are reflected in the deductions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why take-home pay changes

A changed net amount can have several different causes. Compare the following axes rather than focusing on one line:

  • Pay period: a longer or shorter cutoff, arrears or a correction can move pay between statements.
  • Gross components and hours: overtime, commission, a bonus, unpaid time or a rate change alters gross pay.
  • Tax code: a new or corrected code changes PAYE.
  • National Insurance category and earnings band: both the category and the level of pay affect employee National Insurance.
  • Student-loan plan and threshold: the applicable plan determines whether and how much is withheld.
  • Employee pension arrangement: contribution percentage, salary sacrifice or a scheme change can alter deductions.

Two statements with the same basic salary can therefore produce different net pay. A bonus month, for example, may show higher gross pay, PAYE, National Insurance and possibly loan repayment at the same time.

A practical check for an unexpected deduction

  1. Confirm the statement. Make sure it is for the expected payday and covers the period in question.
  2. Rebuild gross pay. Add basic pay, hours-based earnings, overtime, commission and bonus lines. Match hours and rates to your records and the employment agreement.
  3. List every deduction. Copy the name, code and amount. Separate tax, National Insurance, pension, loan repayments and other items.
  4. Check employee details. Compare the tax code and National Insurance category used by payroll with your current HMRC and employment records. Verify any student-loan plan.
  5. Ask payroll for the calculation. Request the pay period, rate, basis and authority for an unfamiliar item. Ask whether a correction will appear in a later run.
  6. Use the right escalation. For a possible tax-code problem, follow the official tax-check process. For an unauthorized or disputed deduction, review the contract and seek appropriate employment advice.
  7. Preserve evidence. Keep the payslip, relevant timesheets and correspondence. Compare year-to-date totals and, where relevant, the P60.

A payslip is evidence, not a complete explanation of every employment decision. Payroll can explain how an amount was processed; the contract, bonus terms, approved hours and loan or pension records may be needed to decide whether the underlying amount was due.

Common reading mistakes to avoid

Assuming every employer uses the same labels

“Gross”, “taxable pay”, “total earnings” and “net” may be presented in different positions or with local abbreviations. Focus on what each figure represents and ask for a legend when a code is unclear.

Assuming a bonus has a special flat tax rate

HMRC’s rule for a cash bonus is that it counts as earnings and is processed through PAYE and Class 1 National Insurance. The payslip does not establish a universal bonus percentage or an individual final tax bill.

Treating a timing difference as a missing payment

Payroll cutoffs can place approved overtime or commission on the following statement. Check the covered period and obtain a written explanation before escalating.

Confusing employer and employee pension amounts

An employer contribution is not money removed from your bank payment. Look for the employee-contribution line when reconciling net pay.

Using an old threshold

National Insurance and student-loan thresholds are date-sensitive. The figures in this guide are explicitly for the 2026–27 examples stated above; use current official guidance for another tax year.

When to ask for help

Contact your employer or payroll team when an item is unexplained, a variable-hours total does not match your records, a bonus is missing or a deduction lacks an obvious basis. Give them the payslip date, the line name and the supporting record so they can trace the payroll run.

For tax-code questions, use HMRC’s official checking guidance. For a disputed deduction, examine the written contract and seek advice from an appropriate employment-advice service. The lawful answer can depend on the full facts, including the type of payment, the authorization and the effect on minimum-wage pay.

Keeping a useful payslip record

Save the original electronic or paper statement and note the payday. Keep timesheets, rotas, commission approvals, bonus letters and pension or loan notices alongside it. Year-to-date figures help reveal cumulative changes, while the P60 provides an end-of-tax-year record to compare with the year’s payslips.

With that record, you can explain a change rather than merely observe it: identify the period, rebuild gross pay, identify each deduction, verify the payroll settings and ask a focused question when something still does not reconcile.
