On a Mac, you can capture a meeting with ChatGPT in either of two ways: start Record from a chat, or install the separate Meetings plugin. Record creates a transcript and notes in a chat; Meetings creates a meeting page with notes and suggested action items. Their plan availability, setup, and data handling differ, so choose the workflow that fits your account and needs.

Set up ChatGPT Record
- Update the ChatGPT macOS app and sign in. Record is documented for Plus, Pro, Business, Enterprise, and Edu workspaces on macOS.
- Open a chat and click Record at the bottom of the window. Grant the requested microphone and system-audio permissions.
- Record the meeting. ChatGPT transcribes as you speak. Pause or resume as needed. A Record session is currently limited to four hours; a session that reaches the limit stops automatically and generates notes.
- Finish and submit. Select Stop, then Send to upload the transcript and generate notes.
- Review the result. Find the transcript and notes in the chat canvas or recording view, depending on how you started. You can edit the notes or ask ChatGPT to turn them into a follow-up email, project plan, or code scaffold.
Record’s calendar behavior has a specific limit: OpenAI documents automatic joining for Google Meet links when Google Calendar is connected. For Zoom, Microsoft Teams, Webex, and other meeting links, start Record manually.
Set up the Meetings plugin
- Install Meetings. In the ChatGPT macOS app, open Plugins, find Meetings, and install it. Open Meetings from the sidebar and complete onboarding.
- Allow microphone and system-audio access when prompted. Calendar access is optional: connect Google Calendar or Outlook Calendar for reminders about upcoming meetings, or take notes without a calendar connection.
- Get participant consent before starting. Open Meetings and click Take notes. The app’s consent reminder is for you; it does not alert other participants.
- Stop note-taking when the meeting ends. After audio uploads and processing finishes, review the meeting page. It combines transcript-based notes, personal notes, and relevant context from apps you authorized, and may include suggested action items.
Check and refine the notes before relying on them
Transcripts and summaries can contain mistakes. OpenAI specifically advises checking important information. Verify names, decisions, dates, figures, and action items before sending notes or acting on them. If the transcript is poor, use a headset and reduce background noise, as OpenAI recommends for Record.

- Remote attendees are missing: Check that ChatGPT has Screen & System Audio Recording permission. Confirm that the intended microphone is connected and working, too.
- Your voice is unclear: Check microphone access and the selected, connected microphone. A headset and a quieter setting may improve capture.
- The meeting link did not start recording: Start Record manually unless you are using a Google Meet link with Google Calendar connected; the documented auto-join support does not cover Zoom, Teams, Webex, or other links.
Understand what happens to audio, transcripts, and meeting pages
Audio deletion does not mean every related item follows the same retention or training rules. For Record, OpenAI says audio is used for transcription and deleted afterward, while the transcript and canvas follow the conversation or workspace’s retention settings. Deleted conversation content is removed within 30 days unless it must be retained for legal reasons. For Free, Plus, and Pro users who have Improve the model for everyone enabled, transcripts and canvases may be used to train models; Business, Enterprise, and Edu workspace content is excluded from training by default. Users can turn that setting off.
For Meetings, audio is streamed to OpenAI to generate notes. When the notes are ready, audio is deleted from the Mac and OpenAI’s servers; if the Mac is offline or processing is incomplete, audio may remain temporarily on the Mac. Meeting pages are private by default. If you share a page, recipients can see the notes, but not the transcript.
