It sends an order to Airtable when Shopify creates it. If you need more control over updates, duplicate handling, or recovery, build a custom Shopify webhook integration with Airtable’s API. Neither route is a bidirectional sync by default, and webhook delivery is not guaranteed.
Choose the sync that matches what you mean by “orders”

These are implementation options, not evidence that Airtable is universally better than Notion. The documented Shopify template establishes a Shopify-to-Airtable route, but does not establish a product comparison or a Notion setup path.

Set up the Shopify Flow template

In Shopify Flow, find the official “Send new orders to Airtable” template and inspect its trigger. Shopify documents it as running when an order is created.

Review the template in your own Flow environment. Confirm which Airtable base and table it targets, what fields it maps, and what happens on errors. Do not assume the mapping is the same for every setup.

Use a restricted credential for the Airtable connection. If you configure Flow’s Send HTTP request action yourself, it provides method, URL, headers, and body fields; its secrets feature is intended for sensitive values such as tokens or passwords. Shopify says secret values are redacted from workflow run logs. Avoid placing credentials in plain-text workflow fields.

Run a test order, then check both the Flow run history and the resulting Airtable record. Confirm that the order identifier and the fields important to your workflow are present before relying on the automation.

Shopify Flow treats 2xx and 3xx responses as successful. For 4xx, 5xx, and 429 responses, the configured behavior can be retry, fail, or ignore. When retry is selected for applicable errors, Flow can continue retrying for up to 24 hours. A failed run alone does not establish whether Airtable created a record, so check the run and the base before manually replaying a request.

Build a custom webhook-to-Airtable integration
Shopify describes webhooks as a near-real-time way to receive events such as orders/create at an endpoint. Its app API guidance identifies the GraphQL Admin API as the main API for reading and writing store data, including orders, and says new apps should use GraphQL Admin API rather than the legacy REST Admin API. Airtable’s REST API accepts JSON and can create records in a table. Its documented endpoint pattern is https://api.airtable.com/v0/{baseId}/{tableId}; requests use a personal access token in the authorization header and a JSON body for create or update operations.

Pick the events you need. Subscribe to the order topics that match the intended workflow—for example, creation only, or creation plus specific later updates. Subscribing to order creation does not capture every later change.

Verify and identify deliveries. Validate Shopify webhook signatures and use the delivery identifier to detect duplicate deliveries. Shopify recommends handling duplicates and notes that it does not guarantee event ordering within or across topics; use timestamps when organizing event data.

Match orders to existing records. Store a stable Shopify order identifier in Airtable. On a repeated delivery, look up or update the corresponding record rather than blindly creating another one. This is an integration design choice, not an automatic Shopify or Airtable guarantee.

Send the Airtable request. Authenticate with a personal access token and send the fields you have deliberately mapped as JSON to the relevant base and table endpoint. Keep only the access needed by this integration.

Reconcile periodically. Compare Shopify’s orders with Airtable on a schedule and repair missing or stale records. Shopify’s developer documentation says, “Your app shouldn’t rely on receiving data from Shopify webhooks.” It explains that delivery is not always guaranteed and recommends reconciliation jobs for redundancy.
Protect Airtable credentials and stay within API limits
Airtable personal access tokens (PATs) can be restricted by scope and to selected bases or workspaces. A token can only perform actions its creating user is permitted to perform. Airtable says legacy API keys can no longer access the API; it recommends PATs for individual use and OAuth for third-party integrations.
Airtable’s API limits page, updated August 10, 2026, documents a limit of 5 requests per second per base and 50 requests per second for traffic using a particular user or service account’s PATs. After a 429 response, Airtable says to wait 30 seconds before making subsequent requests. A custom integration should back off and retry rather than repeatedly sending requests during the wait period.

Check failures without creating duplicate orders
- A record seems missing: Check Shopify Flow run history or your webhook endpoint’s logs, then inspect Airtable before replaying the event.
- A record appears twice: Use the stored Shopify order identifier to find the existing record and make event handling idempotent rather than treating every delivery as a new order.
- Updates arrive out of sequence: Do not assume Shopify events arrive in order. Use event timestamps and your chosen update rules to avoid replacing newer Airtable data with older event data.
- Requests are rate-limited: Respect Airtable’s documented per-base limit and 30-second wait after a 429; queue work and apply backoff in a custom integration.
- The workflow needs to reflect later order changes: Confirm that the relevant update events are subscribed to and mapped. A template described as sending new orders does not, by itself, establish ongoing or two-way synchronization.
