How to Share a OneNote Notebook and Control Who Can Access It

Store the notebook on OneDrive or SharePoint, then invite people or share a link. Set view or edit access and remember that a section link exposes the whole notebook.

To share a OneNote notebook, store it on OneDrive or SharePoint, then use OneNote’s Share controls to invite people or create a link. Choose whether they can view or edit, and check the link’s audience before sending it. A section link does not limit access to that section: recipients can see the entire notebook.

Before you share, check where the notebook is stored

OneNote notebooks must be stored on OneDrive or a SharePoint site to share them. If OneNote asks you to upload a notebook, choose the appropriate cloud account and location. See Microsoft’s notebook-sharing instructions for the storage requirement and sharing options.

Share the notebook with specific people

  1. Open the notebook in OneNote and select Share. Choose the option to share the entire notebook; the exact label or menu placement can vary by app and platform.
  2. Enter the recipients’ names or email addresses. Check each address so you do not grant access to the wrong person.
  3. Choose Can view or Can edit. View access is for reading; edit access lets recipients make changes.
  4. Send the invitation. Recipients will get access according to the permission you selected.

OneNote for the web also offers view and edit choices when sharing. Microsoft notes that you cannot share an individual page from the web app without sharing the notebook. See Basic tasks in OneNote for the web.

Share a link instead

A link is convenient when you need to distribute access by URL, but it can be forwarded. Before copying or sending it, review the link settings and confirm both the intended audience and whether the link allows viewing or editing. The available audience options can depend on the OneDrive or SharePoint account and organization settings; Microsoft describes the specific-people and anyone-link contexts in its external or guest sharing guidance.

Sharing method Best for Access consequence Check before sending
Invite named people Collaboration with identified recipients Invited people receive the view or edit permission you choose Names, email addresses, and permission level
Shareable link Distributing access by copying a URL The link may be forwarded, subject to its audience and permission settings Who the link is for and whether it permits viewing or editing

Microsoft Support warns: “Sharing a link to a section of your notebook means people you have shared with will be able to see your entire notebook.” A section link is not a way to grant section-only access. The warning appears in Microsoft’s OneNote notebook-sharing instructions.

Can you share just one OneNote page?

Microsoft has removed the former feature for sharing a standalone page through a personal OneDrive link, and previously shared page links expired. If you need to share selected content, choose between a static copy and a separate collaborative notebook:

  • For a read-only snapshot: Use a PDF or email snapshot where your OneNote app supports it. It is a copy, not a live shared page.
  • For ongoing collaboration: Copy or move the page into a separate notebook and share that notebook. Recipients get access to the notebook, so check what else it contains before inviting them.

See Microsoft’s sharing guidance for the current page-sharing status and supported alternatives.

Change or stop someone’s access

  1. Open the notebook’s sharing controls or OneDrive and go to Manage Access.
  2. Review both the people who have access and the active links.
  3. Change a person’s permission, remove that person, or delete or disable a link as needed.
  4. To stop sharing completely, remove direct access and disable active links; handling only one route may leave the other available.

Microsoft explains these controls in Change permissions for a notebook on OneDrive.

What to know about work or school notebooks

A notebook stored on SharePoint is governed by the SharePoint site’s permissions. Microsoft says teammates need read/write permission on the site, and people with write permission can view and edit the notebook. If someone cannot open it, they may need the site administrator to grant access. See Create a notebook on a SharePoint site.
