WordPress email becomes dependable when your site sends through an authenticated SMTP server or a provider API instead of relying on the host’s anonymous PHP mail path. Use a real mailbox on your domain, configure a maintained SMTP plugin (or the phpmailer_init hook), publish the provider’s SPF, DKIM and DMARC records, then test delivery in several recipient accounts. A successful wp_mail() return only means WordPress handed the message to its local mail path; it does not prove that a recipient accepted or displayed it.
Antihost offers managed WordPress hosting with free migration, one-click staging and a 14-day free trial.
This guide shows how to choose a mailer, enter the right connection settings, meet Microsoft 365’s requirements when applicable, authenticate your domain, verify headers and logs, and recover from common failures.

Why WordPress mail fails without SMTP
The wp_mail() function is a message handoff, not a delivery guarantee. WordPress has never provided either a mail user agent (MUA) or a mail transfer agent (MTA) by default. It therefore depends on the web host’s mail configuration, a locally installed MTA, or a remote service that accepts the message for onward delivery.
Managed hosting may already provide a working relay. A self-hosted site, container, or VPS often has no configured MTA, and many hosts restrict outbound mail to reduce abuse. In either case, PHP can report that it accepted the message while the relay later rejects it, queues it indefinitely, or sends it to spam. An authenticated SMTP connection or provider API gives WordPress an explicit transport, credentials, encryption settings, and (with a suitable plugin) logs and alerts.

What a true return value means
When wp_mail() returns true, WordPress successfully passed the message to the configured local mail path. It does not confirm DNS acceptance, remote delivery, inbox placement, or that the recipient opened the message. Always pair the return value with a provider log and a test in the recipient mailbox.
Prepare the site before entering SMTP settings
- Choose the sender domain. Use a domain you control and a mailbox that actually exists, such as
[email protected]. The domain must be able to publish DNS records and authorize the service that will send mail. - Confirm mailbox access. Have the provider username, password, app password, OAuth authorization, or API key ready. Some services require a licensed mailbox or an account in good standing before sending is enabled.
- Check network access. Ask the host whether outbound TCP port 587 is allowed. Port 25 is frequently blocked or rate-limited; use it only when the provider and hosting environment require it.
- Collect the provider’s exact DNS values. You will need the SPF mechanism and DKIM records supplied for your account. DMARC is published on your domain and should reflect the alignment policy you intend to enforce.
- Decide how much operational visibility you need. A basic site may need only a test button. A store, membership site, or contact-heavy site should use message logs, failure alerts, and a documented recovery path.
Choose an integration method
Install a maintained SMTP plugin from the WordPress.org directory, or configure PHPMailer directly with the phpmailer_init hook. A plugin is usually safer for site owners because it provides a settings screen, test mail, diagnostics, and a way to change providers without editing theme code.

| WP Mail SMTP | Direct provider APIs or an “Other SMTP” form for host, port, encryption, authentication, username and password | API integrations avoid storing provider passwords in the WordPress database; an SMTP password can be placed in wp-config.php |
Sites that want guided setup and broad provider choices |
| Post SMTP | SMTP or provider APIs | Message logs, failure alerts, and backup connections | Sites that need diagnostics and a fallback route |
phpmailer_init |
Code-defined PHPMailer SMTP settings | Full control, but no built-in settings UI or log dashboard | Teams that manage configuration as code |
Both documented plugins support common services including Gmail or Google Workspace, Microsoft 365, Amazon SES, SendGrid, Mailgun, Postmark, Brevo and SMTP2GO. Select one that is actively maintained and compatible with your WordPress and PHP versions.
Select a provider and authentication mode
Choose the service that matches the site’s existing mailbox, sending volume, compliance needs and tolerance for administration. An API or OAuth integration is preferable when offered because it avoids keeping a long-lived provider password in WordPress. Traditional SMTP remains useful when a provider exposes no suitable API or when a simple relay is all you need.

