Webex has two separate places to control AI agents: Control Hub → Apps → Agentic Apps manages agentic apps and MCP servers, while Webex AI Agent Studio manages Studio roles, transcript access, data handling, and customer-facing disclosures. Choose the surface that matches what you are configuring; its controls do not automatically apply to the other.
Choose the right Webex control surface
Use Control Hub when you need to approve or restrict an agentic app or MCP server, choose who can access it, configure its authentication, or limit its tools. Use AI Agent Studio when you are building or administering an agent there and need to manage administrator roles, transcripts, knowledge-base content, or the transparency notice shown to customers.

Cisco describes the organization administrator’s responsibility this way: “As an organization administrator, you are responsible for ensuring that any agentic app enabled for your users meets your organization’s security, privacy, and quality standards.” Cisco’s Admin Approval Guide for Agentic Apps provides the approval context.
Restrict access to an Agentic App or MCP server
- In Control Hub, open Apps → Agentic Apps.
- Select the app you want to review.
- Choose whether to allow or block it organization-wide, or limit access to selected user groups where that option is supported.
- Save the access decision, then verify that the intended users—not a broader audience—can discover and use the app.
Cisco documents group-level access for MCP servers. Group-level access is not supported for MCP actions in AI Agent Studio; those tool permissions are managed at the organization level. The available settings can depend on the integration type and tenant features. If Webex AI Agent is not visible at the documented Control Hub path, Cisco directs administrators to contact support. Choose authentication to match the identity and credential scope
Before enabling an app, determine who should authenticate and what authority its credentials will carry. These approaches are not interchangeable: user-delegated access follows an individual user’s authorization, whereas organization-scoped credentials can represent shared organizational access.

These distinctions are described in Cisco’s administrator approval guide. For any approach, check exactly which tools and data the credential can reach; encryption or per-request handling does not by itself make an overly broad permission safe.

Limit the tools the agent can use
Review each tool before enabling it. Check its purpose, input and output schema, and annotations, then disable capabilities the agent does not need. Cisco says a disabled tool is removed from user discovery and availability, so tool-level settings are a practical way to reduce the agent’s usable capabilities.

Set AI Agent Studio roles and transcript access
For Studio agents, assign administrative roles according to the work each person needs to do. Transcript access is not granted by default. A full administrator must explicitly grant Decrypt access to teammates who need to view transcripts; avoid granting it simply because someone can administer other parts of the agent.
Keep the relevant change logs available to administrators and audit role holders so they can review configuration changes. The instructions are in Cisco’s Webex AI Agent Studio Administrator Guide, dated September 25, 2026.

Protect knowledge-base content and disclose AI use
Keep sensitive information out of the knowledge base
Cisco’s Studio guide instructs administrators not to upload PCI data, personally identifiable information (PII), protected health information (PHI), or other sensitive, confidential, or regulated information to the AI Agent Studio knowledge base. Apply that restriction when selecting and preparing source material for an agent.

Review the customer transparency setting
New Studio agents have AI transparency enabled by default. In digital conversations, the notice appears in the first AI-generated response; in voice interactions, it plays before the interaction continues. Turning the setting off requires acknowledging a warning and recording a reason. Review the notice and setting as part of the agent’s customer-facing configuration rather than treating it as an access permission.

Use a pre-publish review
- Product path: Confirm whether the configuration belongs in Control Hub for an Agentic App/MCP server or in AI Agent Studio for a Studio-built agent.
- Audience: Check organization-wide versus group access, and whether group restrictions are supported for this integration type.
- Identity: Confirm who authenticates, the credential’s scope, how it is supplied and stored, and who owns rotation.
- Capabilities: Enable only necessary tools; review schemas, annotations, and metadata-change behavior.
- Studio safeguards: Grant transcript Decrypt access only where needed, exclude sensitive or regulated knowledge-base content, and review the transparency notice.
- Change oversight: Ensure appropriate administrators and audit role holders can access change logs.
Preview the agent and publish only after these decisions have been checked. Cisco’s documentation describes the product controls and defaults; interface labels and tenant feature availability may change, so confirm the current settings in your Webex organization.
