How to Share or Unshare a Google Sheets File (Get a Link)

Use Google Sheets’ Share controls to invite people by email or copy a link with the access level you choose. Learn how to remove a person or turn off link access.

To share a Google Sheet, open it and select Share. Add specific people for named access, or change General access to Anyone with the link to share a link. To stop sharing, remove a person’s access or change general access back to Restricted.

Share a Google Sheet with specific people

  1. Open the spreadsheet and select Share. You must own the file or have permission to edit it.
  2. Enter the email addresses of the people you want to invite, or add a Google group.
  3. Choose a role: Viewer can view, Commenter can comment, and Editor can make changes.
  4. Select the option to send the invitation.

On My Drive files, editors may also be able to share the file unless the owner or applicable settings restrict that ability. Available controls can vary by account and organization policy. Google’s Drive sharing guidance explains roles and sharing controls.

Get and share a link to a Google Sheet

  1. Open the file and select Share.
  2. Under General access, choose the audience. Restricted means only people who already have access can open the file. Anyone with the link allows people with the direct link to open it.
  3. Set the role recipients should have, such as Viewer, Commenter, or Editor.
  4. Select Copy link, then paste the link into a message or wherever you want to share it.

Having the link does not automatically grant editing rights: people receive the role configured for the file. Work or school administrators can limit broad sharing, so the option you want may not be available. For private or sensitive spreadsheets, use named access and the least-permissive role that meets the need. See Google’s explanation of general access and sharing permissions.

Unshare a Google Sheet or disable link access

Remove one person

  1. Open Share and find the person in the access list.
  2. Choose Remove access and save the change if prompted.

Turn off access for anyone with the link

  1. Open Share and find General access.
  2. Change the setting to Restricted and confirm or save the change if prompted.

These controls address different access routes. When securing a file, check both the named people list and General access. Google says new Docs, Sheets, and Slides files are Restricted by default. Google Workspace Learning Center instructions cover removing a collaborator and restricting access.

What link sharing does—and does not—mean

Anyone with the link is not the same as making a file publicly searchable. Google says search engines do not crawl or index a document shared this way unless its link is published on a publicly searchable webpage. Anyone who obtains the direct link can still use the spreadsheet according to its assigned role, so share the link only with the intended audience. Read Google’s privacy guidance for Docs, Sheets, Slides, and Vids.
