Choose the steps for your device, keep the original DOCX if you may edit it later, and open the PDF to check its layout before sharing.
Save a Word document as a PDF in Word for the web
- Open the document and select File > Export.
- Choose Download as PDF for a clean copy, or Download as PDF with comments when reviewers need to see the comments.
- Confirm Download, then find the file in your browser’s downloads location.
Word for the web explicitly offers export with or without comments; do not assume those choices appear in the same way in every Word app. For a final version, review comments and choose the clean export when appropriate. For a review copy, include them deliberately. Microsoft’s Word for the web instructions describe both options.

Save a Word document as a PDF on Mac
- Choose File > Save As. You can also select the Save icon and then choose Save As.
- Enter a filename for the PDF that is different from the source document’s name.
- Set File Format to PDF, then select Export.
Using a separate filename helps preserve the editable Word document. Replacing the original with a PDF means it cannot be edited normally in Word without specialized software or a third-party add-in. Word for Mac’s tagged PDF workflow can retain structure to help assistive technologies determine reading order and navigate the file. See Microsoft’s Mac instructions.
Export a PDF from Word desktop on Windows
- Select File > Export > Create PDF/XPS Document > Create PDF/XPS.
- Choose where to save the file and review Options.
- Select Publish.
The documented options include document structure tags for accessibility and password encryption to restrict opening the PDF to people with the password. Menu labels can vary by Word release; if this route is not visible, use the PDF export or Save As controls available in your installed version. Export from Word on a phone or tablet
Microsoft documents PDF export in Word for iOS through File > Export > PDF. For other mobile devices, follow the controls shown in the installed app, as labels and availability can differ. Microsoft’s mobile instructions cover its documented workflow.
Improve accessibility before exporting
Accessibility starts with the Word source. Run Word’s Accessibility Checker and address issues it flags before exporting. Use a tagged PDF option when available: tags can help screen readers and other assistive technologies navigate headings, links, tables of contents, bookmarks, alt text, and reading order. Tags do not guarantee that every PDF is fully accessible, so inspect the exported file’s reading order, links, headings, tables, and alternative text when accessibility matters. Microsoft’s accessibility guidance recommends checking the source and using PDF tags where possible.

Check the PDF before sharing it
- Open the exported PDF and check page breaks, headers and footers, and image placement.
- Test links and review comments or tracked review material to confirm the intended content appears.
- Keep a separate DOCX as the editable master if you may need to revise the document later.
Word’s export instructions do not establish identical output for every version or document, so checking the actual PDF is the practical way to catch layout changes before sending it.
