Search the cloud location directly, then check the correct account, recycle bin, migration status, and sync state. The right fix depends on whether the problem is a missing file, changed Copilot content, or an access error.
First identify which Copilot, account, and file you mean
“File” can mean a OneDrive or SharePoint document, a file stored locally on your device, or something shared or generated in the Copilot app. Microsoft says files shared or generated in the Copilot app are stored in OneDrive. Personal Copilot and work or school accounts are separate, so content associated with one account may not appear when you’re signed into the other.

- Account: Is this a personal Microsoft account or a work or school account? Check the account shown in Copilot and the browser or app where you’re looking for the file.
- Location: Was it saved in OneDrive, a SharePoint or Teams location, another cloud service, or a folder on your device?
- State: Did Copilot recently change, is OneDrive still syncing, was the file moved or deleted, or are you seeing an access or license message?
These distinctions matter: a file that is still on the computer but never synced won’t be found in OneDrive, while a work file may not be accessible from a personal account.
Search the storage location directly
Search OneDrive on the web
Microsoft Support recommends “searching your OneDrive storage using the OneDrive website.” Sign in at OneDrive.com with the account that saved the file, then use Search everything. Try the filename and distinctive words from the file; also try likely descriptions, tags, dates, or places.

Personal Vault items do not appear in OneDrive search results. Unlock Personal Vault and look there separately. For work or school documents, check the relevant OneDrive for work or school account or the SharePoint site and library where the file was stored.
Check shared files and other storage
If someone shared a file with you from their folder, ask whether they moved or deleted it. Microsoft notes that a file removed by its owner from a shared folder may no longer be available to the recipient. If the file was stored in a third-party service or a local folder, search that location rather than relying on Copilot’s file list.

Check the account, recycle bin, and device
- Confirm the account. Check whether the file was saved using another Microsoft account. For personal Copilot, if you originally signed in with Google or Apple, use that same sign-in option.
- Check OneDrive’s recycle bin. Restore the file if it is there. For an item from Personal Vault, unlock the vault before checking its recycle bin.
- Search the device. If the file was saved outside OneDrive or has not synced, search the computer or mobile device where it was created. Check that device’s recycle bin or trash as well.
- Consider restoring OneDrive only if needed. Microsoft says eligible Microsoft 365 subscribers can restore their entire OneDrive to a prior point within the available 30-day window. For work or school accounts, this option depends on organizational support. Check the current Microsoft guidance and your account or organization’s eligibility first. A whole-OneDrive restore can send files created after the chosen restore point to the recycle bin.
If the problem started after the Copilot app changed
For missing content in the updated personal Copilot experience, start with the account and sign-in method you used before the change. Refresh the web page or restart the app, and follow any in-app message offering access to older content or describing a move. Allow time for migration and device sync to finish. Microsoft’s guidance does not promise that every historical item or feature will carry over in the same way.
If your personal account has not moved to the updated experience, Microsoft’s support guidance describes checking it in a private browsing session at copilot.microsoft.com. This can help distinguish an account or migration issue from a missing OneDrive file.

If Copilot shows an access, storage, or license error
A license or storage-location message calls for a different check than a failed search. Confirm that you’re signed into the account with the relevant Copilot access. If the document belongs to work or school, use the organization account and its Copilot access where applicable; a personal Copilot subscription and a work file may not match.
Microsoft also documents errors in some cases involving files hosted by third-party storage services. For that scenario, moving or copying the file into OneDrive or SharePoint is a suggested workaround. It does not resolve unrelated problems such as a missing file, insufficient permissions, or an incorrect account.

If a moved file or ongoing sync is the problem
Verify the move destination
After using Move to or Copy to in OneDrive or SharePoint, open the destination library or folder directly and confirm the file is there and that you have permission to access it. Available commands and destinations can depend on the SharePoint version and your organization’s policies.

Allow OneDrive to finish syncing
If OneDrive shows “Processing changes,” check that you’re signed in and close a file after editing it. Large batches or recent file updates can take time to process. Recheck the OneDrive location after syncing has had time to complete.
For Copilot connectivity problems, Microsoft provides a connectivity troubleshooter. If the Copilot icon is missing despite an expected license, use the Copilot license troubleshooter in the Windows Get Help app. Microsoft’s Support site provides current help and troubleshooting options.
If the missing item is a OneDrive AI agent
If you mean a OneDrive AI agent rather than a regular document, search the correct work or school account and folder view. Filter by Agent, or search for the agent’s name or the .agent extension.
