How to Set Freelance Rates for History Writing

There is no universal fee for freelance history writing. Build a sustainable minimum, price the full assignment and use relevant benchmarks without treating them as a universal rate card.

There is no single standard rate for freelance history writing. Set yours by estimating the full work the assignment requires, calculating the minimum your business needs to earn, then negotiating a fee that reflects your expertise, rights, expenses and deadline. Published rates can help, but only when their country, role and included work match your own.

Start with the assignment, not a rate card

“History writing” can mean a research report, commissioned book, heritage study, exhibition text, oral-history project, tour or multimedia work. Each has different research and production demands. Before quoting, agree with the client on what the project is and what a finished delivery includes.

  • Purpose, audience, format and length or other output.
  • Research period, known sources, archives to consult and any gaps or uncertainties.
  • Whether interviews, consultation, travel, permissions or specialist assistance are needed.
  • Timetable, milestones, client review process and final delivery format.

Commissioning guidance from the Professional Historians Association of Queensland treats scope, budget, resources, consultation and contract terms as connected decisions. A vague brief makes a reliable fixed quote difficult.

Calculate the full time and your sustainable minimum

Estimate every phase

Forecast hours for planning, archival and other source work, travel, interviews, analysis, drafting, fact-checking, meetings and email, administration, revisions, permissions and delivery. Do not count only the hours spent writing. Oral-history work can also involve recording, processing, archiving and documentation, which are easy to underestimate.

Build in the costs of self-employment

Your minimum needs to cover more than the time directly billed to a client. Account for insurance, retirement or pension provision, leave, equipment, workspace, supplies, utilities, memberships, and time spent finding work and administering your practice. The Oral History Association’s statement on freelance oral-history labor emphasizes budgeting for skilled work and the costs of independent practice.

One way to set a floor is to divide the annual revenue you need—including business costs and personal income needs—by the number of hours you realistically expect to bill. This is a planning calculation, not a published industry rate. A freelancer’s working hours include non-billable time, so using every available working hour as the denominator can set the floor too low.

Choose hourly, daily or project pricing

Use the structure that fits how much is known about the work:

  • Hourly or daily: Often a better fit when research scope may change, for consulting, or when the amount of work is not yet clear. State how time is recorded and billed.
  • Project fee: Can work for bounded deliverables. Estimate total effort against your minimum, and specify assumptions, milestones, included revision rounds and how added work will be priced.
  • Blocks of time: A defined block can suit work where the client needs access to your time but the exact task mix may shift. Agree what the block covers and what happens when it runs out.

The National Council on Public History has described hourly, blocks-of-time and lump-sum product charges as public-history pricing strategies; these are options to consider, not a universal tariff for history writing. The event description does not establish one standard price.

Quote expenses, extra roles, rights and urgency separately

Make expenses visible

Identify potential outlays such as repository access, document or image fees, maps, copying, travel and research assistance. State whether the client pays them directly, reimburses them, or whether a defined allowance is included in your fee.

Do not hide additional services in the writing fee

If the brief also requires editing, image sourcing, indexing, production or another specialist role, define and price that work explicitly. A fee for writing alone is not directly comparable with a bundled fee covering interviews, preparation, archiving, documentation, liaison and administration.

Value the rights being granted

Agree what the client may do with the work: copyright ownership or licence, usage, territory, duration, exclusivity, credit, adaptations and future editions. Wider rights call for a larger fee, according to the Society of Authors’ commissioning guidance. If royalties are proposed, treat them as uncertain rather than as a substitute for adequate payment.

Account for a rush deadline

A short deadline or scarce specialist skill may justify a premium. Make the timetable and any rush charge explicit in the quote rather than absorbing the pressure into an unchanged fee.

Use benchmarks only when they match the work

Published schedules can inform negotiation, but the available examples below serve different places and roles; neither is a universal freelance history-writing rate.

Source and scope Published information How to use it
Professional Historians Australia, Scale of Fees A schedule of minimum recommended rates for non-permanent engagements by accredited professional historians in Australia. It describes four experience-based fee levels, which are distinct from accreditation categories, and allows negotiation according to location and market demand. The page says it is updated annually after mid-year CPI figures; check the live schedule before quoting a current amount. Relevant to Australian commissions that fit the association’s professional scope. Do not apply it automatically to other countries, non-accredited writers or different kinds of work.
Oral History Society, UK budgeting guidance The current page lists £400–£450 per day for consultancy and mentoring, and £350–£450 per day for project management. It defines a day as eight hours and says listed rates exclude VAT. Other role examples include training at £425–£600 per day plus travel, audio interviewing at £300–£450 per day, and video interviewing at £400–£600 per day. Use only as context when the proposed work resembles the named UK oral-history role and its duties. These figures are not a general rate card for history writers.

The Australian association’s model assumes 28 to 30 chargeable hours in an average working week; Professional Historians Australia describes that as an assumption in its self-employed hourly-rate model, not a promise of billable productivity for every freelancer. Its scale also differs from the Oral History Society’s role-based day examples: compare country and currency, role, experience, fee basis, included tasks, expenses, tax treatment and rights before using either as a reference.

The Society of Authors says observed fees are negotiating tools, not recommended rates, and that competition law prevents it from recommending rates. Its examples for translation and other creative work should not be recast as history-writing benchmarks.

Put the agreement in writing

A written brief and contract reduce the risk that a project fee quietly expands. Set out:

  • Scope, deliverables, format, timetable and milestones.
  • Research assumptions, known archival resources, client-provided material and consultation responsibilities.
  • Fee, payment schedule, expense treatment and any royalties.
  • Copyright or licence terms, credit, confidentiality and access arrangements.
  • Included revisions, how approval works, and how changes or additional tasks will be quoted.
  • Responsibilities, insurance and a process for handling disputes.

For practical questions about setting up freelance or consultant history work in New South Wales—including tax, insurance, an ABN, finding clients and promotion—the Royal Australian Historical Society’s event page lists these topics. The page describes an event scheduled for 3 March 2025, so it is not evidence of current tax or business-registration requirements.