| Provider or route | Connection choices | Domain-authentication work | Limits and cost | Important qualification |
|---|---|---|---|---|
| Gmail or Google Workspace | OAuth/API where the integration supports it; otherwise provider-approved SMTP credentials | Publish the records the account supplies for SPF and DKIM, then add a DMARC policy | Account and plan limits vary; no single limit or price applies | Consumer and Workspace accounts can have different security and sending policies |
| Microsoft 365 | Client-submission SMTP with modern authentication, or an advanced relay connector | Use the tenant’s SPF, DKIM and DMARC values and align the visible sender | Mailbox licensing and tenant limits apply | SMTP AUTH must be enabled for the submitting mailbox |
| Amazon SES | Provider API or SMTP credentials | Use the identity-verification records supplied for the sending domain | Region, account status and usage determine limits and cost | New accounts can have restricted sending until requirements are met |
| SendGrid, Mailgun, Postmark, Brevo or SMTP2GO | Provider API and/or SMTP, depending on the service | Each service supplies its own SPF and DKIM records; DMARC remains your domain policy | Plans, quotas and prices differ by provider and change over time | Verify that the chosen plan permits your message type and volume |
| Host-provided relay | Host-specific SMTP server or local relay | Usually requires the host’s authorization instructions plus your domain records | Host quotas and reputation control delivery | Use it only when the host documents reliable outbound mail and support |
Do not guess a host name, port, encryption mode, DNS value or quota. Copy the current value from the provider’s account instructions. “TLS” can mean STARTTLS on a submission port, while “SSL” may mean an implicit encrypted connection; selecting the wrong mode causes an immediate handshake failure.
Install and configure an SMTP plugin
Step 1: Install the connector
- In WordPress, open Plugins → Add New Plugin.
- Search for the maintained SMTP plugin you selected, review its author, update date and compatibility, then install and activate it.
- Open the plugin’s setup wizard or its mailer settings page. Keep a second browser tab open with the provider’s current SMTP/API instructions.
Step 2: Select the mailer
Choose the named integration when an API or OAuth option is available. Otherwise select Other SMTP (the label may differ slightly) and enter the provider’s server details manually. API integrations generally keep provider passwords out of the WordPress database; for SMTP, store the password in protected configuration such as wp-config.php when the plugin supports that option.

