Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →To set up recurring billing for a SaaS business, decide what customers pay for and how often, choose a billing provider and implementation approach, configure the subscription offer, collect authorization, and connect payment outcomes to customer access. A working system also needs renewal-failure recovery, self-service tools, and a review of tax and invoice obligations in the markets where you operate.
1. Choose a pricing model and billing interval
Start with the value customers receive and how you can measure it. A subscription offer combines what you sell, its price, the currency, and the service interval. Monthly and annual billing are common choices, but the right interval depends on your product, customer expectations, and cash-flow needs.

| Model | How it charges | Often fits |
|---|---|---|
| Flat rate | One recurring price for a defined package | A product with a consistent feature set and little variation in customer usage |
| Per seat | A recurring charge for each licensed user | Products whose value or cost scales with the number of people using them |
| Tiered | Different prices or included quantities for defined tiers | Products serving customers with meaningfully different needs or usage levels |
| Usage-based | A charge based on measured consumption | Products where customer value or service cost tracks a measurable activity |
| Hybrid | A base subscription plus a usage, seat, or overage charge | Products that combine a predictable service component with variable consumption |
For usage-based pricing, define the event being measured, how it is counted, when customers can see their usage, and when it becomes billable. Explain how variable charges are calculated, and consider alerts or usage limits to help prevent unexpected bills. There is no single meter design that suits every SaaS product.

Compare platforms against your business requirements rather than selecting on the basis of a feature checklist alone. Stripe’s documentation is one example of how a billing platform can support different pricing and subscription workflows; its capabilities should not be treated as universal to other providers.

- Can customers manage billing themselves, and can your application respond to subscription changes?
- What tax, reporting, migration, and integration capabilities do you require, and what will they cost?
A hosted checkout or no-code setup can reduce the engineering work needed to begin accepting subscriptions. An API integration can give your product more control over checkout and subscription lifecycle behavior, but your team must implement payment-state handling and keep application access aligned with billing. Stripe documents both types of approach; the appropriate choice depends on your product and engineering capacity. No neutral head-to-head performance or reliability comparison is established here.
3. Define the offer customers are buying
Represent each offer consistently in your billing system: the product or plan, recurring price, currency, interval, any trial or discount, tax behavior, and usage rules. When a customer signs up, associate their account with the selected price and the appropriate payment method. In Stripe’s model, a product represents what is sold and a price specifies how much and how often it is charged; other providers may use different terminology.
Decide how changes work before launching. For example, determine whether a plan change takes effect immediately or at renewal, how unused time or added usage is treated, and what happens when a customer cancels. Make those rules consistent across checkout, invoices, your application, and support guidance.

4. Collect authorization and disclose the billing terms
Obtain the customer’s authorization before charging on a recurring schedule, and handle stored payment data through a secure, appropriate payment flow. At signup, make the price or calculation method, currency, billing interval, renewal timing, and method for changing or canceling the subscription clear. Keep those terms accessible after purchase as well.
These are sound operational practices, not a complete statement of the law. Consent, renewal, cancellation, invoice, and disclosure requirements depend on the customer’s location, transaction details, and other circumstances. Seek local legal advice for the markets in which you sell.
5. Connect payment states to application access
A completed checkout form or newly created subscription record does not by itself prove that a payment succeeded. For example, Stripe’s API documentation describes subscriptions that remain incomplete when the first invoice needs payment, including cases where the customer must authenticate. Your application needs to respond to the payment result, not merely to the start of checkout.

Define the entitlement behavior for each relevant state before enabling billing. A useful policy addresses what the customer can do while payment is pending, after payment succeeds, when an invoice becomes past due, and after cancellation. The exact state names and event behavior depend on the provider and integration; verify them in the provider’s current documentation.
Recommended Free Tools
- Grant paid access only after the payment outcome meets your policy.
- Decide whether a grace period applies after a renewal failure and what the customer can access during it.
- Specify when access changes after cancellation, including whether service continues through a paid period.
- Make state transitions safe to process more than once, and record enough information to investigate mismatches.
Before launch, test the normal signup and renewal path, a declined or unavailable payment method, first-payment authentication, a failed renewal, a plan change, cancellation, and recovery after the customer updates payment details. These cases help expose gaps between the billing system and your application’s access rules.
6. Prepare for failed renewals and recovery
A renewal may fail because payment details have expired or changed, funds are unavailable, or the payment is declined for another reason. Configure retry behavior and customer notices, provide a secure way to update payment details, and decide when any access restriction takes effect. A retry setting alone does not define how your support team answers billing questions or restores service after payment succeeds.

Stripe’s guide, last updated April 21, 2026, attributes more than $6.5 billion recovered in 2024 to its recovery tools. This is a vendor-reported aggregate, not an independent benchmark or a forecast of what any individual SaaS business will recover.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.7. Give customers a self-service billing path
Customers should have a clear way to review billing history and invoices, update payment details, and manage the subscription actions you allow. Stripe describes a customer portal with options that can include upgrades, downgrades, pauses, resumes, cancellations, payment-method updates, invoice history, and payment of outstanding invoices. These are Stripe product capabilities, not a guarantee that another provider offers the same options or that every option is enabled by default.
Choose which changes customers can make without contacting support, and make sure your application responds appropriately when they do. For example, a plan change in a billing portal may need to update the customer’s entitlements in your product.

8. Check payment methods, taxes, and market coverage
Select reusable payment methods with your customers’ locations and preferences in mind. Stripe’s SaaS payment-method guide discusses cards, digital wallets, and bank debits, while noting that payment habits vary by market. Because availability changes and that guide is older than other Stripe implementation materials, confirm current method and country coverage directly with the provider before relying on it.
Automated tax features may calculate or collect tax based on configured rules, but they do not establish where your business must register, collect, file, or remit. Assess customer locations and relevant product classifications, then get competent tax advice for your business. Tax and invoice obligations vary by jurisdiction; a billing platform feature is not a universal compliance guarantee.
