Choose the scanning method that fits the job
For an occasional receipt, form or short document, a phone is usually enough: the scanning features in Apple Notes, Apple Preview and Google Drive capture pages and save them as PDFs. A connected scanner is more practical for recurring batches, especially when its model supports an automatic document feeder or two-sided capture. Those capabilities are not universal.

Also consider where the file should live and whether it needs searchable text. Drive saves scans to a selected Drive folder; Notes saves the scan in a note. A scanner workflow can offer more control over image quality and file size. Choose the path that matches your document volume, handling needs and destination.

- Open the Google Drive app and tap the camera control to start a scan. Google’s mobile scanning workflow is in the app, not the web version. Google Drive scanning instructions for Android.
- Point the camera at the page and capture it. Adjust the crop and rotation, and use available filters or cleanup controls if needed.
- For a multi-page document, add each page to the same scan. Retake or delete pages that are unclear or out of order.
- Name the file, choose PDF as the output format, select a Drive folder and save. The Android instructions also offer JPG, but PDF is the appropriate choice when you want the pages together as a document.
Scan paper to PDF on an iPhone or iPad
Use Apple Notes
- Open or create a note, then choose the document-scanning option.
- Position the page for automatic edge detection, or capture it manually. Review the result and adjust it as needed.
- Add the remaining pages to the same scan, then finish. The scanned document is stored as a PDF in the note. See Apple’s Notes scanning instructions.
Use Preview on iPhone
- Open Preview and start a document scan.
- Capture pages automatically or manually. Add further pages, then adjust crop, rotation or coloring as needed.
- Review the pages and save the resulting PDF. The available controls may vary with the app and operating-system release. Apple’s iPhone Preview scanning guide describes this workflow.
Use Google Drive on iPhone or iPad
- In the Drive app, use its Add/Scan or camera control to start a scan.
- Capture the page, adjust the crop or color, and add pages if the document has more than one.
- Name the scan and save it to Drive. Follow Google’s iOS instructions for the app’s save-to-Drive flow.
Use Adobe Scan when you need OCR
Adobe Scan can capture paper or use existing images to create PDFs, and applies OCR to make text searchable. OCR—optical character recognition—converts text visible in a page image into text that can be searched or selected. Adobe describes this as turning “text images into searchable, selectable text.” See Adobe Scan’s scanning guide.

OCR is useful when you expect to find a name or phrase later, copy text, or work with a document using text-based tools. It does not guarantee a perfect transcription; the cited instructions provide no accuracy benchmark. Inspect important converted text, particularly in forms or records where a recognition error could matter.
Scan with a connected scanner and Acrobat
Adobe Acrobat’s desktop scanning workflow can use a connected scanner and lets you choose how the captured pages become PDFs. Available settings depend on the scanner and its capabilities. Adobe’s guide was last updated April 30, 2026. Adobe Acrobat Help: Scan documents to PDF.

- Connect the scanner and open Acrobat’s scan workflow. Select the scanner and choose front-side or both-side capture if the device supports it.
- Set image quality with file size in mind. Higher image quality can increase the resulting file size; choose a balance appropriate for reading, sharing or storage.
- Choose whether to create a new PDF, append pages to an existing PDF or create multiple files.
- If you need searchable text, enable “Recognize Text (OCR)” and choose the available language and output settings.
- For archival needs, Acrobat also offers an optional PDF/A-1b setting. Confirm that this format is suitable for your requirements before using it.
For the scanner’s feeder or flatbed loading procedure, consult the manual for the specific model. Acrobat’s instructions note that scanning both sides depends on scanner support; do not assume a connected scanner has duplex capability or an automatic feeder.

Check the PDF before sharing or storing it
- Page coverage: Confirm that every sheet, including backs when relevant, is included.
- Order: Check that pages appear in the sequence a reader expects.
- Crop and orientation: Make sure text and edges are not cut off and pages are upright.
- Readability: Zoom in on small print, signatures and faint marks. Recapture a page if important details are hard to see.
- Text access: Try searching for or selecting a word if you need OCR. A PDF can contain page images without searchable text.
- File and destination: Verify that the scan was saved as a PDF in the intended note, folder or location before sending it.
