Set up access controls and audit logs as one system: define which people and services may perform which actions on each sensitive research asset, then record enough protected, useful evidence to review those actions and investigate incidents. Start with an inventory, apply least privilege and strong authentication, select meaningful events, protect and retain the logs, and test the full path before relying on it.
What access controls and audit logs do
Access control determines who or what identity can take an action on a resource. Audit logging records selected events so authorized staff can review activity, demonstrate oversight, and investigate problems. Neither works by itself: a log does not prevent unauthorized access, and a permission rule does not show what happened after it was granted.

NIST notes that the security of AI technologies is part of their trustworthiness (NIST, AI Research – Security and Resilience). For a research environment, that means treating more than the original dataset as in scope. Training and output data, model weights and configuration, and the systems processing them can all matter.
1. Inventory and classify the full research environment
Before configuring identity or logging products, map the assets, identities, services, and flows that need protection. Include copies and exports: sensitive data can leave its original storage through notebooks, APIs, model pipelines, or a researcher’s local workspace.

- Data and artifacts: training, validation and test data; derived datasets; model weights and configuration; notebooks; code; experiment outputs; and exports.
- Systems: storage, identity providers, code repositories, notebooks, compute environments, APIs, model services, backup systems, and administrative consoles.
- Identities and flows: researchers, data stewards, administrators, auditors, incident responders, service accounts, third-party services, and service-to-service transfers.
- Rules that govern use: institutional policies, contracts, consent terms, funding conditions, and applicable laws that may affect access, disclosure, or retention.
Assign sensitivity labels that can guide permissions and event selection. The applicable legal and contractual requirements depend on the project; a general control framework cannot determine which rules apply to a particular study.
2. Define roles, permissions, and account lifecycle
Build access rules around actual duties. Create roles or an equivalent policy model, then specify which resources and actions each role needs. For example, a researcher may need to read an approved dataset and write experiment outputs, while a platform operator may administer compute but not routinely inspect research records.

NIST SP 800-171 Rev. 3 describes least privilege for both users and system processes: “Organizations employ the principle of least privilege for specific duties and authorized access for users and system processes” (NIST SP 800-171 Rev. 3). This is useful design guidance; it does not mean every research team is subject to CUI requirements in that publication.
- Use individual named accounts for people and controlled service identities for software, rather than shared accounts where possible.
- Grant only the resources and actions needed for assigned work; avoid broad default access to a project’s entire environment.
- Separate privileged administration from everyday work where practicable, and limit administrator roles to designated people.
- Document who approves access, how it expires or is reviewed, and how joiners, role changes, departures, emergency access, and service accounts are handled.
- Set and record a risk-based access-review cadence. NIST leaves review frequency organization-defined, so select a schedule based on sensitivity, personnel turnover, and operational change.
3. Require strong authentication on every access path
Enable multifactor authentication for accounts and control planes that can reach the data, including identity, storage, code, compute, and remote-access systems. Prioritize administrators and people handling sensitive records. CISA advises businesses to aim for a phishing-resistant MFA method and identifies physical security keys among the available options (CISA: Require Multifactor Authentication).

4. Choose audit events for the questions you need to answer
Decide what an investigation or oversight review must be able to establish, then enable events accordingly. NIST SP 800-53 examples include failed logons or access attempts, administrative privilege use, security or privacy attribute changes, data actions, and query parameters. Map these categories to the systems in your environment rather than assuming one product logs everything.
Recommended Free Tools
- Access: successful and denied reads, writes, and other access attempts where supported.
- Privilege and configuration: privileged actions, permission changes, and security-setting or privacy-attribute changes.
- Research data lifecycle: relevant dataset or model creation, modification, deletion, export, and transfer actions.
- Service activity: service-account and API activity that affects sensitive resources.
- Queries: relevant query parameters when needed for investigation, while excluding secrets and unnecessary sensitive values.
For each event type, state why it is collected, which system supplies it, and who reviews it. Include the identity or process, timestamp, action, outcome, and affected resource when available. Collect enough context to investigate without placing secrets, complete sensitive records, or unnecessary personal information in log payloads.

5. Protect logs, set retention, and monitor collection
Audit records can themselves expose sensitive activity, so limit who can read, change, administer, or delete them. Where feasible, separate log administration from ordinary research-data administration and copy records to a distinct protected repository. This makes it less likely that a compromise of the source environment can also erase its evidence.
Choose retention based on applicable legal, contractual, institutional, and investigation needs. The cited NIST controls leave retention organization-defined; they do not establish a universal number of days or years for AI research. Plan repository capacity for the chosen period, monitor it, and alert named responders if collection fails, storage approaches capacity, or records become unavailable. Confirm that logs remain readable for any required long-term period.
6. Test permissions and the complete logging path
Do not treat enabled settings as proof that the system works. Test with representative roles and confirm both the access decision and the resulting evidence.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- Have a permitted user perform representative reads, writes, and exports; confirm the actions succeed only where intended and generate useful events.
- Attempt denied access with a role that should not reach the resource, and test a revoked identity. Confirm access is blocked and the attempt is attributable in the logs where supported.
- Test privileged actions and permission changes. Verify the event identifies the acting person or process, time, action, outcome, and affected resource as available.
- Confirm events arrive in the central protected repository, and that ordinary research users cannot alter or administer that repository.
- Simulate or safely test a collection or capacity problem. Verify an alert reaches the named responder and that incident escalation is clear.
- Document exceptions and compensating controls, then repeat reviews after material changes to data, personnel, models, platforms, or policy.
How to evaluate an implementation
When comparing platform approaches or products, assess the controls as a connected system rather than judging a feature list in isolation.
- Can roles or attributes express project-, dataset-, and action-level permissions?
- Does identity lifecycle management support MFA, privileged access handling, and evidence of access reviews?
- Are events available across storage, notebooks, compute, identity, APIs, and model or data services?
- Can logs be exported, stored independently, protected against tampering, searched, retained, and used for alerts?
- Can sensitive values be excluded or masked to reduce privacy exposure in the logs?
- What integration and administration effort is required, and does the design satisfy availability, contractual, jurisdictional, and institutional requirements?
NIST and CISA guidance supports control outcomes, not a ranking or endorsement of commercial products. Confirm current standards and platform capabilities against the project’s requirements before deployment. NIST describes its AI Risk Management Framework as voluntary and says AI RMF 1.0 is under revision; SP 800-53 and SP 800-171 have different scopes and applicability.
