You can evaluate a new AI model without sending it confidential information: start with synthetic or public examples, and send real data only after confirming that the exact service, account, and endpoint are approved to handle it. “Not used for training” does not necessarily mean “not stored,” and running a model locally does not automatically protect files or credentials the surrounding app can access.
Start with a test that does not need private data
First decide what you want to evaluate—such as instruction following, tone, code explanation, or summarization. Build a small test using fictional names and synthetic details, or use material that is already public. This often tells you whether a model suits the task without exposing anyone’s information.

If representative data is essential, reduce it to the minimum needed. Remove direct identifiers and confidential details, then consider whether the remaining combination of facts could still identify a person or reveal protected information. Removing names is risk reduction, not proof that a dataset is anonymous. AWS recommends anonymization and synthetic data in regulated settings: Security considerations for data in generative AI.

Access to a model is not permission to submit every dataset to it. For work or regulated information, ask the data owner or the responsible IT, privacy, or security contact whether the specific product, account or tenant, model endpoint, and intended use are approved. The U.S. Department of Energy’s GEAR guidance makes this distinction explicitly: approval to access a model or agent does not mean every project dataset may be sent to it (AI Security and Safety).

Check the applicable handling terms and settings before sending anything sensitive. Ask separately about training use, retention, deletion, human or administrator access, and any agreement or endpoint-specific restrictions. The UK Government’s public-sector guidance says not to enter official information into public AI applications or APIs unless it is already public or cleared for publication, and warns users not to assume defaults are secure (Artificial Intelligence Playbook for the UK Government). That guidance is for UK public-sector information; apply your own organization’s rules and relevant jurisdiction-specific requirements.
Check training, history, retention, and deletion separately
“Not used for training” answers only one question. A service may still keep chat history, temporary safety logs, memory or personalization data, or application state. Check how each applies to the particular product and account, how long data persists, how deletion works, and who can access the workspace. Settings vary by provider, product, endpoint, and organization.

ChatGPT settings
OpenAI’s Data controls in ChatGPT page, checked on October 7, 2026, says turning off “Improve the model for everyone” prevents new conversations from being used to train OpenAI models, but saved chats can remain in chat history. Temporary Chats do not appear in history, do not create or update memories, and are not used to improve OpenAI models; OpenAI says they may be retained for up to 30 days for safety purposes. The page treats memory controls and model-training controls separately. These statements describe ChatGPT, not other AI services.

OpenAI API settings and logs
OpenAI’s platform data controls documentation says API inputs and outputs are not used to train or improve models unless a customer explicitly opts in. Separately, abuse-monitoring logs may contain prompts, responses, and derived metadata, and are retained for up to 30 days by default. Modified Abuse Monitoring and Zero Data Retention require approval and have limitations; some features may still store application state. Check the current endpoint-specific details and customer terms before relying on an exception.

Keep credentials and unnecessary context out of prompts
Do not include passwords, API keys, tokens, certificates, or connection strings in prompts, notebooks, screenshots, agent instructions, test fixtures, committed configuration, or logs. Avoid adding personal or confidential details that are not needed to assess the model. DOE GEAR also advises restricting what a local development agent can read, including the parent process environment, home directory, credential files, and cloud metadata service (AI Security and Safety).
If you need records to reproduce a test, log only what is necessary. Redact prompts and data in those records, and apply appropriate access and retention controls to the logs themselves.

Local models still need boundaries
Running inference locally may avoid sending prompt text to a hosted model endpoint, but it does not make the whole setup automatically safe. The application may still connect to the network, send telemetry, use plug-ins or retrieval indexes, write logs, or invoke tools. Give the model only the files and permissions needed for the test, and check what the application can reach.

Model output also needs review. Privacy authorities identify risks including prompt injection, model inversion, and jailbreaks as matters requiring ongoing attention. Do not let an unreviewed model response trigger consequential actions. The Office of the Privacy Commissioner of Canada’s principles for responsible, trustworthy and privacy-protective generative AI provide broader privacy guidance; they do not decide whether a particular user may submit a particular dataset.

Compare options using the same questions
There is no universally safest setting established by the cited guidance. Compare the actual configuration you would use, rather than assuming that a familiar product category guarantees a particular level of protection.

For official information, regulated records, or other work data, follow the data owner’s rules and requirements in the relevant jurisdiction. Guidance from one government, privacy authority, or provider does not establish legal permission for a different organization or dataset. The Australian privacy authority’s cited guidance concerns developing and training generative AI models and says it does not address testing or deploying them; consult its separate guidance for commercially available AI products where relevant (OAIC guidance).
