Each fails at a different point. Trace the message through the relevant stage—routing, ticket events, or delivery—before changing settings. The Zendesk and Intercom steps below reflect their help guidance published or updated in 2026; other platforms may use different controls and defaults.
Start by identifying the missing message
Write down who expected to receive an email, which address they expected it at, what event should have triggered it, and how the ticket or conversation began. A missing agent alert is not the same problem as an inbound email that never became a ticket, or a customer reply that the help desk says it sent.

| What is missing? | Where the failure may be | First evidence to check |
|---|---|---|
| An email sent to the support address did not create or update a ticket. | Support-address routing, forwarding, spam suspension, or inbound processing. | Whether the message reached the configured support address and whether it appears in the suspended-ticket queue. |
| An agent did not get an alert about a ticket or conversation. | Notification rules, trigger status, recipient settings, or email delivery. | The ticket or conversation event log and the relevant notification rule. |
| A customer did not receive a reply or automatic notification. | Whether the platform attempted a send, the recipient address, delivery failures, or recipient-side filtering. | The event or delivery record beside the recipient, then the recipient mailbox and mail administrator’s filtering rules. |
Also record the ticket ID, approximate event time and time zone, recipient address, and message origin (for example, email, API, WhatsApp, or chat). Origin can affect notification behavior, particularly in Intercom.

- Send a new email from the external mailbox to the support address configured for the help desk.
- Check whether the message creates a ticket. If it does not, investigate the support address, forwarding, and suspended mail before troubleshooting customer-reply delivery.
- Check whether the external mailbox receives the automatic notification, if one is configured for that event.
- In the test ticket, add a public reply and check the external mailbox, including its spam or junk folder. A public reply is intended for the requester; an internal note is for staff and is not an outgoing customer reply.
- Compare the platform’s event or delivery record with what arrived. A recorded send attempt points toward delivery or recipient-side filtering; no send attempt points toward routing, notification rules, or channel-specific behavior.
Keep the test address and ticket clearly identifiable so the resulting public reply is not mistaken for a message to a real customer.
Check the platform evidence before changing settings
Zendesk: inspect ticket events and triggers
Open the affected ticket’s events and look for the expected notification. The event history can help establish whether a trigger ran and whether Zendesk recorded a notification attempt. If no expected notification appears, review the relevant triggers and confirm that the notification trigger is active; Zendesk identifies a deactivated trigger as a possible cause of missing agent alerts. Zendesk’s agent-alert guide, edited September 18, 2026, recommends using ticket events to help diagnose this case.

If the trigger did send the notification, do not assume that the recipient received it. Zendesk’s guidance is that when a trigger runs and sends a notification but the email still does not arrive, the problem is likely outside Zendesk or the ticketing system. Treat that as a diagnostic direction, not proof of successful inbox delivery.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsIntercom: check workspace settings and message origin
For Intercom, check Settings > Channels > Email > Email settings. Then account for how the ticket or conversation was created, because the expected email behavior can differ by origin:
- API-created tickets: the API call must request notifications with
skip_notifications = false. If notifications were skipped at creation, investigate the API request rather than treating the absence as an email-delivery failure. - WhatsApp-origin tickets: Intercom documents that these do not send email by default. Check the workspace’s current behavior and the intended notification setup before expecting an email alert.
- Chat conversations: a notification can be delayed when the customer is offline, so allow for that behavior when evaluating timing.
- Spam or bounce status: check whether spam handling or a bounce-list status is preventing delivery.
These examples come from Intercom’s troubleshooting guidance dated July 17, 2026. Workspace rules and product interfaces can change, so use the current settings in the affected workspace as the authority.
If the platform attempted to send an email, trace delivery
- Verify the destination. Confirm the exact recipient address recorded for the ticket or conversation, including spelling and whether the message was addressed to the expected person.
- Check junk and spam. Search the recipient’s mailbox for the sender, subject, or ticket identifier. Also check quarantine if the organization uses one.
- Ask the email administrator to review filtering. Have them check mail-flow rules or security controls that block, quarantine, or redirect the platform’s sender or domain.
- Inspect platform delivery details. In Zendesk, review any delivery-failure detail shown beside the recipient and the ticket events log. A failure record provides more specific evidence than a report that the email simply did not arrive.
- For custom-domain sending, review authentication. Ask the email administrator to check SPF, DKIM, and DMARC against the help desk’s current instructions. Zendesk’s deliverability guidance, edited September 17, 2026, includes
include:mail.zendesk.comin its SPF guidance. If the domain sends through multiple services, configure the record according to the current requirements rather than replacing other senders’ entries.
Domain authentication is relevant to mail sent using a custom sending domain; it does not explain every missing message. It will not, by itself, restore inbound forwarding, reactivate a trigger, or remove a recipient-side block.

