How do I share files securely from my self-hosted cloud drive?
Start by deciding who should be able to access the item, then choose the least powerful permission that lets them complete the task. A public link is a bearer credential: anyone who obtains it may be able to use it, so use an identity-scoped share when the recipient has an account.

- Choose the recipient scope. Share with a named user or a narrowly scoped group for known collaborators. Use a public link only when the recipient cannot log in or an account-based share is impractical. Nextcloud and Seafile both document user or group sharing as well as public links usable without an account: Nextcloud 35 sharing manual and Seafile sharing documentation.
- Choose the permission. For delivery, use read-only access or preview/download. For collection, use an upload-only or File Drop option so the recipient can submit files without browsing the folder’s existing contents. Enable editing or resharing only when the task requires it; Nextcloud and Seafile describe distinct options for these cases in their sharing documentation.
- For a public link, set a password and an expiry. Use a unique password and, when practical, send it to the intended recipient through a separate channel from the link. A password limits access but does not make the link identity-bound.
- Check the item and its parent folders. Review the access list for existing direct shares and any access inherited from a parent folder. In Nextcloud, “Others with access” can show higher-level shares to users who have the necessary visibility or resharing rights.
- Verify and remove access when finished. Confirm that the intended recipient can use the share, then remove the public link or unshare the item when the exchange is over. For folders, check for other links and inherited access rather than assuming that removing one link closes every route.
Nextcloud 35 describes public-link expiry as automatically disabling the share, but do not treat an expiry setting as a substitute for reviewing access. Nextcloud’s version 23 administrator manual says users may update an enforced expiration date again as it approaches, so verify how policy behaves on your installed release: Nextcloud 23 sharing configuration.

Create a public link for only the file or folder the recipient needs, then enable the password and expiry controls in that share’s settings. Exact labels and availability vary by product version and server policy; the manuals cited here document the capabilities, not one universal menu path.

- Nextcloud: Its stable 35 user manual documents public-link password and expiry settings. The manual says, “Set expiration date will automatically disable the share.” It also describes a randomly created 15-digit token; that implementation detail is not a guarantee that a link is impossible to guess or misuse. - ownCloud Server 11: The documentation describes password policies and default and maximum expiry controls for public links, along with public-upload controls. - Seafile: The documentation describes public share-link options including password, expiry, preview/download, preview-only, editing, and upload links. A public link can be used by anyone who has it; upload links do not require sign-in. Seafile sharing documentation
Administrators can often set defaults or enforce password and expiry requirements, but do not assume a policy is active just because the product supports it. Check the settings on the deployed server and test whether users can change or extend them. If the link is for collecting files, disable anonymous uploads by default and enable an upload-only share only for the intended collection.

For collaboration across servers, Nextcloud federation can share with another Nextcloud or ownCloud user, but use it only when the receiving server and identity are known and trusted. What do passwords, preview-only settings, and encryption actually protect?
These controls address different risks. A link password restricts use of a public URL; it does not identify the recipient. A hidden-download control or preview-only mode can add friction, but neither establishes that a determined recipient cannot copy the content through screenshots, photography, or another capture method. Nextcloud describes hiding download controls as making downloads harder, while Seafile says preview-only blocks the platform’s download action.

Encryption depends on the product and configuration. Nextcloud describes SSL/TLS for data in transit, optional encryption at rest, and optional per-folder end-to-end encryption. Those vendor descriptions do not mean that every self-hosted installation has these protections configured or that public shares are end-to-end encrypted by default. Nextcloud security

Seafile says encrypted libraries encrypt file contents client-side, but not file or folder names. Its documentation distinguishes workflows: creating a library through the web app sends the password to the server, which temporarily caches it in encrypted form during web access; desktop-client workflows keep the password off the server. - Is this a named-user or group share, or a public link usable by anyone who gets it?
- Does the recipient need read-only access, upload-only access, editing, or resharing?
- Does the parent folder already grant access to other people?
- Does the public link have a password and expiry, and can the recipient receive the password separately?
- Are anonymous uploads disabled except where file collection is intentional?
- After the exchange, have you removed the link and checked for other direct or inherited shares?
Product manuals reflect specific products and releases: Nextcloud’s user instructions cited here are for version 35, its administrator-policy example is version 23, ownCloud’s is Server 11, and Seafile’s documentation is version-specific. Menu wording, feature availability, and administrator policy can differ on your installation, so confirm the settings in the deployed version.
