The safest way to leave Google is not a single “switch” button. Move one service at a time: inventory what you use, create and retain a Google Takeout archive, import each data type into its intended destination, verify important records and workflows, and only then decide whether to stop using the Google account. An export is a copy, not proof that the destination has reproduced every label, permission, comment, album, or piece of application metadata.
This approach lets you roll back when an import is incomplete. Keep the Google account and the original archives during testing, because downloading your data does not delete it from Google’s servers.

What a safe Google replacement actually involves
Google’s services store different kinds of data in different ways. Mail has headers and labels; calendars contain events, attendees, reminders, and time-zone rules; contacts may include groups; Drive contains both ordinary files and Google-native documents; Photos combines media with albums and metadata. A destination that accepts one format may not reproduce all of the behavior attached to it.
Plan for four separate outcomes for every service:
- A preserved original: the untouched Takeout archive and, where practical, a second local copy.
- An imported working copy: data loaded into the replacement service.
- A verification record: checks that matter to you, such as recurring meetings, labels, formulas, album dates, sharing, and phone synchronization.
- A rollback path: the original Google account remains available until the replacement has passed those checks.
No current documentation establishes a universal open-source substitute for every Google app or every Google-native collaboration feature. Treat this as a service-by-service portability project, not a promise of identical feature parity.

1. Inventory your Google dependencies before exporting
Start with a list of the services you actually use rather than exporting everything blindly. Record the data, people, devices, and workflows that could be affected.
Make a service and dependency checklist
- Gmail mailboxes, labels, filters, aliases, and accounts that use your Gmail address for sign-in or password recovery.
- Google Calendar calendars, shared calendars, recurring events, attendees, reminders, and invitation workflows.
- Google Contacts, including groups and the phones or desktop clients that synchronize them.
- Drive folders, shared files, ownership, external collaborators, and documents created in Google Docs, Sheets, or Slides.
- Google Photos albums, dates, locations, descriptions, favorites, and videos you need at original quality.
- Android or desktop applications that depend on Google account authentication or synchronization.
- Third-party accounts that send security codes or account notices to a Google address.
For each item, note who needs access, which devices must sync, whether collaboration is essential, and what would count as a failed migration. This list is your test plan later; it also prevents a successful file upload from hiding a broken calendar invitation or an account-recovery address you forgot to change.
2. Create and preserve a Google Takeout archive
Google Takeout can create downloadable archives for products including email, documents, calendars, and photos. Select only the products you need if a full archive is unwieldy. Google advises selecting one product at a time when a large archive fails to complete.
Export without destroying the source
- Open Google Takeout, select the products to export, and create the archive.
- Wait for Google to prepare the archive, then download every archive part before any download link expires.
- Store the downloaded parts in a local location with enough free space for both the compressed files and their extracted contents. A portable external SSD, an existing computer, or a NAS can serve this purpose; choose based on the archive size you actually receive.
- Extract the parts without renaming files or changing their directory structure. Open the included
archive_browser.htmlto see Google’s format-specific instructions. - Make a second copy of the untouched archive before importing or reorganizing anything.
Google warns that the archive may not include changes made while it is being prepared. Examples include some Drive sharing changes and additions or deletions in Photos or albums. If you continue using Google during export, record those later changes and repeat the relevant export after the first archive finishes.
Downloading data does not delete it from Google’s servers. Keep the account active while you test the new service, and do not treat a completed download notification as confirmation that an import is complete.
3. Move Gmail while accounting for labels
Mail is usually the first service people notice after a move because message content can arrive while the familiar organization does not. Google documents Gmail label preservation through an X-Gmail-Labels header in exported messages. Most mail clients do not currently recognize that header automatically, so messages may import without recreating labels as folders or tags.

- Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity
Export and inspect the mail copy
- Include Gmail in Takeout and download all archive parts.
- Extract the mail export and keep the original files unchanged.
- Use the destination’s documented mail-import tool or a supported mail client to load a representative portion first.
- Check several categories: an unlabeled message, a message with one label, a message with multiple labels, a threaded conversation, an attachment, and a message with a non-ASCII subject or sender name.
- Compare message counts and search results, then inspect whether labels became folders, tags, or only retained header information.
Do not assume that a visual folder tree equals Gmail’s label model. If your replacement cannot map labels, preserve the Takeout archive as the authoritative copy and decide which labels are important enough to recreate manually. Filters, aliases, signatures, and account-recovery addresses also need separate review; a message import alone does not configure them.
Use a managed importer only when its scope fits
Proton’s Easy Switch documentation describes transfers for email, calendars, and contacts from an external account. Its Gmail migration guidance recommends Google Takeout for other Google data such as Drive and Photos. Proton is a commercial service, not an open-source, self-hosted replacement; it is useful here as an example of a destination with documented import tooling, not as evidence that every account feature transfers.
4. Transfer calendars and contacts, then test the phone
Calendars: use iCalendar, then test behavior
Nextcloud Calendar supports importing iCalendar .ics files. Export each Google calendar separately when you need to preserve distinctions between work, family, or shared schedules, then import the files into the corresponding destination calendars.
- Export the calendar data from Google and retain the original export.
- Import the
.icsfile into the destination calendar. - Inspect a recurring event that crosses a daylight-saving change, an event with attendees, an event with reminders, and an event in a non-default time zone.
- Check shared-calendar visibility, invitation delivery, cancellations, and edits from both the web interface and a phone.
The documented .ics support does not promise identical behavior for every Google Calendar feature. Attendee responses, reminders, permissions, and recurring-event exceptions deserve explicit testing before you rely on the new calendar for work or travel.
Contacts: import records and verify groups
Import contacts through the destination’s supported contact workflow. Check names, multiple phone numbers, email addresses, notes, birthdays, photos, and groups. A contact list that looks complete in a web interface may still lose group membership or fields that a phone expects.

Nextcloud’s Android guidance describes calendar and contact synchronization with DAVx⁵. When two-factor authentication is enabled, that setup requires a dedicated app password. Creating the server account is not the same as configuring every device: separately confirm that contacts and calendars appear on the phone, that edits synchronize in both directions, and that invitations open in the intended app.

5. Move Drive files without assuming Google-native documents are ordinary files
Ordinary files can generally be copied as files, but Google Docs, Sheets, and Slides have application-specific formats and collaboration behavior. The available documentation does not establish one universal open-source path that preserves every native feature.
A documented cloud import route
Proton Drive’s import instructions use Google Takeout. Select Drive in Takeout, create the archive, download all parts, unzip the extracted contents, and upload them. Proton says the folder structure is retained on upload. This is a documented route to a managed service, not proof that a self-hosted open-source editor will reproduce Google sharing or native document behavior.
What to check in an open-source destination
- Separate ordinary files from Google-native documents before importing.
- Export important Docs, Sheets, and Slides individually in formats the intended editor supports, while retaining the originals and the exported versions.
- Open representative text documents, spreadsheets, and presentations in the destination editor.
- Check formulas, named ranges, comments, revision history, images, fonts, page breaks, charts, and conditional formatting in the files where those features matter.
- Recreate sharing permissions and test simultaneous editing with the people who rely on them.
Nextcloud documentation describes groupware migration between Nextcloud instances for contacts and groups, calendars and events, and settings when the required migration and groupware apps are installed on both instances. That procedure concerns Nextcloud-to-Nextcloud moves; it is not direct evidence that Google Drive files or Google Docs collaboration features import through the same mechanism.

6. Transfer Photos and videos with metadata checks
Google Takeout provides an archive route for supported Google Photos data. Immich’s quick-start documentation points users to Takeout when adding an existing Google Photos collection. Nextcloud’s Google integration project describes Photos importing as selection-based rather than a fully automatic whole-library transfer; it also warns that location data may not be provided and that imported videos may be lower quality than the originals.
Use a sample before committing the whole library
- Export the Photos data and preserve the untouched archive.
- Import a representative sample containing photos from different years, albums, edits, locations, and file types, plus several videos.
- Compare capture dates, time zones, album membership, descriptions, location fields, favorites, and displayed quality.
- Open downloaded videos and compare their resolution and playback with the original Google copies.
- Only after the sample passes should you import the rest, then recheck counts and a selection of older and newer items.
Do not delete the Google library merely because every image file appears in the destination. Album organization and metadata can be separate from the media files, and a lower-quality video import is not equivalent to preserving the original.
Back up an Immich installation correctly
Immich’s backup guidance covers both uploaded photo and video files and the database. The database stores application paths and metadata, so copying only the visible media directory may leave an installation without its catalog information. Follow the project’s version-specific backup and restore procedure and test that a backup can be restored before treating the self-hosted library as safe.