Step 3: Enter transport settings
For a manual SMTP connection, complete these fields exactly as supplied:
- SMTP host: the provider’s server name, not your website URL.
- Port: normally 587 for authenticated submission with STARTTLS; use another port only when the provider specifies it.
- Encryption: STARTTLS/TLS or implicit SSL according to the provider’s instructions.
- Authentication: enabled unless the provider explicitly documents unauthenticated relay from your server.
- Username: usually the full mailbox address or provider-issued account name.
- Password or app credential: use a dedicated credential and never paste it into a public ticket, screenshot or repository.
Step 4: Set the visible sender
Set From to a real mailbox on the authenticated sending domain, for example [email protected]. Enable the option that forces WordPress mail to use this address only if it will not break a deliberate per-message sender policy. Set Reply-To to the address that should receive responses, such as the visitor’s address on a contact form. Do not place an unverified visitor address in From; that misalignment can fail authentication and damages reputation.
Best Value
Step 5: Save and send a controlled test
- Save the mailer settings.
- Send a test message to an address at one mailbox provider you control.
- Check the plugin’s debug result and the provider’s activity log before changing several settings at once.
- If the test fails, record the exact error, timestamp and connection mode; those details identify whether the problem is credentials, DNS, network access or recipient filtering.
Microsoft 365: exact requirements for client submission
For Microsoft 365 client submission, use smtp.office365.com. Microsoft documents port 587 as recommended, with port 25 also supported when it is unblocked. TLS 1.2 or TLS 1.3 is required. The submitting account must be a licensed mailbox, and SMTP AUTH must be enabled for that mailbox. OAuth or another modern-authentication method is preferred over a basic password.
If the address in the visible From field differs from the mailbox used to authenticate, that mailbox needs Send As permission for the alternate address. Without it, Microsoft 365 can reject the message even when the password is correct.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteWhen to use Microsoft 365 SMTP relay instead
Microsoft 365 SMTP relay is an advanced route for applications that need relay behavior rather than client submission. It uses a connector, port 25, and either a certificate or a static public IP. It offers higher limits than client submission in appropriate configurations, but requires DNS, network and tenant administration. Most ordinary WordPress sites should start with client submission or an API integration and move to relay only when their infrastructure and volume justify it.
Publish SPF, DKIM and DMARC
Authentication is part of delivery, not an optional finishing step. WordPress identifies the three controls this way:
- SPF is a DNS record listing the servers authorized to send for your domain.
- DKIM adds a cryptographic signature that receiving servers verify with a public DNS key.
- DMARC defines a policy and checks alignment between the authenticated domain and the visible From domain.
- Open the provider’s domain-authentication screen and add the exact TXT, CNAME or other records it supplies. Values differ by provider, account and region, so do not construct them from examples.
- Ensure your SPF record does not create multiple competing SPF TXT records. If several services send mail, combine their mechanisms according to the provider’s syntax and stay within SPF’s lookup limit.
- Enable DKIM signing in the provider dashboard after DNS verification, if the service requires a separate switch.
- Publish a DMARC policy for the From domain. Start with a monitoring policy when you need to discover legitimate senders, then tighten enforcement after reviewing reports and correcting alignment.
- Allow DNS propagation, then inspect a received message’s headers to confirm SPF pass, DKIM pass and DMARC alignment.
Verify real delivery, not just a green test screen
Send the same test to more than one mailbox provider. A message that reaches one inbox can still be rejected or spam-foldered elsewhere because filtering systems evaluate reputation, authentication, content and recipient history differently.
Quick Recap
- Inbox and spam folders: confirm where the message lands and whether the displayed From and Reply-To values are correct.
- Headers: look for SPF, DKIM and DMARC results, the authenticated sending domain, TLS information and any provider-added rejection reason.
- Plugin log: confirm the message ID, connection result and response code. Enable logs only as long as needed and restrict access to administrators.
- Provider log: distinguish accepted, deferred, bounced and delivered events. A provider acceptance event still does not guarantee inbox placement.
- Bounce behavior: send to a controlled invalid address only when your provider permits it, and verify that a non-delivery notice or event is recorded.
Troubleshoot by symptom
The test reports a connection timeout
- Confirm the SMTP host name has no spelling error.
- Check that the host allows outbound TCP 587. If the provider specifically requires port 25, ask the host to unblock it or use a supported submission port.
- Verify that a firewall, security plugin or hosting policy is not blocking the connection.
- Do not switch encryption modes randomly; match STARTTLS and implicit SSL to the provider’s port documentation.
Authentication fails
- Re-enter the username as the full mailbox address when the provider expects that format.
- Replace a normal password with an app password or OAuth flow if the account enforces modern authentication.
- For Microsoft 365, confirm the mailbox is licensed and SMTP AUTH is enabled for it.
- Check that the account has permission to send as the From address.
The message sends but lands in spam
- Use a real From mailbox on the authenticated domain and keep Reply-To separate.
- Verify SPF, DKIM signatures and DMARC alignment in the received headers.
- Review the provider’s bounce and reputation notices; repeated invalid recipients or complaints can reduce acceptance.
- Test a plain, low-volume message to several providers before sending a large campaign.
wp_mail() returns true but no recipient sees anything
- Check the plugin and provider logs for a later rejection or deferment.
- Inspect spam, quarantine and filtered folders at the recipient provider.
- Confirm the message was handed to the intended mailer rather than an unconfigured local relay.
- Verify DNS authentication and the visible From domain.
A previously working setup suddenly stops
- Check for an expired password, revoked OAuth grant, rotated API key or disabled SMTP AUTH setting.
- Review provider status and account limits.
- Look for a DNS change, certificate issue or hosting firewall update.
- If a backup connection is configured, verify that its credentials and DNS alignment are also valid; a fallback with incorrect authentication only creates a second failure path.
Operate SMTP securely and reliably
- Use TLS and modern authentication whenever the provider supports them.
- Keep credentials out of themes, plugins, screenshots, support tickets and public repositories. Prefer protected configuration or an API/OAuth integration.
- Limit WordPress administrator access to mail settings and logs because logs can contain addresses and message metadata.
- Enable failure alerts and set a retention period that meets your privacy requirements.
- Document the sender mailbox, DNS records, provider account owner, port and recovery contact so another administrator can restore service.
- Add a backup mailer only after testing it independently. The backup must have valid credentials, its own provider authorization and SPF/DKIM alignment for the From domain.
- Review bounces and complaints regularly, remove invalid addresses and avoid using a transactional relay for unsolicited bulk mail.
SMTP setup checklist
- Real sender mailbox exists on the sending domain.
- Chosen provider supports the site’s message type and expected volume.
- API/OAuth selected where practical; otherwise SMTP credentials are protected.
- Host, port, TLS/SSL mode and authentication match the provider’s current instructions.
- From address aligns with the authenticated domain; Reply-To is intentional.
- SPF, DKIM and DMARC records are published exactly as supplied.
- Outbound port access is confirmed with the host or firewall administrator.
- Tests reach more than one mailbox provider and headers show authentication passes.
- Plugin and provider logs, bounce handling and alerts are working.
- Any fallback mailer has been tested with matching credentials and DNS alignment.
