The best method is the one you can use consistently—and the one that captures the detail you actually need. A duration log shows how long work took; it does not show how complete the task is.
How do you keep track of time spent on work?
Start with a task name and a reliable record of when you worked on it. For each entry, capture the date and either start and finish times or the duration. Add enough context to tell similar tasks apart. If you are trying to understand where the whole day goes, include routine work and short interruptions rather than recording only major projects.

Virginia Tech Carilion School of Medicine’s Office of Student Affairs suggested jotting down start and finish times as tasks happen. Its November 9, 2018, Wellness Weekly handout recommends tracking for at least two weeks to get a sense of how hours are spent; treat that as the handout’s practical advice, not a universal scientific threshold or a study result. Read the handout.
Four ways to record task time
1. Keep a paper or spreadsheet log
Write the task and date, then note its start and finish times—or enter the duration as soon as the work session ends. Paper is quick to begin and needs no software; a spreadsheet makes it easier to total, sort, and compare entries. Both depend on timely, consistent recording, and large logs can take effort to maintain. ClickUp’s overview of tracking methods describes manual timesheets and spreadsheets as customizable and low-setup, while noting the risk of forgetting entries and the added effort at larger scale. See ClickUp’s overview.

- ✔ 1.Put an end to the time black hole: Every hour of activity is recorded, so you always know where your time goes and bid farewell to "being busy yet achieving nothing". 2.Cure procrastination: Visual time grids have an inherent sense of supervision; blank time slots serve as a direct reminder, with more binding power than phone alerts. 3.Gain instant a sense of accomplishment: Check off completed tasks with a simple tick. A filled time axis page by page delivers physical feedback that digital tools cannot match, making it easier to keep going the more you use it.
- ✔ 1.Students & Exam Takers: Plan class, review and practice time; allocate study hours for each subject precisely for targeted exam preparation. 2.Professionals: Schedule meetings, work projects and commute time; prioritize tasks clearly and bid farewell to chaotic overtime. 3.Freelancers & Stay-at-Home Parents: Clearly divide work/childcare/personal time to avoid blurring the boundaries between life and work. 4.Self-Discipline Enthusiasts: Check in on fitness, reading and learning; develop regular routines with hourly scales to build good habits effortlessly.
A notebook is optional: a scrap of paper or a simple spreadsheet is enough to start. The Virginia Tech handout also lists notebooks as an analog option.
2. Use a start/stop timer
Start the timer when you begin a task and stop it when you finish or switch to another task. Assign the entry to a task or project. If choosing a category slows you down, enter a short description first and categorize it later. Toggl’s guide describes timer mode, later categorization, and manual logging for missed entries; ClickUp documents timers and manual entries with dates, descriptions, and tags. Toggl’s time-tracking guide and ClickUp’s time-tracking instructions explain those workflows.

- STRUCTURED CHECKLIST + LOG FORMAT – Combines task planning and activity tracking with expanded space for detailed workflow management
A timer reduces how much you have to reconstruct from memory, but it is only useful when you remember to start and stop it. A missed start can leave a gap; a missed stop can overstate a session. If you fill in missed time later, mark it as an estimate rather than presenting a reconstruction as exact.

3. Use automated digital activity capture
Some desktop trackers observe app or website activity and suggest or assign time entries. That can reduce manual logging for computer-based work, but an app or open window does not reveal what you were doing or whether the activity was focused work. Automated records can misclassify tasks and may feel intrusive when people do not understand what is being collected.

For a team, explain what is recorded, why it is collected, who can see it, and how it will be used. Atlassian’s time-tracking guidance recommends clear policies and timely entries. Read Atlassian’s guidance. Treat device activity as one input, not a complete account of productive work.
4. Enter time in task software or a timesheet
Log hours against defined tasks or work items in a task-management system or shared timesheet. This approach is useful when a team needs totals by project or client, approvals, budget tracking, or billable and non-billable categories. Check that the system you use supports the fields and reporting your process requires: features vary.

For example, ClickUp documents both timer and manual entries on tasks, including date-range and notes fields. Its instructions describe the available entry workflow. Microsoft’s timesheet documentation illustrates a separate but important distinction: recorded hours and task progress can be tracked together or separately, depending on settings. Microsoft Project Online is scheduled to retire on September 30, 2026, so use currently supported systems rather than treating its legacy documentation as a product recommendation. Microsoft’s timesheet documentation and retirement notice provide those details.

| Method | Capture and setup | Useful when | Watch for |
|---|---|---|---|
| Paper or spreadsheet log | Low setup; record entries yourself. | You want a simple personal record or a rough picture of your day. | Forgotten or inconsistent entries; larger logs can be harder to analyze. |
| Start/stop timer | Start and stop an entry as work changes. | You switch among tasks and want to avoid reconstructing duration later. | Missed starts or stops; categorization can interrupt work. |
| Automated activity capture | Less manual entry for computer activity; setup and review still matter. | App and website activity is an appropriate proxy for the work you need to record. | Misclassification, incomplete context, and privacy or visibility concerns. |
| Task software or timesheet | Enter time against defined work items. | A team needs consolidated project, client, approval, budget, or billing records. | Workflow depends on the system’s available fields and reporting; agree on rules. |
If you work alone and want a rough baseline, begin with paper or a spreadsheet. If you switch tasks often, a timer may be easier to reconcile with each work session. If your team needs project totals or billing records, task-linked entries or a timesheet are a better fit. Choose automated capture only when the data it collects is relevant and its boundaries are clear.
How to set up a time log you will actually use
- Choose a small set of categories. Start with broad labels such as client work, meetings, administration, and breaks. Use individual task names when you need more precise totals.
- Pick one capture method. Use one log, timer, tracker, or timesheet consistently. Keep the setup light so recording time does not become a separate project.
- Record entries close to the work. Start and stop a timer as tasks change, or write down the time when a session ends. If you missed an entry, add a clearly labeled estimate. Toggl and ClickUp document manual entries for missed time, while Atlassian cautions that delayed retrospective entries can be misleading.
- Review totals by task or category. Use the record to improve future estimates or decide where attention is going. Do not read a longer duration as evidence of better work: hours spent and task progress are different measures.
- For teams, agree on the rules first. Decide the purpose of tracking, categories, rounding rules, who can see entries, and how often totals will be reviewed. Atlassian recommends communicating the policy and reviewing time data regularly.
Time spent is not task progress
A time entry answers, “How long did this work take?” It does not answer, “How much of the task is complete?” A timer or manual log records duration; progress is a separate measure. Microsoft’s documentation on timesheets and task progress describes settings that can record hours and progress together or separately. Keep the measures distinct when reviewing work, setting estimates, or reporting status.