7. Compare destinations by responsibility, not branding
“Open source” describes how software is developed and licensed; it does not tell you who operates the server, answers support requests, performs upgrades, or restores backups. Compare each candidate on the practical dimensions below.
| Decision area | Questions to answer before switching |
|---|---|
| Hosting | Will you run the server and maintain storage, updates, authentication, and network access, or use a managed account? |
| Import scope | Does the documented importer accept your mail, calendar, contacts, files, or photos, and does it preserve folder, label, album, or metadata structure? |
| Fidelity | Which fields, recurring-event rules, formulas, comments, locations, and video qualities survive a real sample import? |
| Collaboration | Can your contacts share, edit, comment, invite, and revoke access in the way your existing workflow requires? |
| Device sync | Are there supported desktop and mobile clients, and do two-way edits work after authentication and two-factor setup? |
| Backup and restore | What must be backed up besides visible files, and can you restore the application database and metadata? |
Nextcloud is documented here for iCalendar imports, DAVx⁵-based calendar and contact synchronization, and certain migrations between Nextcloud instances. Immich is documented here in the context of importing a Google Photos collection and backing up both media and database data. Those documented workflows are useful starting points, not guarantees that either project replaces every Google application.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Verify the migration before retiring Google
Run a written verification pass while both systems are available. Test the records that would be expensive or impossible to reconstruct.
Data checks
- Search for old and recent mail, attachments, threaded conversations, and messages with multiple Gmail labels.
- Compare calendar event counts and inspect recurring events, exceptions, attendees, reminders, time zones, and shared visibility.
- Check contact fields and groups on both the web interface and every phone that needs synchronization.
- Open representative documents and verify formulas, comments, formatting, images, and permissions.
- Compare photo and video counts, capture dates, albums, locations, descriptions, favorites, and original video quality.
Workflow checks
- Send and receive a test email from an outside account.
- Create, edit, cancel, and accept a calendar invitation with another person.
- Edit a contact on the phone and confirm that the server and another device receive the change.
- Share a file, edit it as a second user, and revoke access.
- Restore a small file and, for a self-hosted photo system, prove that the database and media restore together.
Record failures rather than silently working around them. A missing label may be acceptable if search still works; a missing attendee or unrecoverable photo database may not be.
9. Retire Google in reversible stages
- Keep the Google account, archives, and recovery methods active while verification is underway.
- Change third-party sign-ins and recovery addresses from Gmail only after the replacement mailbox receives test messages.
- Tell collaborators which calendar and file links are now authoritative, and recreate sharing where necessary.
- Stop new uploads or edits in Google services once you are confident that the destination is receiving them.
- Perform one final export for data created during the testing period.
- Store the final archive and the verification notes in at least one location you control before deleting or abandoning anything.
For calendars especially, keep a local backup: Nextcloud warns that a deleted calendar cannot be restored without one. For self-hosted photo systems, retain the database backup as well as the media files. These precautions make the move reversible instead of turning an import mistake into permanent loss.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCommon failure modes and their fixes
“The archive finished, but recent changes are missing.”
Google says changes made during archive preparation may not appear, including some Drive sharing changes and Photos additions or deletions. Repeat the relevant export after activity has settled and compare the new files with your notes.

“My Gmail messages arrived, but my labels did not.”
The labels may exist only in the X-Gmail-Labels header, which most mail clients do not recognize. Recreate essential labels in the destination and retain the original export for the complete mapping.
“The files are present, but the collaborative document behaves differently.”
Google-native files and sharing are not guaranteed to map to an open-source editor. Export important documents separately, test formulas and comments, and recreate permissions deliberately.
“Photos imported, but albums, locations, or video quality are wrong.”
Use the original Takeout archive to compare metadata and representative videos. Nextcloud’s integration documentation specifically warns about selection-based importing, unavailable location data, and potentially lower-quality imported videos.

“The server works in a browser, but my phone does not sync.”
Configure a supported DAV client, use a dedicated app password when two-factor authentication requires it, and test two-way changes on the device. Importing data to a server does not automatically configure mobile synchronization.
How to decide that the move is complete
Call a service migrated only when the destination contains the data you need, the workflows you depend on work on the devices you use, and a recoverable backup exists. For some services that will mean accepting a deliberate compromise—for example, manually recreating important Gmail labels or changing how collaborative documents are edited. Keep the original archive for anything the destination cannot represent, and postpone account deletion until the cost of that compromise is understood.
