Then test the available retention, logging, and DLP controls and give employees clear rules for using the approved tools.
1. Approve the services and features employees may use
Start with an inventory, not just a blocklist. Include standalone chat tools, AI embedded in productivity suites, agents, connectors, and other integrations that can handle company information. Decide which employee groups may use each approved service and feature. Microsoft advises employees to use company-authorized services; Google Workspace administrators can restrict Gemini access for organizational units or configuration groups.

Record the service, its account type, the employee groups allowed to use it, the data it can reach, and who owns its review. Revisit the inventory as new features and integrations become available. Blocking a known site alone does not address unmanaged apps or shadow agents.

2. Require managed identities and least-privilege access
Require employees to use managed work accounts rather than personal or consumer accounts for company work. Where available, use central authentication, multifactor authentication, role-based access, and automated provisioning or deprovisioning. Grant access only to the people and functions that need it, and remove it when a role changes.
#1 Best Overall
- Privacy Screen Filter Size: If the visible area of your display has the following dimension: Width x Height (Exclude Frame/Arrow 1 to 3 mm errors): 20 15/16" x 11 13/16" (532 mm x 299 mm), then this filter is good for you. Very Important to double check your screen's Width and Height excluding frame before ordering. It's not recommended to make your selection based solely on your screen's diagonal size
- Left and Right Privacy: Not block visibility directly behind you, regardless of distance. The privacy filter makes the screen appear dark when looking at it from an angle (left and right 30 to 180 degree), but clear when looking directly at it. To change the privacy levels, simply adjust your monitor's brightness level accordingly
- Matte and Glossy Sides: It's a reversible privacy screen filter, giving you the flexibility to choose glossy or matte finish. The matte side will have less glare, however the glossy side will have stronger privacy
- Perfect for Open Workspaces: Ensure your working space is bright and well lit. Privacy screens do not work in dimly lit areas
- Two Installation Option: Option 1 uses clear double side adhesive strips that securely attach to any computer screen. Option 2 (for computer screens with a raised bezel only) uses slide mount tabs that easily stick to the display frame, allowing you to take out the privacy screen filter easily as needed
Available controls vary by plan. OpenAI lists SSO and workspace roles for ChatGPT Business, and additional SCIM and role-based controls for Enterprise and Edu. Google documents Gemini access controls by organizational unit and group. Confirm current entitlements for the exact product, plan, region, and account before relying on a control.
3. Correct source-data permissions before enabling AI retrieval
Review the access rules in the systems where company data lives: shared drives, sites, groups, file links, inherited permissions, and service accounts. Remove broad access that employees do not need before connecting an AI service to those sources. AI is not a substitute for fixing repository permissions.

- Superior Privacy: The computer privacy filter makes the screen appear dark when looking at it from an angle (the angle is about 30 to 60 degree), but bright when looking directly at it. To change the privacy level - simply adjust your monitor’s brightness accordingly
- Eye and Screen Protection: Privacy Filter does not only protect your private life but also protects your eyes by blocking 30% of blue light , blocking the harmful blue light between 380 to 495 nm, it filters out the blue light and relieves eye strain
- Perfect For Open Workspaces: Great for maintaining screen privacy in open work spaces
- Includes Two Options: Option 1 uses clear adhesive strips that securely attach to any computer screen. Option 2 (for computer screens with a raised bezel only) uses slide mount tabs that easily stick to the display frame, allowing you to slide the privacy screen filter on and off as needed
- Microsoft Copilot: Microsoft says Copilot follows the organization’s identity model and accesses data users are authorized to access. Its security guidance warns that overshared or poorly governed content can affect responses and increase risk.
- Gemini for Workspace: Google says Gemini’s Workspace data access follows the signed-in user’s access rights. File-owner restrictions can also limit Gemini access even when a file is shared.
These behaviors mean AI may make already-accessible information easier to find or use; they do not make an overshared repository appropriately governed. Test representative users and files after permission changes.
4. Verify the data terms for each product and account type
For every approved service, identify whether employees are using a consumer account, managed work account, API, or enterprise workspace. Review the applicable terms and data processing addendum, where relevant. Confirm how prompts, uploads, and connected source data are handled, including model-training use, provider roles, retention, deletion, and any regional commitments. Do not infer one account’s protections from the product name or from a different plan.

