How to Restore Emails Deleted from Outlook Trash

Check Deleted Items or Trash first, then try Recoverable Items if your account supports it. Recovery controls and time limits vary by mailbox and Outlook version.

Start by checking Outlook’s deleted-mail folder: Microsoft-account mailboxes usually call it Deleted Items, while connected Gmail or Yahoo accounts may show Trash. If the email is no longer in that folder, try Recoverable Items if your account supports it. Recovery depends on the mailbox provider, Outlook version and, for work or school accounts, any administrator retention policy.

1. Look in Deleted Items or Trash

Open the deleted-mail folder, select the message and move it to your Inbox or another regular folder. Some Outlook clients also show a Restore option. For a connected Gmail or Yahoo mailbox, the folder may be named Trash rather than Deleted Items. Microsoft’s recovery guide covers these client-dependent steps.

Ordinary Delete generally moves a message to Deleted Items. Shift+Delete bypasses that folder, so recovery then depends on whether the account and server support another recovery route. Microsoft Support does not guarantee that bypassed items can be restored.

2. Try Recoverable Items if the message is gone

New Outlook or Outlook on the web

  1. Open Deleted Items.
  2. Select Recover items deleted from this folder.
  3. Select the message and choose Restore.

The control appears only where the account supports this recovery path. Microsoft’s guidance says recovered items return to their original folders when possible; if that folder no longer exists, they go to the Inbox. Microsoft’s Outlook instructions describe the control and destination.

Data Recovery Stick for Windows Data Recovery Software – Photos, Files
  • The Data Recovery Stick requires no technical skills — simply plug it into your Windows computer, click Start, and the software automatically begins scanning and recovering lost files within minutes. Compatible with Windows Vista, 7, 8, 10, & 11, it's designed to be a reliable first step when accidental deletion occurs.
  • Recover photos (JPG, BMP, PNG, TIFF), Microsoft Office documents (Word, Excel, PowerPoint, Publisher, Access), Open Office files, MP3 music files, PDFs, RTF documents, AutoCAD files, and HTML web pages. Whether it's personal memories or critical business files, the Data Recovery Stick covers the file types that matter most.
  • Works with hard drives, USB drives, SD cards, memory sticks, and other common storage formats that use FAT or NTFS file systems — making it a single solution for hard drive recovery, USB drive recovery, SD card recovery, and more. Note: a media reader is required for micro SD cards and some mass storage devices.
  • No Installation Required - The Data Recovery Stick runs entirely from the USB drive with no software installation on your computer — helping prevent new data from overwriting the files you're trying to recover. This also makes it ideal for use across multiple computers or in emergency situations where installation isn't practical.
  • Use the Data Recovery Stick on as many computers as often as needed — simply clear the recovered data between uses to free up storage space. Software updates keep the tool compatible with newer systems and devices, backed by 25+ years of data software expertise from Paraben Consumer Software.

Classic Outlook for Windows

  1. Connect Outlook to the server.
  2. Select Deleted Items.
  3. On the ribbon, choose Home > Recover Deleted Items From Server, if that command is available.
  4. Select the message and restore it.

Items recovered through this classic Outlook command go to Deleted Items; move them from there to a regular folder. If the folder is called Trash instead, or the server-recovery command is missing, Microsoft says this classic recovery route is not supported for that account. Microsoft Support

3. Know which recovery window applies

Outlook.com

Microsoft documents that Outlook.com messages removed from Deleted Items can be recovered for 30 days. After removal, they are held in a Recoverable items store; emptying that store permanently deletes them, and Microsoft says they cannot then be restored. Outlook.com recovery guidance and Microsoft’s explanation of the Recoverable items store describe those limits.

Work or school Microsoft 365 or Exchange

There is no single recovery period that applies to every organization. Administrators can set retention policies. Microsoft gives an example of a policy retaining items in Deleted Items for 30 days and allowing another 14 days in Recoverable Items; those periods are an example, not a default guarantee. If the message is missing, contact your organization’s IT administrator promptly and ask whether mailbox retention or recovery settings apply. Microsoft Support

Connected Gmail or Yahoo accounts

Outlook may display the provider’s Trash folder, but that does not mean Outlook’s classic server-recovery command is available. Check the provider’s mailbox controls as well as Outlook; the supported recovery route depends on the account and its connection to Outlook. Microsoft’s account-specific guidance

4. Check why deleted messages may disappear

Some Outlook configurations empty Deleted Items automatically. If mail disappears after you sign out or close Outlook, check whether automatic emptying is enabled in your client’s settings. Microsoft’s deletion guidance

Use Inbox or another ordinary folder for messages you want to keep. Deleted Items and Junk are not suitable long-term storage. Microsoft Support

When recovery controls are missing

  • Confirm whether the mailbox is Outlook.com, work or school Microsoft 365/Exchange, or a connected Gmail or Yahoo account.
  • Check whether you are using new Outlook, classic Outlook, Outlook on the web or mobile; the control and folder names can differ.
  • If it is a work or school mailbox, ask the administrator about retention settings and recovery availability.
  • If the Recoverable items store has been emptied, Microsoft documents the messages as permanently deleted. Third-party recovery software cannot be relied on to bypass mailbox retention or restore purged server data.
