How to Switch VPNs Without Losing Passwords or Secure Files

A VPN switch changes your network connection, not where passwords or files are stored. Learn how to set up the replacement, handle password exports safely, and protect access to separate cloud files.

Changing VPN providers does not, by itself, move or erase your saved passwords or files. A VPN profile routes network traffic; passwords are stored by a password manager or browser, while files may be on your device or in a separate cloud or backup service. To switch safely, identify where each item lives, set up and test the new VPN before removing the old one, and use a password manager’s own export-and-import process only if you are changing password managers.

First, identify where your passwords and files are stored

Make a short inventory before changing anything. A VPN connection profile, your login to a VPN account, saved website passwords, and files you accessed while connected are different things.

  • Passwords: Check whether they are saved in Apple Passwords, Google Password Manager, a browser, or another password manager.
  • Files on your device: Identify the folders where your documents, downloads, and other local files are saved.
  • Files in a separate service: Check whether you use a cloud drive, backup account, or a distinct storage product from the VPN provider. Its files and account rules are separate from the VPN connection.

Microsoft describes a Windows VPN profile as connection information such as the server address, VPN type, and sign-in details. Apple explains that an active VPN configuration controls traffic routing. Neither describes switching a VPN as a process that transfers or deletes local password databases or files. That is not a guarantee about every third-party app or any separate storage product.

Set up and test the new VPN before removing the old one

Keep the old VPN available while you configure the replacement. This is a practical way to preserve access during the change, not a universal vendor-mandated migration rule.

  1. Get the replacement’s official setup instructions. Confirm that the service supports your device and note its required connection method and authentication steps.
  2. Create the new connection. On Windows, follow Microsoft’s Windows VPN connection instructions to add a profile. Enter the server name or address, VPN type, and sign-in details supplied by your VPN service or workplace administrator; the exact values vary.
  3. Connect and check what you need. Confirm that the new VPN connects and that you can still reach the websites, work resources, and files you rely on.
  4. Remove or disable the old profile if you want. Do this only after the new connection works for your needs. Removing a VPN profile is separate from deleting passwords in a password manager or files in a storage account.

Move passwords only if you are changing password managers

If you are keeping the same password manager, switching VPNs is not a reason to export your passwords. If you are moving to another manager, use the documented workflow for the source and destination, then check the destination for missing or misplaced entries.

Apple Passwords on iPhone

Apple documents exporting selected password data to a CSV file for use with another password manager. The export method has limits: Apple says it cannot export Wi-Fi passwords, passwords shared with a group unless you created that group, or Sign in with Apple account passwords. Consult Apple’s iPhone password export instructions and the destination manager’s import instructions.

Google Password Manager

Google documents password import and export using CSV files. Its import guidance specifies the column names url, username, and password. Google’s help page reviewed lists a limit of 3,000 passwords per import and 10,000 passwords stored in a Google Account; these are product limits and may change. Follow the current Google Account password import instructions for the workflow and supported file format.

Google warns: “If you don’t delete your password file, anyone with access to the device can open the file and access your passwords.” Treat the CSV as a temporary, sensitive file: restrict access, import it, check the result, and delete it.

Check the imported entries

Do not assume every record transferred cleanly. Google says some data may be invalid or missing and that imported site or app names might not appear in the expected field. Google Chrome also documents direct password and passkey transfer options on supported platforms, with similar caveats. Review the entries in the destination manager and compare important logins against the source before retiring the old password store. See Google Chrome’s password and passkey transfer guidance. For importing into Apple Passwords on iPhone, follow Apple’s instructions for importing passwords from another manager.

Handle files according to where they actually live

Local files do not become VPN configuration data just because you opened or transferred them while connected to a VPN. A VPN switch alone is not a file migration. If your “secure files” are in a cloud drive, backup account, or an optional file product from a VPN provider, check that service’s own instructions for exporting or syncing files, closing an account, and retaining data. The rules depend on the named service; a VPN subscription does not establish how a separate storage product handles migration or deletion.

Choose a replacement VPN by checking its own terms and setup

A VPN provider affects how the connection operates and what information may be available while it is active. Apple says a provider may be able to see, intercept, or modify online activity and advises reviewing the provider’s privacy practices. Its VPNs and privacy guidance is a useful starting point, but it does not replace checking the current terms of the service you plan to use.

  • Privacy disclosures: Read the provider’s current privacy policy and support documentation to see what account and connection information it says it collects or retains.
  • Device compatibility and setup: Check supported devices, connection methods, profile settings, and authentication requirements before cancelling or removing the existing setup.
  • Separate account products: If the provider also offers password storage, cloud files, or backups, read the export and retention rules for that specific product separately.

For example, NordVPN’s support page says it retains account details including an email address, connection username, and payment information, and says those items are not linked with online activity. That is NordVPN’s statement, not an industry-wide guarantee; see its current information about stored data and check the policies of any provider you are considering.
