How to Troubleshoot Common PSA and RMM Integration Problems

A flow-by-flow troubleshooting guide for PSA and RMM connections, with connector-specific examples for Datto, Autotask, ConnectWise, and NinjaOne.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start by identifying which part of the integration is failing: authentication, company or site mapping, device sync, alert-to-ticket creation, ticket updates, or webhook delivery. Then check that flow’s prerequisites and test one known record. A connected status alone does not prove that every mapping or sync path is working; the requirements below are examples from specific Datto and NinjaOne connectors, not universal rules.

Which part of the PSA–RMM integration is failing?

Separate inventory synchronization from ticket and event handling before changing settings. A device that is missing, an alert that does not create a ticket, and a ticket that fails to update are different symptoms with different likely causes.

As an Amazon Associate I earn from qualifying purchases.

  • Connection or credentials: the connector cannot authenticate or reports an unhealthy connection.
  • Company or site mapping: the integration connects, but records cannot be associated with the intended organization, account, or site.
  • Device or configuration sync: some or all inventory records are missing or do not update.
  • Alert-to-ticket flow: devices may sync normally, but alerts do not create PSA tickets.
  • Ticket updates or webhooks: a ticket, status change, or event fails to reach the other system.

Before troubleshooting, record the PSA and RMM product names, connector version, cloud or on-premises deployment, when the issue began, recent credential or company changes, exact error text and status code, affected company/site and device IDs, and whether all records or only a subset are affected. Datto’s device-sync troubleshooting guide also asks for error messages and device/site names and UIDs when escalating.

How do I troubleshoot an unhealthy connection?

Check the tenant, credentials, and integration account

Verify that the connector points to the correct tenant or instance URL and uses the expected account or company identifier. Check that keys and secrets are current, the integration user or member is active, and its security role grants the API access required by that connector.

For the Autotask REST API, an authentication failure returns HTTP 401. Autotask advises checking the user name, password, integration key, and API permissions; API access requires an API-only security level. A 401 is therefore a reason to inspect authentication and permissions first, not proof of a mapping failure. See Autotask REST API security and authentication.

Confirm connector-specific prerequisites

Requirements differ by vendor pair. For the Datto RMM–Autotask integration, Datto documents an API User, Datto RMM selected as the Integration Vendor, a domain matching the primary Autotask database domain, and enabled Protected Data Permissions. Check the Datto RMM–Autotask setup guide for the exact configuration.

For Datto RMM–ConnectWise PSA, the documented connection uses a URL, company name, public key, and private key. Datto specifies a Standard or Premium account; on-premises deployments may also need outbound IP allowlisting. Datto says ConnectWise PSA Basic is unsupported. These requirements apply to that connector, not to every RMM–PSA integration. Check the Datto ConnectWise PSA integration guide.

Why is my device not syncing?

Verify company and site mapping

Confirm that the company, organization, account, or site pairing exists and points to the intended records in both systems. A connector can be enabled while a device remains unsynced because its company has no matching site or account. Datto lists a missing Autotask organization-to-site mapping as a cause of failed device syncs.

Check sync eligibility and saved settings

Review whether device sync is enabled for the applicable device type and whether the account or company status and type are eligible under the connector’s rules. Make sure the device-sync configuration is complete and saved; Datto identifies incomplete or unsaved setup as another reason a sync may not occur. Use its device-sync troubleshooting steps for Datto RMM.

Inspect configuration matching and recent company edits

Check that the PSA configuration items the connector needs to match are present and distinguishable. In Datto RMM–ConnectWise PSA, mapping rules are evaluated from top to bottom; a missing or ambiguous match can cause the intended rule not to apply.

Also review recent changes to company records. NinjaOne documents that, in its ConnectWise Manage integration, changing a company in ConnectWise clears the saved mapping settings the next time the integration syncs. Its guide says the ConnectWise on-premises server must be version 2019.1 or newer and that ConnectWise Lite is incompatible. These are NinjaOne connector requirements; verify the current NinjaOne ConnectWise Manage integration guide for your deployment.

Why are alerts not creating tickets?

If devices sync but tickets do not, troubleshoot the alert and ticket path rather than repeating inventory-mapping checks. Review whether the relevant service board or queue is active, alert routing is configured, ticket templates and priority/status mappings are valid, and ticket synchronization is enabled.

For NinjaOne’s Autotask integration, the documented behavior includes alert-to-ticket synchronization and status changes in both directions: resetting an alert or closing a ticket can affect the paired record. Check the NinjaOne Autotask integration guide for its supported settings and behavior. Datto’s ConnectWise integration also has a setting that can temporarily disable ticket sync, so confirm it has not been turned off in that connector.

How do I troubleshoot ticket updates and webhook delivery?

Check API access, exclusions, and record identity

Verify that the API used by the connector is enabled and that its credentials remain valid. For Autotask webhooks, inspect whether an exclusion resource is preventing the selected records from triggering events. Autotask recommends external IDs or user-defined reference fields to support reliable record matching. See its webhook documentation.

Run a narrow, controlled test

  1. Choose one known company and device whose mapping you have verified.
  2. Trigger one test alert or update that should follow the failing path.
  3. Record the time and time zone, inspect the connector/API response or error, and check whether the expected record appeared or changed in each system.
  4. Use the result to locate the break: no event suggests a trigger, exclusion, or API issue; an event tied to the wrong record suggests an identity or mapping issue; a ticket created without the expected update points to ticket-sync settings or field/status mapping.

API limits, query thresholds, supportability, and latency depend on the API and connector. Datto’s API v2 documentation points to API supportability, query-threshold, and latency information; Autotask provides its own REST API documentation. Check the applicable guidance for the specific integration rather than assuming a universal limit or retry behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I include when escalating?

Give the vendor support team enough detail to reproduce or trace the failure:

  • PSA and RMM names, connector version, and cloud or on-premises deployment.
  • Timestamp and time zone, exact error text, and any HTTP response code.
  • Whether the failure is global or limited to particular records.
  • Affected company/site and device names plus IDs or UIDs.
  • What you tested, what happened on each side, and the settings or recent changes already checked.

Datto’s support guidance for device syncs specifically requests error details and device/site identifiers. Do not include API keys, passwords, or other secrets in ordinary support-ticket text.

Choosing between a native connector, API integration, or webhook workflow

If the issue is prompting a design change, compare the options against the exact workflow you need. The cited product documentation does not establish a complete feature-by-feature comparison across vendors, so verify these points for the specific connector and deployment:

  • Compatibility: supported editions and versions, and any cloud or on-premises restrictions.
  • Sync scope and direction: whether companies, sites, devices, alerts, tickets, or statuses flow one way or both ways.
  • Mapping behavior: available mapping controls and what happens after a source company or record changes.
  • Authentication: credential model, account type, security role, and API permissions.
  • Failure handling: error visibility, retry or replay support, and applicable API limits or latency.
  • Support ownership: which vendor supports the connector and which team owns custom API or webhook logic.
