OX Mail’s automatic-reply feature is usually called Vacation notice, not “Autoresponder.” In the current OX Cloud web interface, open Gear icon → Vacation notice, enable the toggle, enter a subject and message, and select Apply changes. Provider-branded OX App Suite installations may instead place it under Settings → Mail → Vacation notice or call it Out of office.
These instructions apply to the mailbox web interface. The exact labels and available controls depend on your OX provider and account configuration.

Turn on the OX Mail vacation notice
- Sign in to OX App Suite in your web browser.
- Click the gear icon in the upper-right corner.
- Select Vacation notice. If it is not listed there, try Settings → Mail → Vacation notice.
- Turn on the Vacation notice toggle.
- Enter the automatic reply’s subject and message.
- Choose whether the notice should run indefinitely or only during a specified period.
- If you selected a period, enter the start and end dates.
- Click Apply changes.

Schedule the reply for specific dates
Indefinite mode
With no active date range, the vacation notice stays on until you switch it off. This can suit an absence with no definite return date, but it is easy to forget.
Scheduled mode
Select the option labelled something like Send vacation notice during this time only, then enter the start and end dates. Scheduling is safer for holidays, conferences, parental leave and planned vacations because the feature is intended to stop after the stated period.
- Check the mailbox or provider time zone before relying on the boundary of a date.
- Some deployments accept dates only; others may expose date-and-time controls.
- After the end date, reopen Vacation notice to confirm the toggle is off. A mail client may not refresh its screen immediately.
Write a useful automatic reply
Keep the message factual and useful to someone who has just emailed you. Include your absence period, what the sender should expect, and an alternative contact when one exists.

Subject: Out of office until 14 October
Thank you for your message. I am out of the office from 7 October through 14 October and may not read email during this period.
For urgent matters, please contact Alex Rivera at [email protected]. I will respond as soon as possible after I return.
Avoid publishing sensitive personal information, detailed travel plans, exact locations or internal information that external senders should not see. Do not promise a response time you cannot meet, and include a phone number only when it is appropriate for the audience.
Configure advanced options
If your provider exposes Show advanced options, you may be able to configure:

- The number of days between notices sent to the same sender.
- The email address used as the sending address.
- The active period for the notice.
OX App Suite can limit repeated replies to the same sender, but neither a universal default interval nor identical controls are documented for every installation. Available values and defaults depend on the provider’s configuration. Turn off the OX Mail autoresponder
- Open Gear icon → Vacation notice (or your provider’s equivalent).
- Switch the Vacation notice toggle off.
- Select Apply changes if the interface requests it.
OX Cloud can also show a reminder at the top of the inbox while the notice is active. Clicking that reminder may provide a direct way to disable it, as described on the OX Mail product page. Dismissing a reminder is not necessarily the same as switching off the feature, so verify the toggle in settings.
Test whether it works
- Reopen Vacation notice and confirm that the toggle, subject, message and dates are saved.
- Check the selected sending address if advanced options are available.
- Send a test message from a separate account, preferably an external mailbox.
- Check the received reply, including its sender address, subject and formatting.
- If no reply arrives, allow for mail-server processing, spam filtering and provider anti-abuse rules.
- Do not send repeated tests from the same address immediately: duplicate-notice suppression may prevent another reply for the configured interval.
- Turn the feature off after testing if the mailbox should not remain in absence mode.
OX Mail does not guarantee an immediate reply to every test message. Sender systems can reject automatic replies, providers can restrict external responses, and a sender may already have received a notice within the suppression period.
OX Mail autoresponder not working
“Autoresponder” is not listed
Search the settings for Vacation notice, Out of office or Automatic reply. Then try Gear icon → Mail → Vacation notice. The interface may not use the word “Autoresponder.”

The option is missing or unavailable
- Your provider may have disabled the feature.
- Your mailbox package or administrator policy may not include it.
- You may be viewing a different account or an external-account panel.
- The provider may have changed the location in its branded interface.
- A mobile or legacy client may expose fewer settings than the web app.
Try the full web version, then ask the provider or administrator whether Vacation notice is enabled for your account.

The message does not send
- Confirm the toggle is on and that you clicked Apply changes.
- Check that the current date falls inside the configured period.
- Verify that you edited the intended mailbox and sending address.
- Test from a separate account rather than repeatedly from the same sender.
- Check spam and quarantine folders.
- Ask the provider whether outbound automatic replies or external recipients are restricted.
The notice continues after you return
Common causes include indefinite mode, an incorrect end date, a time-zone mismatch, or an unsaved schedule. Return to Vacation notice and inspect the toggle and dates; do not assume that closing an inbox reminder disabled the service.
People receive multiple replies
Check whether the sender contacted more than one address or alias, whether another autoresponder is active, and whether forwarding or filtering creates a duplicate delivery path. A short repeat-notice interval can also produce more than one reply over time.

The built-in feature is an absence message attached to one mailbox. It is not a drip-campaign, marketing-automation or rule-based customer-support system.

For a personal out-of-office message, the built-in Vacation notice is usually the simplest choice because it is part of the mailbox you already use. OX Mail is an email application within OX App Suite, a provider-delivered platform rather than a standalone campaign product (OX technical documentation).
If your requirement is multi-step routing, ticket creation, service-level tracking, shared acknowledgements or campaigns, use a help desk, shared inbox, CRM or marketing platform instead.
