Before accepting health information, verify your credential and telehealth authority in every jurisdiction you serve, map your data flows, and choose technology whose security and contracts fit your legal obligations.
1. Define what you offer before choosing software
Your website should describe a service you are authorized and prepared to deliver—not a generic promise to “fix” someone’s health. Decide these points first:
- Audience: for example, athletes, families, diabetes education clients or people seeking general wellness support.
- Nutrition problem and outcome: state the practical result clients can expect, without guaranteeing a medical outcome.
- Credentialed scope: distinguish general education, coaching and regulated medical nutrition therapy (MNT).
- Format: live one-to-one video, group sessions, asynchronous education, or individualized care planning.
- Coverage: identify the provider’s jurisdiction and the client locations you intend to serve.
Tele-nutrition may combine synchronous video, asynchronous support and individualized care planning. Your consent, documentation and technology requirements should match the format you actually use.
2. Plan the website information architecture
Organize the site so a prospective client can understand the service and take the next safe step without emailing back and forth.

Essential pages
- Home: identify who you help, the service format, your location or coverage, and one primary call to action.
- About and credentials: name the practitioner or team, qualifications, license details where applicable, and the boundaries of practice.
- Services: give each package its own page. Explain session length, frequency, communication channels, what is included and what is not.
- Pricing or consultation flow: publish prices when possible, or explain exactly what happens after a visitor requests a consultation.
- FAQs: answer practical questions about appointments, cancellations, records, insurance, emergencies and client locations.
- Education: use articles to explain nutrition concepts, not to diagnose visitors or substitute for individualized care.
- Contact: provide a business email, phone or other monitored channel, operating hours and a physical business address where appropriate.
- Privacy notice and terms: describe data collection, purposes, retention, disclosures, safeguards, payments and user responsibilities.
Use a booking-oriented call to action such as “Schedule an initial consultation.” Tell visitors whether the first step is a paid appointment, a screening form or a short discovery call, and when they should expect a response.
3. Select an online-care workflow
Delivery choices affect staffing, records, privacy controls and the client experience. Compare them before purchasing a platform.

4. Connect the operational tools
A contact form alone is not a complete online practice. A workable stack normally includes:
- Scheduling: availability, time zones, reminders, cancellation rules and intake prerequisites.
- Secure intake: consent, goals, dietary intake, routines, medical history, allergies, restrictions and readiness for change.
- Payments: invoices, receipts, refunds and a process that keeps payment data out of ordinary email.
- Video visits: encrypted transmission, participant authentication, device and browser checks, waiting-room controls and a backup contact method.
- Messaging: an authenticated channel with a stated response window and emergency warning.
- Patient portal: appointments, food logs, lab results where appropriate, messages, documents and education resources.
- Documentation and backup: progress notes, care plans, referrals, access controls, retention rules and tested backups.
Test the complete journey yourself: submit an inquiry, complete intake, book a time, pay, join a visit, exchange a message and retrieve the resulting record. Remove any step that sends protected information through an unapproved channel.
5. Decide whether HIPAA and other privacy rules apply
HIPAA applicability depends on your role and transactions. A practice that is a HIPAA covered entity or business associate needs technology and agreements that support HIPAA privacy and security requirements. A business outside HIPAA can still be subject to state privacy laws, consumer-protection rules and other health-data obligations.

Map the data before selecting a platform
- List every data item collected: identity, contact details, health history, allergies, food logs, payments, recordings and messages.
- Record where each item enters, travels, is stored, is backed up and is deleted.
- Identify who can access it, including contractors, platform support staff and referral partners.
- Document the purpose, retention period, disclosure conditions and security control for each data flow.
- Confirm required contracts, breach-notification duties and client-access procedures with qualified legal or compliance advice.
Do not advertise a generic “HIPAA-compliant website” as a feature. The Federal Trade Commission warns that health-data representations must match actual practices and specifically cautions against unsupported claims such as “HIPAA Compliant,” “HIPAA Secure” or “HIPAA Certified.” Describe concrete controls instead—authenticated portal access, encrypted transmission, access logging, retention limits and the contracts you actually maintain.
6. Confirm authority to serve each client
Telehealth can cross borders even when your office does not. Before booking a client, check the dietetics or nutrition practice rules, telehealth authorization, informed-consent requirements and professional liability coverage in:

- the client’s physical location during the appointment; and
- any additional jurisdiction implicated by the service or payment arrangement.
Keep a written coverage matrix with the rule source, verification date, permitted service type and insurance confirmation. Configure your booking form to ask where the client will be located at the time of care, and block jurisdictions you have not cleared. Use referrals when a request falls outside your credential or geographic authority.

7. Write honest privacy, safety and marketing copy
Explain data use in plain language
Tell visitors what you collect, why you collect it, how long you retain it, when you disclose it, how they can contact you about their information and what security measures you use. Keep the notice consistent with the actual forms, analytics, portal and vendors on the site.
Set clinical boundaries
State whether the service is education, coaching or MNT. Explain that online messaging is not monitored for emergencies, provide an appropriate emergency instruction, and describe when you may refer to a physician, emergency service or another qualified professional.
Use verifiable trust signals
Show the operator’s identity, credentials, contact channels, secure connection and prices or consultation terms. Avoid testimonials or before-and-after claims that imply guaranteed results. A visitor should be able to investigate who runs the service before entering health or payment information.

8. Build intake, care and contingency procedures
A polished front end cannot compensate for an unsafe back end. Create written procedures for:
- screening goals, medical history, allergies, restrictions, medications and readiness for change;
- obtaining informed consent and documenting the agreed service;
- co-creating an individualized action plan and setting follow-up intervals;
- referrals, missed visits, deterioration and emergency disclosures;
- lost devices, platform outages, unavailable clinicians and backup communications;
- suspected unauthorized access, containment, investigation, notification and recordkeeping.
Train anyone with access to client information, review permissions regularly and rehearse a failed-video and data-incident scenario before launch.
