To address exposed information, identify the court and case, then check its rules for redaction, sealing, or restricting public access. The right request depends on the record, the information involved, and the court’s rules; filing a request does not guarantee approval.
First identify the court and the record
Find the court that holds the record, whether it is federal or state, the case number, and the specific document or docket entry at issue. Court procedures differ by jurisdiction, court, and case type. The federal and California rules described below are examples, not a nationwide process.

On the court’s website, search for terms such as “motion to redact,” “seal a record,” “confidential record,” and “restrict public access.” Check the applicable court rule, local rules, clerk guidance, and filing-system instructions. Use a court form or self-help resource if the court provides one; there is no universal form established for this kind of request.

| Route | What it does | Important limit |
|---|---|---|
| Redaction | Removes specified information from a document while leaving the rest available. | Which details may be redacted depends on the governing rule or court order. Federal Rule of Civil Procedure 5.2 identifies protected personal information and provides a motion route for certain information in a previously filed document. Read Rule 5.2. |
| Sealing | Restricts public access to some or all of a record by court order. | Sealing requires court approval. Under California Rule 2.551, a motion or application must be supported by facts; the parties’ agreement alone is not enough. Read California Rule 2.551. |
| Restricting public electronic access | Limits public remote access to a record, where the court’s rules permit it. | Availability depends on the applicable rule and court order. Federal Rule 5.2 allows a court, for good cause, to limit remote electronic access by nonparties to a document filed in a case. |
These routes are not interchangeable. Redaction targets information within a document; sealing restricts access to a record; an electronic-access restriction may limit remote viewing without making a record confidential in every context.

For a federal civil filing: check Rule 5.2
Federal Rule of Civil Procedure 5.2 generally requires a filer to omit or partially obscure specified identifiers in covered filings, including Social Security and taxpayer-identification numbers, dates of birth, minors’ names, and financial-account numbers. The rule provides for limited forms of those identifiers and also permits a court to order additional redactions or restrict nonparty remote access for good cause. Read the rule and confirm whether it applies to your case and document.
If a covered document has already been filed with protected information, Rule 5.2 provides a motion procedure to ask the court to redact specified information. Identify the document and the exact information to be removed, and follow the court’s filing instructions. Do not assume there is a universal deadline or that the court will grant the request.

California Rule of Court 2.551 says, “A record must not be filed under seal without a court order.” A party seeking to seal a record must file a motion or application with factual support; the rule’s procedure includes a supporting memorandum and declaration. Agreement between the parties is not enough by itself. Follow the current rule and the court’s local instructions for the specific case.

What to include in a request
Use the court’s required form and format if available. Otherwise, check its rules for the required contents. A request should make clear what record is involved and what action you want the judge to take. For example, distinguish a request to redact one identifier from a request to seal an entire document. California’s sealing procedure specifically calls for a motion or application supported by facts; requirements elsewhere may differ.

Understand what a restriction can and cannot do
A restriction is not necessarily permanent. Federal Rule 5.2 allows a court to later unseal a document or require a public redacted version. For an example of a federal appellate court’s privacy policy, see the Fourth Circuit privacy policies. A court order also does not establish that all copies or versions of information have been removed from every system or source.

Public access rules have exceptions, and an order may cover only the relief the court grants. Do not treat a request as an automatic or nationwide “freeze.” If the record is outside U.S. federal or California courts, consult the rules of the court that holds it; these examples do not establish procedures for other state, tribal, territorial, or foreign courts.
