To restrict Gemini Enterprise analytics and data access, manage IAM separately at the project, app, and data store levels, then treat analytics access and Cloud Logging access as distinct permissions. Decide explicitly whether prompt and response content should be logged: disabling that option elides sensitive text fields, but does not turn off all usage logs.
Choose which apps and data stores users can access
Project-level IAM grants can reach every Gemini Enterprise app and data store in a project. For a narrower boundary, avoid broad project-level Discovery Engine roles for users you intend to restrict, and grant permissions on the specific resources they need. Google warns that a project-level Gemini Enterprise User grant overrides app-level restrictions.

Limit users to selected apps
For users who should access only approved apps, assign Gemini Enterprise Restricted User (roles/discoveryengine.agentspaceRestrictedUser) at the project level, then grant Gemini Enterprise User (roles/discoveryengine.agentspaceUser) on each approved app. Do not also grant Gemini Enterprise User at project level: that project-wide grant provides access to all apps. Enable Resource access control in Gemini Enterprise, then configure separate IAM bindings for apps and data stores. A user needs permission on both the app and the data store to query that data through the app. This adds resource-level administration, but gives you a data boundary that app-only controls do not. Google says the setting takes about five minutes to propagate.

- In Google Cloud Console, open Gemini Enterprise and select Settings.
- Open Resource access control, turn the setting on, and select Save > Enable.
- Grant app-level and data-store-level IAM bindings only for the resources each user should access.
Google also documents a projects.patch REST method for this configuration. Consult the access-control documentation for current API details and role requirements.
Control who can see usage analytics
Analytics is a dashboard surface; usage audit logs are a separate Cloud Logging surface. To open the dashboard, go to Google Cloud Console > Gemini Enterprise, select the app, then select Analytics. The documented tabs include Adoption, Usage and Quality, Agent, Value, and User Level.

The User Level tab is not anonymous: it can show email addresses or unique user identifiers alongside interaction counts. Google says access to this tab is allowlisted. Restrict access to the app and to the people approved to see user-level metrics; a dashboard role should not be assumed to control access to Cloud Logging logs.

Analytics metrics require a data store linked to the app. Google warns that unlinking a data store can cause some app metrics to be lost; if customer-managed encryption keys (CMEK) are used, those specific metrics cannot be retrieved. Consider this before changing app-to-store links. See Google’s analytics documentation.

Usage audit logs are accessed in Cloud Logging, not in the Analytics page. The setup guidance identifies Gemini Enterprise Admin (roles/discoveryengine.agentspaceAdmin) for enabling audit logging and Logs Viewer (roles/logging.viewer) for accessing Cloud Logging. Open Logs Explorer for the project to inspect the resulting logs. See Google’s audit logging guide.

The setting Enable logging of prompt inputs and response outputs determines whether fields that can contain sensitive prompt and response data are logged. When it is off, text values in those fields are replaced with <elided> and other values are omitted. This is a choice about sensitive content, not a switch that disables every usage log: other, non-sensitive log fields may still be recorded.

If you enable prompt and response logging for troubleshooting or audit needs, treat everyone with access to those logs as a potential reader of sensitive customer content. By default, Gemini Enterprise sends Cloud Logging data to the _Default bucket. Google names Logs Viewer, Private Logs Viewer, and Logs View Accessor among the roles that govern log access. For tighter separation, its guidance lists IAM conditions, log views, sinks that route logs to a more restricted project, tags, and field-level access controls. See Google’s logging guidance.
Understand what Access Transparency can and cannot show
Access Transparency records certain covered actions by Google personnel accessing Gemini Enterprise content, but it is not a record of who viewed analytics. Google states: “Search analytics: Access Transparency logs do not record when Google personnel view or take action on your analytics data.” It also documents limits involving preview-feature data and global rather than multi-region stores or apps. Apply the controls as separate layers
- App boundary: use restricted project-level access and grant user access only on approved apps.
- Data boundary: enable Resource access control and grant permissions on both approved apps and data stores.
- Analytics audience: limit dashboard access, and treat User Level metrics as identifiable data subject to allowlisting.
- Log content: leave prompt/response logging off unless the audit or troubleshooting need justifies retaining sensitive fields.
- Log readers: restrict Cloud Logging roles and use views, conditions, routing, tags, or field-level controls where needed.
Google’s Gemini Enterprise app FAQ says customer data, including prompts and outputs, is not used to train Google models or models for other customers, and is not used for advertising.