| Service and scope | Vendor-stated data protections and terms | What to verify for your deployment |
|---|---|---|
| Microsoft Copilot for organizational use | Microsoft says organizational use is covered by Microsoft Product Terms and the Data Protection Addendum, with Microsoft acting as processor. It says prompts, responses, and accessed Graph data are not used to train foundation models. Microsoft also describes inherited identity, permission, sensitivity-label, retention, and audit controls; exact controls vary by subscription. (Microsoft Learn, Enterprise data protection in Microsoft Copilot and Microsoft Copilot Chat.) | Confirm that the employee is using the qualifying organizational service and that the selected subscription supports the policies you intend to apply. Check the applicable Product Terms and DPA. |
| ChatGPT Business, Enterprise, or Edu workspace | OpenAI lists a DPA and data-residency options, alongside workspace security and access controls. The listed controls differ by plan. (OpenAI, Business data privacy, security, and compliance.) | Confirm the workspace plan, applicable DPA and residency options, and the controls actually enabled for your organization. Do not apply business-workspace statements to consumer accounts. |
| Gemini as a qualifying Google Workspace core service | Google says qualifying Workspace use receives enterprise-grade data protections and that existing Workspace protections, including data-region policies and DLP, apply. Google distinguishes this from Gemini use as an additional service subject to Google consumer terms. (Google Workspace Admin Help, Gemini for Google Workspace FAQ – Business / Enterprise.) | Confirm the account and service classification, Workspace edition, configuration, and applicable terms. Do not assume protections for qualifying Workspace use apply to additional-service use. |
These are vendor descriptions of their own products, not independent assessments. Product terms and entitlements can change, so verify the current documentation and contract for your organization before approving a service.
5. Review connectors, apps, agents, and actions
For each connection to a third-party app or internal system, document what information it can access, which permissions it receives, whether it can read or write, where data is sent, and what activity is logged. Disable unnecessary connections and use the narrowest available permission scopes. Review agents and actions as carefully as file connectors: an agent that can change or send information has a different risk from one that only reads it.

OpenAI says information sent to non-synced third-party apps is subject to those providers’ terms. It also says app-log and compliance API availability varies by app and workspace configuration, and that safeguards reduce but do not eliminate prompt-injection and unauthorized-access risks. Do not assume an administrator can see every employee conversation: OpenAI says Business administrators do not automatically gain access to ordinary private conversations.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors6. Configure data controls and verify the records they produce
Use the controls available in your environment, such as data loss prevention (DLP), sensitivity labels, retention policies, audit features, and security dashboards. Treat each as a control to test, not a guarantee based on its name. Confirm which AI interactions and connected-app events are covered, who can access the records, how long they are retained, and how they can be exported for your operational or compliance needs.

- Microsoft Copilot: Microsoft documents DLP, governance dashboards, inherited sensitivity labels, retention policies, and audit of interactions; exact policy support varies by subscription.
- Google Workspace with Gemini: Google documents an administrator setting for Gemini conversation history and retention choices. Settings and defaults are version-sensitive; verify the current Admin Help documentation for your edition and configuration.
- ChatGPT apps: Confirm actual activity-log and compliance coverage for each app and workspace configuration rather than assuming all connected activity appears in exports.
Test with a limited group before broad rollout. Check the records produced by typical use and a connected app, confirm the export path, and ensure your incident-response process identifies who investigates an accidental disclosure and how access can be contained.
7. Set employee rules and train people to follow them
Give employees concise, written rules that match the approved services and the organization’s policy. Microsoft’s workplace guidance recommends using company-authorized services, handling inputs cautiously, avoiding sensitive or confidential information, and checking AI output. Adapt these principles to your industry, jurisdiction, and data classifications; this guide is not legal advice.
- Name the approved service and require the managed work account.
- Classify what may be entered, what needs approval, and what must not be entered. Address customer, employee, regulated, confidential, and privileged information explicitly.
- Explain which approved connectors and agents employees may use, and whether they may grant access or authorize write actions.
- Tell employees how to report an accidental disclosure or suspicious AI behavior, including where to report it and what information to include.
- Require employees to check AI-generated output before relying on or sharing it.
8. Compare platforms against your actual control requirements
There is no universal winner based on product name alone. Compare the services your organization is actually considering against the same operational criteria, then test the entitlements and records in your own configuration.
| Decision area | Questions to answer |
|---|---|
| Identity and roles | Can you require SSO and MFA, scope access by group or organizational unit, assign suitable admin roles, and provision or remove accounts centrally? |
| Data boundaries | Which files and source systems can the AI reach? Does access follow repository permissions? How will you find and correct oversharing? |
| Data-use terms | Which terms apply to the account type and plan? What is the provider’s role? Are prompts or connected data used for training? What DPA, third-party terms, and residency commitments apply? |
| Governance and evidence | Which DLP, labels, retention settings, audit events, exports, and incident-response tools are available for the selected license? Have you tested their actual coverage? |
| Operational fit | Does the service fit your identity and productivity environment? Which licenses and admin permissions are required? How will you discover unmanaged use and maintain the configuration? |
9. Recheck controls as services and policies change
Assign an owner and a recurring review for approved services, employee groups, source permissions, connectors, terms, retention settings, and audit coverage. Recheck after product or plan changes, new integrations, changes to data classifications, or an incident. Keep the employee rules aligned with the controls actually deployed; a policy that promises controls your plan does not provide creates a false sense of protection.
