What you need before opening Outlook
Outlook cannot correct a server-side mail or DNS problem. Prepare the VPS and Virtualmin account first. You need administrative access to Virtualmin, the mailbox password, and a hostname that resolves to the VPS.

- A mail-enabled Virtualmin domain: The virtual server must have email enabled, and the mailbox must already exist.
- The exact mailbox identity: Virtualmin may require a full email-style username such as
[email protected], not onlyuser. - A stable mail hostname: Use the hostname Virtualmin publishes, commonly
mail.example.comor the server’s fully qualified domain name (FQDN). Do not substitute a convenient alias unless it resolves correctly and is covered by the certificate. - Working DNS: The mail hostname must resolve to the VPS, and the domain’s MX record must direct incoming mail to the intended mail host.
- A trusted certificate: The name entered in Outlook must match a name on the server’s TLS certificate. Virtualmin’s installer is designed to request a real certificate when the hostname resolves to the server and the required ports are reachable.
- Reachable ports: The VPS firewall, any cloud security group, and the server firewall must permit the selected IMAP and SMTP ports.
Virtualmin configures Dovecot for IMAP and POP3 and configures Cyrus saslauthd for SMTP authentication. That is why a normal email client can use the mailbox, but the client still has to use the precise values exposed by your installation.
Find the authoritative settings in Virtualmin
Do not build the account from a generic port list. Virtualmin can use different hostnames, ports, and encryption modes depending on the installation. Its mailbox view is the authority for your account.

- Sign in to Virtualmin and select the virtual server (mail domain) that owns the mailbox.
- Open the mailbox or email user’s details.
- Choose Show Email Client Settings (the label may appear in the user’s email-client settings view).
- Copy the displayed values into a temporary note. Record the incoming protocol, incoming server, incoming port, incoming encryption mode, outgoing server, outgoing port, outgoing encryption mode, username, and any authentication requirement.
- Keep the mailbox password available. If the panel lets you reset it, use a new password if you are unsure that the current one is correct.
The displayed username can be the complete address, for example [email protected]. Treat capitalization, punctuation, and the domain portion as significant when entering it in Outlook.
Choose a hostname that will pass DNS and TLS checks
The incoming and outgoing server names are not merely labels. Outlook resolves them, opens a socket to the selected port, and checks the certificate when TLS is used.
Mail subdomain
A dedicated name such as mail.example.com is easy to recognize. Create an address record that points it to the VPS, use that same name in Outlook, and ensure the certificate includes it.
Server FQDN
Virtualmin may publish the server’s FQDN instead, particularly when that is the name configured during installation. It is valid to use it when DNS points the name to the VPS and the certificate covers it.

Domain alias
An alias is safe only when Virtualmin explicitly displays it as the client hostname, DNS resolves it to the VPS, and the certificate contains the alias. If any of those conditions fails, Outlook can show a certificate warning or fail before authentication.
Use one consistent, certificate-covered name for both incoming and outgoing services unless Virtualmin shows different names. If you change the hostname later, update DNS, obtain or renew the certificate, and change the Outlook account settings together.

Publish the DNS records mail delivery and authentication require
MX record
Set the domain’s MX record to the host intended to receive mail. An MX pointing elsewhere can make Outlook appear broken even when IMAP itself is working, because new messages never reach this VPS.
SPF
Enable SPF in the domain’s Virtualmin DNS controls and include the systems authorized to send for the domain. SPF is a sender-authentication policy; it does not replace SMTP authentication in Outlook and does not determine which server Outlook uses for incoming mail.

DKIM
Enable DKIM signing and generate or select a key where Virtualmin offers that control. Publish the public key record exactly as Virtualmin specifies. DKIM signs outgoing messages; it does not change the IMAP password or the Outlook port.
DMARC
Enable DMARC in the DNS controls and choose a policy appropriate for the domain’s sending setup. DMARC evaluates alignment of SPF and DKIM and gives receiving systems a policy signal. It cannot repair a wrong MX record, a blocked SMTP port, or an invalid Outlook password.

Before troubleshooting Outlook, query the records from a network that can resolve the public DNS and confirm that the returned MX and address records match the intended VPS.
IMAP, POP3, and the two TLS styles

A frequently seen encrypted combination is IMAPS on port 993 and SMTP submission on port 587 with STARTTLS. Those are examples, not defaults you should impose: the settings displayed by your Virtualmin installation take precedence.

Add the mailbox in classic Outlook for Windows
These steps apply to classic Outlook, the desktop application that exposes the manual IMAP controls. Menu wording can vary slightly by Outlook build, but the manual path is the same.
- Open Outlook and select File.
- Choose Add Account.
- Enter the mailbox address. Select Advanced options, then check Let me set up my account manually.
- Select IMAP.
- For Incoming mail, enter the server name, port, and encryption mode copied from Virtualmin.
- For Outgoing mail, enter the SMTP server name, port, and encryption mode copied from Virtualmin.
- Continue and enter the mailbox password when Outlook requests it.
- If Outlook asks for a username separately, enter the exact Virtualmin username. Use the full
[email protected]form when that is what Virtualmin displays. - Open the account’s advanced settings and enable My outgoing server (SMTP) requires authentication when Virtualmin requires authenticated submission. Select the option to use the same credentials as the incoming server unless Virtualmin shows a different SMTP identity.
- Save the account and run Outlook’s Test Account Settings.
Do not select POP3 simply because Outlook offers it first. IMAP keeps the mailbox state on the VPS and is generally the appropriate account type for a VPS-hosted mailbox accessed from more than one place.