If an inbound email did not become a ticket
- Confirm the address used. Verify that the sender emailed a support address configured in the help desk’s email channel, not an employee’s mailbox or an obsolete address.
- Check forwarding. If mail is forwarded into the help desk, confirm that the forwarding rule is active and that messages reach the configured destination.
- Review suspended tickets or mail. Legitimate messages can be caught by spam filtering. Zendesk’s incoming-email guidance says that recovering a suspended email signals to its spam filter that the sender is legitimate.
- Retest from an external account. A controlled test helps determine whether the route is still failing and gives the administrator a specific sender, timestamp, and message to trace.
Do not diagnose an inbound-routing failure by changing an outbound notification rule: those are separate stages of the email flow.
Compare the troubleshooting paths
| Case | Platform control or evidence | What a positive finding indicates | Next step |
|---|---|---|---|
| Zendesk agent alert missing | Ticket events and the relevant trigger’s active status. | An event can show whether the trigger attempted a notification; an inactive trigger may explain why no alert was sent. | If there is no send event, review the trigger. If there is one, investigate delivery and recipient filtering. |
| Zendesk customer email missing | Ticket events, delivery-failure details, recipient mailbox, and—when custom-domain sending applies—mail authentication. | A send event or delivery failure helps distinguish a platform attempt from a delivery problem. | Verify the address, inspect spam and mail rules, and review current SPF, DKIM, and DMARC instructions with the mail administrator. |
| Zendesk inbound email missing | Configured support address, forwarding path, and suspended-ticket queue. | A misrouted or suspended message explains why no ticket was created or updated. | Correct the route or review and recover legitimate suspended mail, then test again. |
| Intercom ticket or conversation email missing | Settings > Channels > Email > Email settings, message origin, and spam or bounce status. | API, WhatsApp, offline-chat, spam, or bounce behavior may explain why the expected email was not sent or received. | Check the workspace’s current rules and, for API-created tickets, whether the request set skip_notifications = false. |
The table describes Zendesk and Intercom guidance, not universal controls. For another help desk, follow the same diagnostic sequence—identify the message, inspect event and delivery evidence, verify inbound routing, and account for channel of origin—but use that product’s own current documentation for setting names and defaults.

What to give an administrator if the issue persists
Provide a concise case record so the mail or support-platform administrator can trace one specific message:
- Ticket or conversation ID and the affected platform.
- Whether the missing message was inbound, an agent alert, or an outbound customer notification.
- Sender and intended recipient addresses, shared only through the organization’s approved support process.
- Approximate timestamp with time zone, plus the message origin or channel.
- Whether the platform event log shows a send attempt or delivery failure, and whether inbound mail appears in a suspended queue.
- The result of the controlled external-mailbox test, including which step failed.
This evidence narrows the handoff: support-platform configuration is implicated when the expected event is absent, while mail routing or recipient-side controls deserve attention when the platform recorded a send attempt.
Frequently Asked Questions
Does changing SPF fix every missing notification?
No. SPF is one part of authentication for mail sent from a custom domain, and it should be configured according to the sending platform’s current instructions. It does not fix a missing trigger, an incorrect inbound support address, broken forwarding, spam suspension, or a recipient mailbox rule.
What’s actually slowing this PC down?

Are Zendesk and Intercom notification defaults interchangeable?
No. Their settings and channel behaviors differ. For example, Intercom’s documented behavior includes API notification requests, WhatsApp-origin tickets, and chat notifications when a customer is offline; Zendesk’s cited guidance emphasizes triggers, ticket events, delivery failures, suspended mail, and email testing. Use the affected product’s current guidance rather than copying settings between platforms.
What if the help desk is not Zendesk or Intercom?
Use the same diagnostic stages, but do not assume the product has the same trigger names, event-log detail, suspended-mail workflow, API parameter, or channel defaults. Check that vendor’s current documentation for its own controls and have the administrator trace the specific test message through inbound processing and outbound delivery.
