An eligible in-account change may preserve account data and identity; a new mailbox requires you to migrate what you need, update logins, forward or monitor the old inbox, and notify people. Providers do not offer the same options, so first identify which kind of change you are making.
Are you changing an address or moving to a new mailbox?
These are different tasks, and confusing them can lead to missed mail or loss of access.

- Change the address on an existing account: The provider changes an address associated with the same account. Depending on the provider and your eligibility, account data and identity may remain in place.
- Create a separate mailbox: You get a new inbox. Mail, contacts, account logins, recovery settings, and messages to other people do not move automatically; you must handle each separately.
- Add an alias: An alias is another address associated with an account, where the provider supports it. It is not necessarily a separate inbox or a replacement for the account’s sign-in address.
- Change the display name: This changes the name recipients see, not the email address itself.
Google says some Gmail-address Google Accounts can change to another Gmail address, but the option is not available to every account. Check the email section of your Google Account settings; if the option is absent, Google does not currently offer it for that account. For eligible accounts, Google says the old address becomes an alternate address, mail sent to either address reaches the inbox, and saved account data remains. Google also warns of possible effects on connected services, including Sign in with Google, and sets limits on creating new Gmail addresses. Review Google’s current guidance on changing a Google Account email address before proceeding.
For a work or school account, the organization may control the address and account settings. Contact the administrator rather than assuming you can change it yourself. An address change and a new mailbox can also affect sign-in and recovery in different ways, so check the rules for your provider and organization.

How do I switch to a new email address without losing everything?
Make a transition plan before changing settings or closing the old account. You need to protect access first, then decide what to move and what still depends on the old address.
- Confirm access to both accounts. Sign in to the old account and verify that you can access the new account or complete the in-account change. Make sure recovery options are current and under your control.
- Back up important information. Save messages, contacts, attachments, and other account data you may need. Google recommends backing up data before an eligible Google Account email change because some settings may be reset and connected services may be affected.
- Check what the destination can import. Confirm whether its official tool transfers email and contacts, and whether it includes folders, labels, and attachments. Do not assume an import copies the whole inbox or preserves its original organization.
- Make an inventory of services using the old address. A password manager’s saved logins can help if you already use one. Also look for accounts that send receipts, security codes, or password-reset messages to the old address.
- Choose a transition period you can monitor. Plan to check both inboxes while you update services, verify imports, and watch for mail from people or organizations you missed.
If you use a recovery email, distinguish it from an alternate address used for ordinary mail. Yahoo’s help explains that a recovery email is for account recovery, not simply an extra address for sending and receiving. Review Yahoo’s recovery-email guidance and your own provider’s current recovery settings.
Set up the new address and verify it
If you are creating a mailbox, set it up with a recovery method you control and use a password you do not reuse elsewhere. If you are changing an existing account address, follow the provider’s current account-specific procedure and read its warnings before confirming.

After setup or the change, test that you can sign in and send and receive a message. Confirm that the new address is available on your usual devices and that recovery details are current. For an organization-managed account, ask the administrator about the address change, sign-in, and access to existing mail before proceeding.
How do I transfer my old emails and contacts?
Use the destination provider’s official import tools where they support the old provider. Transfer features vary: an import may copy some data without moving everything, and forwarding sends incoming mail rather than moving old messages or updating account logins.
Gmail’s import option
Google’s Gmail Help describes an import procedure for email and contacts that uses POP where supported. In that procedure, incoming messages from the old account are forwarded for 30 days during the import. The instructions recommend keeping Gmail’s copy in the inbox when configuring POP. This is a feature of the described Gmail workflow, not a guarantee that every source provider supports POP or that every folder and message will transfer. Check Google’s instructions for importing mail and contacts and the old provider’s settings before starting.

Yahoo’s transfer options
Yahoo’s described transfer route cannot move an entire Yahoo inbox. Its help instead covers forwarding individual messages or setting up automatic forwarding, importing or exporting contacts, and backing up email through a mail application. Check Yahoo’s current transfer guidance to choose what applies to your account.

Use a mail app when a direct import is not enough
A desktop mail client can provide a bridge between accounts when both providers support the required protocols. Set up each account using its provider’s current IMAP and SMTP instructions, then check which messages and folders are available before relying on the client as your only copy. Provider-native apps and websites are another option. Avoid giving account credentials or access tokens to an unfamiliar service without understanding its security and privacy implications.
Can I forward emails from my old address to my new one?
Often, but forwarding is provider-dependent. Check the old account’s forwarding settings, confirm whether it forwards all incoming messages or only selected ones, and send a test message from another address. Forwarding does not transfer existing mail, contacts, or attachments, and it does not change the email address recorded by banks, employers, websites, or other services.

Gmail web support for non-Gmail accounts is also changing. Google says that in January 2027 Gmail will stop fetching third-party mail through POP on the web, end Gmailify, and remove “Send as” for third-party addresses. Google’s announced transition period is Q3–Q4 2026; during that time, the features continue, but new setups may be restricted. Google lists the other provider’s app or website, a desktop client using IMAP/SMTP, and the Gmail mobile app as alternatives. Gmail-to-Gmail and Google Workspace “Send as” are not affected. Google warns that replacement services or browser extensions may expose credentials or OAuth tokens and create security or privacy risks. Check Google’s current notice about Gmail and third-party accounts close to the date you switch.

Change the address inside each service’s own settings and complete any verification it requires. Forwarding messages to your new inbox does not update the login or recovery address stored by that service.

- First priority: Banking and payment accounts; government, tax, and healthcare services; employer or school accounts; mobile carrier; cloud storage; and accounts used to recover other accounts.
- Next: Shopping and subscription services, travel accounts, utilities, and any service that sends receipts, sign-in codes, or security alerts to your old address.
- People and organizations: Notify contacts likely to email you, plus relevant work, school, and service providers. If suitable for your privacy and work context, use a brief auto-reply that gives the new address without revealing unnecessary personal information.
There is no universal tool in the cited provider guidance that updates every third-party account for you. Keep a checklist and mark each service complete only after you have changed its settings and verified access to the new address.

How long should I keep my old email account?
There is no universal retention period established by the provider guidance here. Keep the old account accessible while you look for missed messages, confirm forwarding or imports, and update important logins and recovery routes. Retire it only after important mail has stopped arriving there and you have tested access to essential services that used it.
If you need to close an account because of abuse or a security concern, secure the accounts that depend on it as a priority and follow the provider’s closure rules. Do not rely on continued access or forwarding after closure unless the provider explicitly says those features remain available.
