Confirm both that the symbol scans and that it opens the correct destination and completes the intended action. If every item has a unique code, validate every encoded value before production; a successful sample scan cannot verify the rest of the batch.
1. Verify what the QR code contains
Start with the actual code asset, not just the URL or data supplied for the design. Scan or decode it and compare the result character for character with the approved source data. Then open the decoded destination on a phone and follow the intended customer flow. A code may be readable but still lead to a wrong, unavailable, outdated, or unsuitable page. DENSO WAVE’s QR Code guidance explains the technology, while production checklists emphasize checking the destination as well as scan success.

- Check any redirects and confirm the final page is current.
- Look for sign-in requirements or other barriers that would prevent an ordinary customer from completing the task.
- Test mobile behavior and complete the promised action, rather than stopping when the camera displays a link notification.
- For a redirect-managed code intended to remain in use, establish who owns and maintains the redirect.
For a static code, the encoded destination is fixed. For a dynamic or redirect-managed code, a destination may be changeable, but that depends on the redirect service and its ongoing maintenance; verify who controls it before relying on it for a long-lived print job.
2. Inspect the code in the finished artwork
Test the code after it has been placed in the actual design and exported for print. Layout and export can introduce problems that are not present in a standalone image: the code may be stretched, cropped, reduced, or crowded by nearby text, borders, or graphics.

Keep a clear quiet zone around all four sides. Standard QR Code calls for a margin four modules wide. A module is one of the small square units that make up the symbol, so the margin’s physical width depends on the module size; a fixed millimetre border is not equivalent for every code. Keep other artwork and edges outside that clear area. DENSO WAVE’s guidance on QR Code size and cell dimensions explains why sizing relates to the symbol’s modules.
3. Print a proof that represents the job
Make a physical proof of the exact final artwork at its intended printed size. Use the final material and finish if feasible; otherwise use the closest representative stock and finish, and note what differs. A screen preview cannot reproduce print conditions such as glare, blur, ink spread, textured stock, coating, or curvature.

A desktop proof is useful for catching obvious layout problems, but it does not guarantee that a commercial press, different substrate, coating, or finishing process will produce the same result. If the production method or material changes after approval, make and test a new representative proof.
4. Scan under realistic conditions
Try several representative phone cameras or scanners rather than relying on one device. Scan from the intended viewing distance, at realistic angles and in the lighting where customers will encounter the code. Complete the scan-to-action flow: verify that the device reads the code, opens the right destination, and lets the user do what the printed prompt promises.

There is no universal minimum printed width that guarantees every QR code will work. Payload length and error-correction choice affect symbol density; printer capability, scanner resolution, reading distance, and available space also matter. DENSO WAVE states that “the larger the module is, the more stable and easier to read with a QR Code scanner it becomes,” and recommends accounting for printer head density and scanner resolution. Its guidance cites at least four printer dots per module for stable operations; that is printer-specific guidance, not a universal minimum code size. Choose the final payload and error-correction level before settling on size, then validate the printed result. DENSO WAVE says higher error-correction levels improve recovery capability but increase the amount of data represented in the symbol and therefore its size. Its technical page reports that Level M (15%) is “typically” selected most often; the page gives no publication year, so this should be read as the source’s guidance, not as a dated industry survey.

5. Validate every unique code in a variable-data run
If codes differ by item, recipient, store, or coupon, a physical proof of one sample checks print behavior but cannot show that every record was encoded correctly. Before the press starts, decode-verify the entire generated batch and compare each decoded value against its source record. Then print and scan a physical proof to check the production result.
For commercial workflows that require instrumented barcode verification, follow the customer or production specification. GS1 publishes a 2D Barcode Verification Process implementation guideline; the available guideline record establishes that such a process exists, but does not by itself establish a particular verification grade, device, or customer requirement for every QR print job.

Pre-press approval checklist
- Decoded content matches the approved source data.
- The destination opens on a phone and supports the intended user action.
- The code is checked in the final artwork at actual print size, without distortion or cropping.
- A clear four-module quiet zone remains on all sides.
- A physical proof represents the intended stock and finish as closely as possible.
- Representative devices scan it at expected distance, angle, and lighting.
- Every unique code in a variable-data batch is checked against its source record.
- Any change to artwork, print settings, stock, or finish triggers another relevant proof check.
