Start with the seat’s highest point just below your kneecap while standing, then sit down and adjust based on how your body fits the chair and workstation.
How do I adjust a chair for my height?
- Set a starting seat height. Stand in front of the chair with the seat horizontal. Adjust it until the seat’s highest point is just below your kneecap. This is a starting check, not a universal measurement.
- Sit and check your feet. Keep both feet flat on the floor. If they cannot reach the floor at a comfortable working height, use a footrest so they remain supported.
- Leave room behind your knees. Check that the seat does not press into the backs of your legs. The Canadian Centre for Occupational Health and Safety (CCOHS) suggests that roughly a clenched fist—about 5 cm (2 inches)—fit between the seat’s front edge and your calves.
- Fit the backrest. Adjust it forward or back and up or down so it supports the hollow of your lower back.
- Align your arms with the work surface. Let your upper arms hang at your sides and bend your elbows about 90 degrees. Set the armrests so they just touch the undersides of your elbows without pushing them upward. If the armrests cannot be lowered enough, remove them.
Now check the whole setup at your desk: your feet should be supported, your legs should have room to move, and reaching the work surface should not require lifting your shoulders or raising your arms. What if the desk is too high or too low?
First check that there is enough clearance under the desk for your legs to fit and move freely. CCOHS advises against regularly using a workstation that does not provide that space.

If that leaves your feet unsupported, use an adjustable footrest that supports both feet. CCOHS also describes a fully adjustable desk as another possible way to address a persistent mismatch, though it may be impractical because of cost. The goal is to reconcile elbow position and foot support—not to solve one by sacrificing the other. When is a different chair or accessory worth considering?
If your chair cannot reach a position where your feet are supported and your legs are not pressed under the thighs, its height-adjustment range may not suit you. Look for an adjustable chair with a range that fits your body and desk rather than relying on the “ergonomic” label alone. CCOHS recommends considering adjustment range and whether users can support their feet without pressure under the thighs.
A footrest addresses unsupported feet when the chair needs to be higher for the desk. An adjustable desk may help when the chair and fixed work surface cannot be reconciled comfortably. Choose based on the actual fit problem: chair height, foot support, leg clearance, or elbow position.

Recheck your position as you work
These measurements are practical checks, not a requirement to hold one exact posture all day. Adjust as needed to stay supported and change position rather than remaining fixed in one position.
