To share a video, choose access based on what the recipient needs: invite a named person for controlled viewing, use a link for easier distribution, or send a review link when you want time-stamped comments. Before you send it, check the recipient’s role, download and comment permissions, and whether the link requires a particular account or password.
Choose the access the recipient needs
Viewing, commenting, and editing are different permissions. Give the recipient the narrowest role that lets them do the job.

Choose who can open the video
Invite specific people
For a small, known audience, invite recipients by email or add them as team members. This is usually easier to limit than a broadly accessible link. Check whether access is restricted to a particular account or organization, and make sure you enter the address the recipient will actually use.

Share a link
A link is convenient, but its reach depends on the access setting. Google Drive offers an “Anyone with the link” option and lets the owner assign a role. Anyone who obtains a link with that access may be able to open it, so do not treat an easy-to-forward link as a private invitation. Check the video host’s privacy mode
Video-hosting services can offer distinct privacy choices, such as unlisted sharing or access restricted to an organization. Read the conditions for the selected mode; “unlisted” does not mean the recipient must be individually invited. Share a video for feedback
If feedback should refer to specific moments, use a review link or video-review workflow rather than a basic viewing link. Review tools can attach comments to points in the video, but review access may have its own controls separate from the video’s ordinary privacy settings.

Set review permissions before sending
Vimeo says review links can be shared with people who do not have a Vimeo account or team seat; a guest is prompted for a name and email before posting feedback. Configure whether recipients can comment, download, change status, or see previous versions. Different review links for the same video can have different settings. Vimeo’s documentation lists the feature for Standard, Advanced, Pro, Business, Premium, or Enterprise plans; check current plan eligibility and interface details before relying on it. Important: Vimeo states that a video’s privacy setting is not tied to its review links. Someone with a review link may be able to view the video regardless of the individual privacy setting. Treat that link as a separate way into the video: use its password and permissions as needed, and disable it when it should no longer work.
Distinguish external review from project access
Frame.io’s support documentation distinguishes sending material for external review from adding a user as a project collaborator. Its article is labeled legacy and describes controls such as password, expiration, comments, downloads, approval, and version access. Test the link and limit exposure
- Review the audience setting. Confirm whether access is limited to named accounts, an organization, or anyone with the link.
- Check capabilities. Verify the recipient’s role and whether comments or downloads are enabled.
- Check access conditions. Confirm any account, password, or expiration requirement and send those details through an appropriate channel.
- Test as a recipient when possible. Open the link in a separate browser session or ask the recipient to confirm that it opens with the expected identity.
- Revoke access when finished. If the service allows it, disable the link or remove the invitation when it is no longer needed.
Unlisted or password-protected access can limit who opens a video, but it cannot prevent an authorized viewer from capturing or redistributing what they can see. Avoid sharing sensitive material through a link unless its access and audience are appropriate.
When sharing means broadcasting continuously
For ordinary viewing or collaborator feedback, use file sharing, video privacy settings, or a review workflow—not a livestreaming service.
