What Paperless-ngx does—and what you still manage
Paperless-ngx is a community-supported document management system and the official successor to Paperless and Paperless-ng. It processes incoming documents, applies OCR where configured, indexes them, and stores them in a managed structure. It does not remove the need to secure the host, move files from a scanner or computer into the server, maintain the installation, or back up the archive.

The project’s README warns: “Paperless-ngx should never be run on an untrusted host because information is stored in clear text without encryption.” Treat the service as a sensitive-data system, not as an encrypted vault.
How do I self-host Paperless-ngx?
The project calls Docker Compose its easiest deployment route. Its setup guide also offers a guided installation script, manual Compose configuration, and bare-metal installation. Choose based on how much control you want and how much maintenance you are prepared to do; consult the current official instructions because install details can change.

Hosted providers are another possible route, but the project describes those options as community-maintained and variable. Check a provider’s security, backup, and support practices independently rather than assuming project endorsement.
Understand the parts before installing
A standard Compose setup brings together the Paperless-ngx application and supporting services, including a message broker and database configuration. It also relies on settings and paths for the consumption folder, application data, managed media, and a secret key. The exact defaults and directory layout depend on the current setup instructions; keep persistent data separate from replaceable application files.

During configuration, set the OCR language to match your documents and set the service time zone to your location. Generate a random secret key as the setup guide directs, and secure the broker rather than exposing it as an open service.

Plan access from the start
Keep the host and its dependencies patched, restrict network access to the application, and use strong account credentials. A superuser can access documents and other objects broadly. After initial setup, consider using a separate everyday account or downgrading the initial superuser, as the setup guide suggests. For household or office access, give each person only the access they need.
How do I get documents into Paperless-ngx?
Paperless-ngx watches its configured consumption directory for new files. The consumer processes items placed there and moves them into the application’s managed storage structure; consumed input files are removed from the intake folder. The consumption directory is therefore a temporary handoff point, not the permanent archive and not a backup.
Manual intake
For a small workflow, scan or download a document to a computer, then place it in the configured consumption folder using a trusted local path. Check that the transfer completed before relying on the application to process the file.

Scanner-to-server intake
If the scanner is a separate device, arrange a safe transfer into the server’s intake path. The project’s setup documentation leaves that transfer to the operator. Use a restricted, authenticated method on a trusted network; do not expose an unauthenticated writable share to the public internet. A duplex scanner is an optional way to digitize paper, not a required Paperless-ngx model or a guaranteed direct integration.
How OCR works, and how to choose its language
Paperless-ngx uses OCRmyPDF with Tesseract language data. OCR makes image-based pages searchable by recognizing their text, while indexing makes processed documents findable within the archive. OCR is not a guarantee of perfect transcription, so inspect important documents and do not assume that every scan will be recognized flawlessly.
Set the configured language to reflect the language used in most of your documents. A combined setting such as deu+eng can cover German and English, but the project’s configuration guide warns that enabling multiple languages can increase CPU use. In Docker deployments, non-default language packs may need to be installed and configured as well as selected; bare-metal installations need the corresponding Tesseract language packages.

Paperless-ngx can handle images and documents, and its configuration controls whether OCR is skipped when embedded text is detected. For file-specific behavior, use the current configuration documentation rather than assuming all PDFs follow the same OCR path.

Because the project warns that information is stored in clear text without encryption, choose a trusted host and storage environment. The README describes a local server in your home with backups as the safest way to run the system. If your threat model calls for it, encrypt disks or backups at the infrastructure layer; the cited documentation does not establish built-in encryption at rest for stored documents.
Back up the durable data
Use the current administration guide to plan export and import restoration. A recoverable plan needs the database and persistent document storage, not merely a copy of the consumption folder. Make a backup before an update, and ensure the components in your backup are consistent enough to restore together.

- Identify the database and persistent data and media paths used by your installation.
- Store backup copies somewhere separate from the server where practical, and protect them appropriately for the sensitivity of the documents.
- Set backup frequency and retention according to document volume and how much data loss you can accept. The project documentation does not prescribe a universal schedule, capacity, or restore-time target.
- Test restoring into a separate or otherwise safe environment. This is operational advice, not a quoted project requirement.
Update without losing data
Follow the current Paperless-ngx release and administration instructions, and back up before updating. For a major database-version change, follow the database engine’s own upgrade guidance as well. On bare metal, the administration guide distinguishes persistent data and configuration from replaceable application files; do not unpack a new source tree over stale files.
What do I need for a paperless office?
At minimum, plan for a host you trust, a supported installation route, a safe way to transfer files, an OCR language configuration that fits your documents, and a tested backup and restore path. Paper still needs to be digitized before it can enter the archive; downloaded PDFs and other digital files can be collected directly. No universal CPU, memory, disk, scanner, backup interval, or storage-capacity requirement is established by the project material cited here, so size the system around your document volume and operational needs.