Outlook’s advanced dialog pairs a port with an encryption choice. A correct port with the wrong encryption mode still fails.

If the panel displays a nonstandard port, use it. A firewall rule for 993 or 587 does not help when your server is configured to listen on different ports; open the actual ports shown by Virtualmin and keep unnecessary ports closed.
Test both directions and read the result
Use Test Account Settings after saving the account. Green checks indicate that Outlook completed the corresponding test. A red marker means at least one value or prerequisite is wrong; it does not identify which layer failed.
- Send a message from the mailbox to an address you control and confirm that it leaves the Outbox.
- Send a reply to the mailbox from an independent account and check whether it appears in the Outlook Inbox.
- Check the Sent folder and webmail, if enabled, to verify that the server accepted and stored the submitted message.
- If delivery is delayed or rejected, inspect the VPS mail logs after confirming Outlook has authenticated. Outlook settings alone cannot guarantee delivery to another provider.
Run tests from the same network in which the failure occurs. A corporate or hotel network can block or intercept mail ports even when the VPS is configured correctly.
Troubleshoot the common failures
Outlook repeatedly asks for the password
- Replace a short username with the exact full username shown under Show Email Client Settings, often
[email protected]. - Retype the password rather than relying on a saved credential. If necessary, reset the mailbox password in Virtualmin and enter the new value in Outlook.
- Confirm that the account is using the intended mailbox, not an administrator login or a different virtual server.
- Check the incoming and outgoing server names separately. Authentication can fail after a successful network connection when one service points to a different host.
Certificate warning or name mismatch
- Change the server name in Outlook to the hostname covered by the certificate and published by Virtualmin.
- Verify that the hostname resolves to this VPS, not an old address or another server.
- Obtain or renew a trusted certificate for the hostname. A certificate for
example.comdoes not automatically covermail.example.com. - Do not dismiss a name-mismatch warning as harmless; it can indicate that credentials are being sent to the wrong endpoint.
You can receive but cannot send
- Enable My outgoing server (SMTP) requires authentication and use the mailbox credentials required by Virtualmin.
- Recheck the SMTP submission port and whether the encryption mode is STARTTLS or implicit TLS.
- Confirm that the VPS firewall and cloud firewall allow outbound connections and that the selected SMTP port is listening.
- Check the SMTP server name for spelling and certificate coverage. Receiving through IMAP can work while SMTP points at a different, invalid host.
You can send but cannot receive
- Confirm the domain’s MX record points to the intended mail host and that the host’s address record points to the VPS.
- Verify that the IMAP port is reachable and that Dovecot is running on the VPS.
- Check that Outlook is using IMAP rather than an accidentally created POP3 account and that the IMAP folder view is subscribed or synchronized.
- Send a test message from webmail or another account and inspect the server logs to determine whether it arrived at the VPS.
Outlook cannot autodiscover the account
Autodiscover is optional. Virtualmin can provide an Outlook auto-configuration option, but you can always complete the manual IMAP flow: choose Advanced options, check Let me set up my account manually, select IMAP, and enter the published values. Autodiscover failure does not prove that IMAP or SMTP is unavailable.
Both directions fail immediately
- Compare every field with the Virtualmin display: username, password, hostnames, ports, and encryption.
- Resolve the hostnames from the affected computer and confirm they return the VPS address.
- Check firewall and security-group rules for the exact ports, and confirm the mail services are running.
- Look for a certificate error before changing passwords; a TLS negotiation failure occurs before authentication.
Classic Outlook versus New Outlook
The manual path above is for classic Outlook for Windows. New Outlook has different screens and its support for manually configured third-party IMAP accounts can vary by release and account type. If New Outlook does not expose the IMAP and SMTP fields you need, use classic Outlook to complete the account setup or follow the options that your current New Outlook build provides. In either application, the server values still come from Virtualmin; changing the Outlook interface does not change DNS, certificates, firewall rules, or mailbox credentials.
A final preflight checklist
- The Virtualmin virtual server is mail-enabled.
- The mailbox exists and its password is known or has just been reset.
- Show Email Client Settings has been copied for this specific mailbox.
- The incoming and outgoing hostnames resolve to the VPS.
- The certificate covers every hostname entered in Outlook.
- The MX record targets the intended mail host.
- SPF, DKIM, and DMARC are enabled in the domain’s DNS controls where appropriate.
- The VPS and cloud firewalls allow the exact IMAP and SMTP ports Virtualmin displays.
- Classic Outlook is configured as IMAP, with matching encryption and SMTP authentication.
- Account tests pass, and you have verified one outbound and one inbound message.
The dependable rule is simple: let Virtualmin supply the per-mailbox settings, and make DNS, TLS, firewall, and Outlook agree with those values. When a setting is not shown by your installation, do not infer it from a generic port list; check the panel and the server logs instead.
