Stop capture before you open or handle the sensitive material, then delete anything the app already stored. In Pieces Desktop, go to User Profile > Settings > Long-Term Memory, switch off the Long-Term Memory Engine (or pause it), and use the proactive deny list or App Access Control for a particular application. Afterward, open Stored Data > Clear Long-Term Memory Data and remove the relevant records.
Other memory-enabled apps use different designs. A global memory switch may stop future capture or use without erasing existing entries, and deleting a conversation may not delete a separately stored memory. What to do first
- Identify the exact product and account. Check whether you are using a desktop or mobile app, the installed version, and an individual or managed workspace account. Memory controls and retention behavior can differ by platform, plan, region, and administrator policy.
- Stop capture before touching sensitive data. Turn off the app’s memory engine, start a temporary or private session, pause capture, or block the sensitive application. Do this before opening a password manager, banking site, healthcare portal, HR system, private document, or similar source.

- Open Pieces Desktop.
- Open User Profile.

If you only need a short interruption, use the available pause control instead of changing your normal configuration. A timed pause is useful when you are about to enter credentials, review a medical record, handle payroll information, or work with a confidential client file and want normal memory behavior to resume later. Before beginning the sensitive task, check that the pause is active and note when it expires.
Block one application with App Access Control
When memory can remain enabled for ordinary work, restrict the application that handles sensitive information. In Long-Term Memory settings, open App Access Control and change access for the relevant application. This approach limits the scope of the change, but you must know the exact desktop application or source that Pieces identifies.
App-specific controls are appropriate when you still want workflow context from editors, terminals, or project tools but not from a password manager or financial application. After changing the setting, confirm that the application appears as blocked or restricted in the access list. If the app is not listed, use the proactive deny list rather than waiting for it to appear.

Use the proactive deny list before the first capture
Pieces distinguishes its proactive deny list from ordinary App Access Control. The deny list lets you block an application before Pieces has seen it. Pieces documentation describes the difference this way: “Unlike standard App Access Control, which manages apps Pieces has already seen, the deny list lets you preemptively block any app on your system so Pieces never captures data from it in the first place.”
Add sensitive sources to the deny list before launching them or before bringing private content into view. Pieces specifically gives password managers, banking apps, healthcare portals, and HR systems as examples of sources that may warrant this treatment. Blocking the application in advance is stronger than discovering it later in an access list, because the first exposure is the event you are trying to prevent.

Delete information Pieces already captured
Stopping future capture does not perform historical deletion. In Pieces Desktop, open the stored-data controls and select Stored Data > Clear Long-Term Memory Data. Use the filters for the relevant time period, capture method, and application source, then confirm the deletion.
- Open Pieces Desktop and go to the stored-data area.
- Select Clear Long-Term Memory Data.
- Set the narrowest time range that covers the exposure. If you do not know when it occurred, use a wider range rather than leaving a known interval behind.
- Choose the capture method associated with the material, when the interface provides that option.
- Select the application source, such as the blocked or sensitive program.
- Review the scope before confirming. A broad deletion may remove useful workflow context along with the sensitive records.
- After deletion, inspect the memory view again and verify that the targeted items no longer appear.
If the same information was copied into another feature, project, export, or conversation, clear that additional location according to its own controls. A memory cleanup is not proof that every duplicate or source document has been removed from the device or from another service.
When the app is not Pieces Desktop
Use the product’s official memory, personalization, privacy, or data-retention settings. Search the settings for terms such as memory, saved memories, personalization, history, temporary chat, retention, or data controls. Then answer two separate questions: does the setting prevent new capture, and where are previously saved items deleted?
OpenAI chat products
OpenAI documents that Temporary Chat does not create or update memories. Choose that mode before sending the first message when the conversation should not contribute to saved memory. OpenAI also treats saved memories as separate from chat history. Deleting the original chat therefore does not automatically delete a separate saved memory; open the saved-memory controls and remove that item as well.
For recurring work, decide whether a temporary session is sufficient or whether the account’s memory feature should be disabled more broadly. A temporary mode protects a particular interaction, while a global setting changes behavior across future conversations. In either case, review existing saved memories independently of the chat list.

Claude allows memory to be turned off for an individual chat, but its instructions say to set that choice before sending the first message. If the first message has already been sent, do not assume that switching the control later retroactively removes what was processed.

A practical workflow for sensitive work
Before opening the sensitive application
- Identify the application and the account or workspace in which the memory tool runs.
- Turn off the global engine, start a temporary session, or enable the per-app block.
- If the product offers a preemptive deny list, add the application before launching it.
- Close unrelated memory-enabled windows that could continue observing the workflow.
- Confirm the setting visually instead of relying on a previous session’s state.
While handling the material
- Keep sensitive data in the application that is blocked or excluded.
- Do not paste credentials, account numbers, health information, personnel records, or confidential documents into a normal memory-enabled chat.
- Watch for a timed pause expiring during a long task.
- Remember that screenshots, copied text, and connected application sources may be treated differently by the product.
After the task
- Return the app to its preferred normal setting only after the sensitive material is closed.
- Open the stored-memory or personalization view and search for the relevant source, date, or phrase.
- Delete saved entries and, where necessary, the source conversation or activity record.
- Record the setting you used if your team needs a repeatable privacy procedure.
Troubleshooting common failures
The app is not shown in the access list
Use the proactive deny list if one exists. Standard app controls may list only applications the service has already observed, so waiting for the app to appear can create the first capture you wanted to avoid. If no deny list exists, disable memory globally before using the application and consult the product’s current support instructions.

Memory is off, but old entries remain
This is expected in products that separate future capture from stored data. Open the memory-management area and delete the entries directly. Check chat history, recordings, projects, exports, and other product-specific stores separately when the sensitive material may have been duplicated.
Deleting a chat did not remove the memory
Some services retain saved memories independently of conversation history. Return to the saved-memory list, identify the corresponding item, and delete it there. The original conversation may require a separate deletion or retention action.
The setting is missing or cannot be changed
Check the platform and account context first. Availability can depend on plan, region, device platform, or workspace administration. In a managed account, contact the administrator and ask which retention and memory controls apply; do not assume that a hidden control means capture is disabled.
A pause expired during the task
Stop the sensitive work, re-enable the pause or global disable setting, and then review stored data for the period in which the pause was inactive. Use a longer pause or a persistent app block for tasks whose duration is unpredictable.

Managed-workspace and retention considerations
Individual settings may not be the final authority in an organization. An administrator can determine whether memory is available, which plans include it, how long records are retained, and whether users may change the setting. Device platforms and regional deployments can also expose different controls.
For work data, follow the workspace’s approved retention process in addition to the app’s personal controls. If the application is supplied by an employer, ask whether administrators can access, export, or preserve workflow records. Keep a record of the exact product version and workspace policy when documenting an incident or deletion request.
The reliable rule
Future-capture prevention and historical deletion are separate operations. A safe procedure performs both: block or pause the source before handling sensitive information, then locate and clear every memory store that may already contain it. Because products differ, use the exact labels and retention instructions for the app in front of you rather than assuming that a control from another service behaves the same way.
