Connect an AI marketing tool to only the CRM data and actions its job requires. Approve the connector centrally, preserve each user’s existing CRM access, start with read-only actions, review data-use terms separately, and test access with users in different roles before launch. Connector approval, OAuth scopes, CRM permissions, AI-app action settings, and vendor data-sharing consent are separate controls; one does not replace the others.
How do you control what customer data an AI tool can access?
Begin by defining the workflow, not by granting the integration broad CRM access. Write down what the tool needs to do—for example, summarize approved records, analyze published campaign performance, draft copy from selected fields, or update a record after a person reviews it.

For each task, identify the minimum CRM objects and fields, the people who need access, and whether sensitive or regulated data is involved. Then assess the connector against these separate control layers:

- Provider OAuth scopes: What permissions does the application request when authorized?
- AI workspace controls: Who can use the app, which actions are available, and whether users must approve them?
- Vendor data-use settings and terms: How may the provider handle data, including retention, training, and residency?
OpenAI’s admin documentation explicitly distinguishes these checks: “Provider approval, OAuth scopes, and ChatGPT action settings are separate checks.” Review each one rather than treating successful authentication as proof that data access is appropriately limited. How do I connect my CRM to ChatGPT?
The precise setup depends on the CRM connector and your ChatGPT workspace. Treat the HubSpot and Salesforce examples below as product-specific; do not assume another connector inherits permissions or uses the same authorization flow.
Approve a HubSpot connector centrally
For HubSpot’s ChatGPT connector, HubSpot says Super Admins and users with App Marketplace Access permissions can connect without prior approval. Other users need a Super Admin to approve the connection, select data permissions, and specify who can install it. Review the requested permissions before approving, and limit installation to the people who need the workflow. HubSpot: Set up and use the HubSpot connector for ChatGPT.
HubSpot says the connector reflects HubSpot permissions, including access to specific contacts. That is useful permission inheritance, but it is not evidence that every connector enforces every CRM permission type. Confirm the objects, records, and fields exposed by the particular integration.

Set up a Salesforce hosted MCP connection
Salesforce’s documented hosted MCP setup involves creating an External Client App, selecting appropriate OAuth scopes, configuring PKCE and JWT-based tokens, and using a client-specific callback URL. A Salesforce System Administrator or equivalent is needed to create the app. These steps authorize the client; they do not replace Salesforce record permissions or decide whether Salesforce may use customer data for its own specified purposes. How do you keep restricted CRM records out of an AI workflow?
Prefer a connector that enforces the signed-in user’s existing permissions, and verify the behavior for record-level, object-level, and field-level access separately. A broad service connection or tenant-wide index can have a different exposure model from a user-authorized connector.
HubSpot says its ChatGPT connector automatically respects HubSpot permissions, including access to specific contacts. Microsoft documents a Salesforce connector mode that enforces ownership, sharing rules, and role hierarchy, as well as an “Everyone” mode that exposes all indexed records in the tenant. Microsoft positions that broad mode for data intended to be non-confidential. Microsoft Learn: Salesforce CRM connector overview – Microsoft 365 Copilot connectors.

Pay particular attention to Salesforce field-level security when using Microsoft’s connector. Microsoft says restricted fields are excluded by default; if administrators opt to index those fields, Salesforce field-level security is not applied to the indexed results. Do not enable that option without evaluating the resulting access model and whether those fields should be indexed at all.

1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesHow should you limit AI actions and handle writes?
Start with read actions. In OpenAI’s documented app controls, “Allow read actions” permits reads without asking but requires confirmation before changes; “Always ask” requires approval before actions. Choose the narrowest setting that supports the workflow, and restrict who can use the app. OpenAI: Admin controls, security, and compliance for plugins and apps.
Enable writes only for a defined task with a human approval step, an audit trail, and a recovery plan for incorrect changes. HubSpot specifically advises setting write tools to “Needs Approval” when using its connector configuration. Confirm the current labels and available controls in your workspace, since app features can change.
How do you review data sharing, training, and retention?
Read the provider’s terms for the specific product, plan, feature, and account settings in use. HubSpot’s connector documentation says OpenAI’s training treatment depends on the ChatGPT plan and account settings; do not generalize that statement into a blanket promise about all ChatGPT plans or data. OpenAI’s app-administration guidance also addresses data handling and workspace controls, but administrators should check the current terms applicable to their deployment.
Salesforce’s “Manage Salesforce Access to Customer Data” setting concerns Salesforce’s use of customer data for specified purposes, including model training, service improvement, and research and development. Salesforce says this setting does not change its zero-data-retention policy with third-party LLMs. In the documented setup, administrators navigate to Einstein Setup, select Opt Out of Customer Data Access, and change the sharing consent if the org is eligible. Check current org eligibility and legal terms before changing the setting. Salesforce Help: Manage Salesforce Access to Customer Data.

What should you compare before choosing a CRM AI connector?
| Control area | Questions to verify |
|---|---|
| Permission inheritance | Does access follow each user’s record, object, and field permissions, or can a shared service connection expose broader data? |
| Action scope | Does the tool retrieve data, draft changes, or write directly to CRM records? Can writes require approval? |
| Authorization | Which OAuth scopes and administrator consents are required, and how are they distinct from user-level CRM access? |
| Data handling | What is retained, for how long, and under which plan settings? Are training and data residency addressed by separate settings or terms? |
| Audit and revocation | Are app access and actions logged? Can administrators disable access centrally, and must users reconnect after a permission change? |
| Coverage and limits | Which objects and fields are indexed? Are there field-security exceptions or crawl-related API quota effects? |
For Microsoft 365’s Salesforce connector, Microsoft notes that full crawls consume Salesforce API quota, so plan crawl schedules appropriately for large organizations. Review the connector’s indexed object and field coverage before enabling it.
Validation checklist before launch
- Define the boundary: Document the marketing task, minimum objects and fields, intended users, and any sensitive data involved.
- Review authorization: Have the CRM administrator and AI workspace administrator check the publisher, requested OAuth scopes, permissions, available actions, retention, training, and data-residency terms.
- Approve centrally: Limit who can install or use the connector and choose only the permissions required for the workflow.
- Preserve access rules: Verify record-, object-, and field-level behavior. For indexed data, check any documented exceptions before enabling indexing.
- Start read-only: Test retrieval first. If writes are necessary, require approval and establish audit and rollback procedures.
- Test different roles: Use at least one broadly privileged test user and one restricted user. Check that restricted records and fields do not appear to the restricted user.
- Exercise lifecycle controls: Test reads, approved writes, denied actions, access revocation, and the effect of changing a user’s role.
- Check logging: Confirm that the app and workspace produce the event coverage required by your organization. OpenAI notes that app-log coverage depends on the app and workspace configuration. OpenAI: Admin controls, security, and compliance for plugins and apps.
- Schedule connector maintenance: For Microsoft’s Salesforce connector, account for Salesforce API quota used by full crawls.
When should you reassess permissions?
Review the setup when a user changes roles, the marketing task expands, the connector adds actions or OAuth scopes, vendor terms change, or data-residency requirements shift. OpenAI notes that some permission changes may require users to reconnect or reauthorize an app; confirm whether that applies to the integration you use.
