Open the meeting before anyone else arrives, verify the selected camera, microphone and speakers, then rehearse from the seats people will use. For a hybrid meeting, also test the room display and shared content, check that voices are clear across the room, and make sure only one intended in-room audio setup is active. Device checks catch basic failures; a room rehearsal catches coverage and echo problems.
Run a quick pre-join device check
- Open the meeting early. In the platform’s pre-join screen, inspect the selected camera, microphone and speakers. Confirm the names match the room equipment, not a laptop’s built-in devices or a nearby personal device.
- Check the microphone. Speak at a normal meeting volume and watch for microphone activity. If the indicator does not respond, verify the selected input and its connection.
- Check the speakers. Play the platform’s test sound and confirm it comes from the intended room speakers at a usable volume.
- Check the camera. Look at the preview and confirm it shows the intended view of the room and participants.
- Join a test meeting if needed. This can help check the participant’s audio and video path before a real meeting, but it does not replace testing coverage from the actual seats.
Check the room as participants will experience it
Audio coverage across the seats
Ask someone at the far end of the room to speak, and confirm the remote side can hear them. Listen from the seats to make sure far-end voices are audible throughout the space. A microphone indicator moving near the room device is not proof that everyone can be heard clearly.

Camera coverage
Check that the camera captures the people who need to appear, including participants at the edges or farther from the camera. Reposition the camera or adjust the platform’s framing if the preview leaves people out.
Display and shared content
Share a representative slide or screen and confirm it appears on the room display. Check legibility from the seats, not only from the computer driving the display. Microsoft’s hybrid-event guidance recommends testing presentations and room equipment in advance: Microsoft hybrid meetings device configuration guidance.

Echo and feedback
Use the room’s intended audio path. If people in the room also join on personal devices, disconnect their computer audio or otherwise ensure only one dominant in-room audio setup is active. Multiple active audio paths can create echo or feedback. Microsoft’s room guidance says a single audio source for a space is required to avoid room audio issues: Microsoft Teams meeting room guidance. If echo persists, Google recommends trying headphones or lowering speaker volume: Google Meet audio and video troubleshooting.
Use the platform’s own test controls
Google Meet
Before joining, select the preferred microphone, speaker and camera. Speak and check whether the microphone indicator moves, play the speaker test sound, and inspect the camera preview. These checks are in Meet’s pre-join self-check: Google Meet: Check your audio and video before a meeting.

Check the network if call quality is unstable
A camera preview and local microphone check can pass even when the network makes a live call choppy or delayed. Google recommends checking bandwidth and latency over time and trying wired Ethernet when available. VPN routing or network equipment can also affect call quality. See Google Meet network and video quality troubleshooting.
Keep a fallback ready
- Select another available camera or audio device if the room peripheral fails.
- Switch to a headset if the room’s microphone or speakers are unusable.

When the room setup needs equipment
The checklist does not require a purchase. If a small room has poor audio coverage, an all-in-one USB conference speakerphone is one possible equipment category; Microsoft describes all-in-one audio devices as suitable for smaller spaces. In larger or technically involved spaces, evaluate the complete audio and video design and consider specialized AV expertise. When comparing equipment, check microphone pickup and speaker coverage for the seats, camera field of view, compatibility with the meeting platform, and whether the room uses one coordinated audio source. Verify compatibility against the manufacturer’s current specifications rather than assuming a device works with a platform. Microsoft’s room guidance discusses coverage and equipment considerations: Microsoft Teams meeting room guidance.
