First check whether the file is already stored online. If it is, share that existing file rather than uploading another copy. If it is not, you will need to free space, use a separate transfer method, or hand it over on removable storage.
Choose the route that matches your file
| Route | Best fit | Check first |
|---|---|---|
| Share an existing cloud file | The file is already online | Recipient access, permission level, link forwarding and download settings |
| Free space or add storage | You need to upload new content to the same account | What uses the quota, whether it is shared across services and whether deleted files are still in trash |
| Use a transfer service | One-time remote delivery | Current transfer size limit, access controls, expiry or retention terms and recipient download needs |
| Hand over removable storage | You and the recipient can exchange a device | Capacity, connector compatibility, device access and safe physical delivery |
| Use desktop upload or sync | You are sending many files or a large OneDrive upload | Local disk space, sync completion and available account quota |
If the file is already in cloud storage, share it
Sharing an existing item does not require uploading another copy. In Google Drive, open the file’s sharing controls, add named recipients, and choose Viewer, Commenter or Editor. For a sensitive file, named-recipient access is usually preferable to “Anyone with the link.” Use Viewer if recipients do not need to edit, and check whether downloading, printing or copying is allowed. Google explains these options in its Drive sharing guidance.

In OneDrive, choose a specific-people link when access should be limited to named recipients and that option is available. An “Anyone” link may be used by anyone who receives it, including someone it is forwarded to; Microsoft also notes that password and expiry options are limited to eligible Microsoft 365 subscribers, and work or school administrators may disable sharing options. See Microsoft’s OneDrive sharing instructions.
- Confirm the recipient’s identity and choose the least-permissive role that will work.
- Check folder permissions: a file inside a shared folder may inherit access from that folder.
- Verify that the recipient can open and download the file if downloading is required. A link sent by email is not automatically private.
If you need to upload a new file to a full account
Free quota before trying again
For a personal Google account, storage is shared across Drive, Gmail and Photos. When the account is full, Google says you cannot upload or create Drive files; Gmail sending and receiving and Photos backup can also be affected. Google recommends emptying trash as a short-term step, then clearing space or buying more storage for a longer-term solution. Its personal-account help page describes up to 15 GB of shared storage; Workspace accounts and administrator policies differ. Read Google’s storage-limit guidance.
#1 Best Overall
- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
Do not assume a deletion frees usable space immediately. Google says storage figures may take 48–72 hours to update after many items are deleted. Check the account’s storage again before retrying the upload.
Use a desktop upload workflow for OneDrive
Microsoft recommends adding large files or many files through the OneDrive desktop app rather than the website’s Upload button. The app changes the upload workflow, not the account’s storage allowance: the destination still needs sufficient quota, and the files need to finish syncing before the recipient can rely on them. See Microsoft’s OneDrive upload guidance.

For one-time remote delivery, compare transfer-service limits
A dedicated transfer service can deliver a download link without putting the file into the full cloud account. Limits vary by plan and can change, so check the provider’s current terms when you send. The following are provider-published ceilings, not independent tests of transfer speed or reliability; the pages were current as accessed in 2026.

| Service and plan | Published transfer limit | Source |
|---|---|---|
| Dropbox Transfer, Basic | Up to 2 GB | Dropbox Transfer features |
| Dropbox Transfer, Plus | Up to 50 GB | Dropbox Transfer features |
| Dropbox Transfer, Standard or Advanced | Up to 100 GB | Dropbox Transfer features |
| Dropbox Transfer with Creative Tools Add-On | Up to 250 GB | Dropbox Transfer features |
| WeTransfer, free account | Up to 3 GB | WeTransfer’s sending guidance |
Dropbox says recipients can download a Transfer without a Dropbox account. WeTransfer says recipients do not need to sign up, and describes password protection and restricting access to specific email addresses. Check the current service interface for those controls and any expiry or retention terms; the cited limits do not establish how long a transfer remains available.

When online delivery is impractical
If you and the recipient can exchange a device, a portable external SSD can carry a file that is too large or inconvenient to upload. This is a practical handoff option, not a remotely accessible link. Confirm the drive has enough capacity, both devices support its connector (for example, USB-C or USB-A), and the recipient has a compatible computer or device. Consider how the drive will be transported and who can access its contents.

Compression may help with some documents or folders, but it may do little for already-compressed video, photo and archive formats. You can also split an archive into volumes to fit a service’s per-transfer ceiling, but the recipient must receive every part and know how to reassemble them. Neither approach fixes a full account if the resulting upload still has to go into that same account.
