Set up your MacBook Pro by first checking any employer requirements, then completing Setup Assistant, securing the account and disk, reviewing privacy settings, and configuring a separate Time Machine destination. iCloud can sync selected data, but it does not back up the whole Mac.
Before you turn on the Mac
Have reliable Wi-Fi or Ethernet available. Setup Assistant may need an internet connection and may require a macOS update. If you plan to transfer data, connect the included power adapter and allow extra time. Decide whether to start fresh or migrate from another Mac, a Time Machine backup, a startup disk, or a Windows PC. Apple’s Setup Assistant guide covers these routes; the exact screens can differ by macOS release and region.

If this is an employer-owned Mac, check your organization’s setup and device-management instructions before connecting personal accounts or changing managed settings. Apple does not define one universal workplace policy, so follow your employer’s requirements where they differ from these general steps.

Choose migration and account options
Follow Setup Assistant to connect to a network, select accessibility options, and decide whether to migrate data. Create a local computer account with a strong password: it unlocks the Mac and authorizes some actions. If the Mac is shared, create a separate user account for each person rather than sharing one login. Apple explains the security value of separate accounts in its guide to keeping information safe on Mac.

Review service prompts
Consider each prompt for Location Services, Screen Time, Apple Intelligence, Siri, Touch ID, and Apple Account sign-in rather than accepting every choice automatically. Availability and wording depend on macOS version, language, and region; Apple Intelligence, in particular, has region and language limits. Connect only the accounts and services you need, especially on a work device.
Install updates and enable recovery options
After setup, install available macOS updates. Apple says software updates include current security software. Consider enabling Find My so you can locate or deactivate a lost Mac from a browser or another Apple device. Review app permissions for sensitive resources and keep work and personal accounts separated in line with employer policy. These are useful general protections, not a substitute for an organization-specific security baseline.

Understand FileVault and its recovery choice
Apple says Macs with Apple silicon or an Apple T2 Security Chip encrypt data automatically. FileVault adds protection that ties access to the login password. To review or enable it, open System Settings and look for Privacy & Security > FileVault; labels may vary with macOS version and locale. You need administrator access, and additional users may need permission to unlock the disk. See Apple’s FileVault overview and instructions for turning it on.
When enabling FileVault, choose the offered recovery method—Apple Account recovery or a recovery key—and make sure it remains usable. If you choose a recovery key, store it somewhere safe away from the Mac. An encrypted disk can become inaccessible if you lose both the login password and the recovery route.

Set up a separate Time Machine backup
Choose a destination
Use an external hard drive or SSD, a network disk, or a NAS as the Time Machine destination. A separate disk or network destination can still be available if the Mac or its internal storage fails. Apple recommends a backup disk with at least twice the Mac’s storage capacity and says to dedicate it to Time Machine rather than unrelated file storage. Check connector and cable compatibility for a locally attached drive, or choose a network destination if you prefer not to connect a disk directly. Apple documents supported destinations and setup in its Time Machine backup guide and backup instructions.
Add the disk and run the first backup

On macOS Ventura and later, open System Settings > General > Time Machine, choose Add Backup Disk, and select the destination. Older releases may use different labels or a different path; follow Apple’s instructions for the installed version.

Choose whether to encrypt the backup. Encryption helps protect the backup’s contents, but its password is required to restore from it. Keep that password in a secure place you can access if the Mac is unavailable.

Start the initial backup and allow it to finish; it can take longer than later backups. Confirm that Time Machine reports a recent completed backup.

Test the recovery path by restoring a file. Use Time Machine’s restore interface to locate a backed-up version and recover it to an appropriate location.
Know what Time Machine retains
Apple’s current guidance describes hourly backups for the past 24 hours, daily backups for the past month, and weekly backups for earlier months; the oldest backups are deleted as space is needed. Local snapshots may also be stored on the Mac, but they are not a replacement for a separate destination: Apple says APFS snapshots are hourly and retained for up to 24 hours or until space is needed.

Use iCloud for sync, not as the only backup
iCloud can keep selected data—such as documents, photos, contacts, calendars, notes, and passwords—in sync across signed-in devices. It does not back up the entire Mac. Time Machine backs up the Mac and can restore files or a previous system state, so the two serve different purposes rather than replacing one another. Apple explains the distinction in its Mac backup guidance.
