Billable travel time is whatever your client agreement or written billing policy allows you to charge—not a universal category with one standard rate. Confirm which trips qualify, the rate or cap, and any approval requirement before you travel. Then record travel separately from service work against the correct client and project, and review the entries before invoicing.
Agree on what the client will pay before the trip
Check the engagement letter, contract, purchase order, or current written billing policy. It should establish which travel counts, how it is billed, and who approves it. If those details are missing, get written agreement before treating travel as a client charge.

Everhour’s vendor-authored travel-billing guidance recommends agreeing in advance on the trip’s purpose and destination, expected duration, billing rate, expense categories, and any cap. Use that as a practical checklist, not as a substitute for your own client agreement.
- Eligible travel: Identify which journeys qualify, such as travel to a client site, rather than assuming every trip is billable.
- Rate and limits: Specify whether travel uses the regular service rate, a reduced rate, or another agreed rate, and whether a minimum, maximum, or cap applies.
- Approval: Confirm whether the client must approve the trip or time entry, and who can give that approval.
- Expenses: Clarify whether transport, lodging, or other expenses are handled separately from time.
Keep the written approval or policy reference where the person preparing the invoice can find it.

Record travel as its own project-linked entry
Separate approved service work, approved travel, and non-billable travel. Combining travel with service hours can make an invoice harder to verify and can leave the client disputing a travel charge that was never approved. A separate entry also lets a team account for non-billable travel without charging it.
For each trip, associate the entry with the right client and project, choose the agreed billable status, and use a concise, client-readable description such as “Travel to client site.” Capture the date and duration; where useful, record start and end times, destination or purpose, and the relevant approval reference. Trackers such as Toggl and TimeStatement describe client or project associations, billability controls, and reporting features that support this kind of record.

During or just after the trip
- Start a timer when practical. If you cannot, enter the time promptly afterward while the details are fresh.
- Choose a distinct Travel task or use a travel-specific description; do not bury the time in a service-work entry.
- Link the entry to the correct client and project, then add the date, duration, purpose or destination, and any required approval detail.
- Set the billable status and rate according to the client’s agreement. Keep non-billable travel visible for project costing if useful, but exclude it from client charges.
Review travel entries before invoicing
Review travel separately from service entries before sending an invoice. Confirm that each charge is permitted by the agreement, the correct rate and cap were applied, and any required approval is documented. Check for duplicate, incomplete, or misassigned entries, and make sure the description is understandable to the client.

Choose tracking software around the billing workflow
No single tool is the right fit for every freelancer or project team. Check whether a candidate tool can link entries to clients, projects, and tasks; distinguish travel from service work; mark each entry billable or non-billable; and produce a report that fits your invoice process. For teams, also check who can review or correct entries. For field work, verify that mobile and offline capture suit your travel conditions, and confirm which required features depend on a paid plan.

Client billing is different from employee travel pay
In the United States, the Department of Labor says, “Time spent traveling during normal work hours is considered compensable work time.” Its Travel Time guidance also treats ordinary home-to-work travel differently, subject to qualifications. Those rules concern employee compensation under federal wage-and-hour law; they do not, by themselves, require a client to accept or reimburse a freelancer’s travel-time invoice.
