To search a document library repeatedly, put the files in a persistent knowledge base or workspace, let the app extract and index them, then ask questions against that collection. A local-AI app does not automatically keep every step on your device: check where document extraction, embeddings, model inference, and storage happen before adding private files.
Choose a reusable collection, not just a chat attachment
If you will ask questions across the same files more than once, create a persistent collection. A file attached to one conversation may not be available in another.

- Open WebUI: Its Knowledge Bases are designed for reuse across conversations, and its documentation describes syncing a local directory incrementally. Open WebUI Knowledge Bases
- AnythingLLM: A chat attachment is scoped to that thread. Embed the document in a workspace to make it available across threads. AnythingLLM workspaces
Names and interface paths can change between releases, so use the current application documentation if a label differs. Before importing a large library, decide which files belong together and who should be able to access the collection.
Test extraction before importing your library
Search quality depends first on whether the text was extracted correctly. A PDF with selectable text, a scanned page, a Word file, and a table-heavy report can behave differently. Open WebUI supports multiple extraction engines; its documentation notes that browser-only extraction in Temporary Chat can struggle with complex formats that rely on backend parsers. Start with a small pilot set that reflects your actual files. Inspect extracted text, headings, tables, and any page or source references the app provides. For scans or image-heavy documents, confirm that your chosen configuration has suitable OCR or image extraction; support depends on the app’s configured engines and media settings, so do not assume every file type will work equally well.
Understand how cross-document search works
Most document-question systems use retrieval-augmented generation, or RAG. The app extracts text, divides it into chunks, indexes those chunks, and retrieves passages that appear relevant to your question. It then supplies those passages to the language model to help form an answer. The model usually does not read every file in full for each question.

Open WebUI documents hybrid retrieval that combines BM25 keyword search with vector search and reranking. Keyword matching can help with exact names or phrases; vector search can find passages that express a related idea in different words. Its Full Context mode instead sends the whole document, which can be useful when complete context matters, provided the content fits the model’s context capacity. AnythingLLM documents RAG and reranking for embedded documents. For attached documents, it describes full-text insertion by default and prompts for chunking and embedding if the content exceeds context capacity. AnythingLLM document workflows

Configure the model and retrieval as a pair
A collection can be indexed correctly yet remain inaccessible to the model if retrieval is not enabled or the model cannot use the relevant tools. In Open WebUI, File Context and Builtin Tools or function-calling behavior are distinct: pre-injected RAG context is not the same as a model calling a search tool on demand. Check both the retrieval configuration and the selected function-calling mode if answers are inexplicably empty. Smaller or older models may not support tool calling; use a supported, predictable pre-injected retrieval configuration in that case. Open WebUI tools and file context
Open WebUI’s setup guide recommends token-based splitting as an alternative to the character-based default. Its example settings are a 2,000-token chunk size, 200-token overlap, and top-k of 15; it suggests reducing top-k to 5 for constrained local contexts. These are guide examples, not universal best settings. Test adjustments with your files and model. The same guide lists all-MiniLM-L6-v2 as a local embedding default and estimates about 500 MB RAM per worker; that is a configuration note from the guide, not a general hardware requirement or benchmark. Retrieval settings cannot compensate for every context limit. Open WebUI’s troubleshooting documentation says Ollama defaults to a 4,096-token context window on GPUs with less than 24 GiB VRAM, as stated on the page accessed in October 2026. Treat this as a changeable software and hardware default: verify the current Ollama and model settings for your system. A constrained context can mean that retrieved passages are trimmed or not fully processed. Open WebUI troubleshooting
Ask questions that let you verify the answer
- Begin with a known answer. Ask a direct question about one pilot document whose answer you can confirm yourself.
- Check the evidence. Ask the app to identify the supporting files or passages. Open those passages in the original documents and confirm that they support the answer. Open WebUI documents citations that track the document context supplied to the model; a citation points to material in the imported collection but does not prove that a generated conclusion is correct. Open WebUI file citations
- Try a cross-document question. Once the one-document check works, ask for a comparison or synthesis across two or more files. Verify each part of the answer against its source passages.
There is no accuracy percentage established by the cited vendor documentation for these workflows. Example chunk sizes, context limits, and memory estimates are configuration details, not evidence of search accuracy.

Check privacy component by component
“Local AI” describes a setup choice, not a blanket guarantee that processing is on-device or offline. Check the provider and deployment for each part of the workflow:
- Extraction: Where is document text or OCR processed?
- Embeddings: Which embedding model or provider receives the extracted content?
- Inference: Does the language model run locally or through a hosted provider?
- Storage and access: Where are original files, extracted text, and indexes kept, and who can reach them?
- Network behavior: Does the chosen deployment make requests to external services?
Open WebUI’s documentation makes processing location dependent on selected providers. AnythingLLM’s official site describes local storage and defaults while also describing optional enterprise model providers. Verify your actual configuration rather than inferring privacy from the product name or desktop interface. Open WebUI documentation AnythingLLM official site

Troubleshoot a missed answer in a fixed order
When the system misses a fact you know is present, diagnose the path from source file to model before changing applications:
Quick Recap
- Inspect extraction. Confirm the relevant text appears in the app’s extracted content, especially for scans, tables, or complex PDFs.
- Confirm indexing. Check that the file was added to the intended Knowledge Base or workspace and finished processing.
- Check collection access. Ensure the current conversation can use that collection rather than only a thread attachment or a different workspace.
- Verify retrieval mode. Confirm that RAG or the intended full-context behavior is active.
- Check model capability. If the workflow depends on tool calls, confirm that the selected model and function-calling mode support them.
- Only then tune retrieval. Review chunking, top-k, reranking, and context capacity. A retriever may find a passage that the model cannot fully process because the context is limited. Open WebUI troubleshooting
