How to Rename Category in Outlook [Improve Navigation]

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Outlook Categories are the quickest way to add a consistent label to emails, calendar items, and tasks. When category names drift over time (for example, Client A becomes Client Alpha), your filters and navigation get messy fast.

Renaming a category can help you keep your workflow readable, especially when you rely on rules, Search folders, and saved views. Below are the exact steps for the most common Outlook versions, plus what to check if the rename doesn’t show up everywhere.

What Outlook Categories Are (and why renaming matters)

Categories are named tags (e.g., Priority, Receipts, Follow up) that Outlook stores and applies to items. People usually use them to drive navigation: grouping messages in rules, sorting in views, or filtering in searches.

Renaming matters because many workflows refer to the category’s name, not just its color. If your rule says “Apply category Client A,” renaming to “Client Alpha” can prevent future items from being categorized correctly.

Microsoft Designer Compact Keyboard - Matte Black. Standalone Wireless Bluetooth Keyboard. Compatible with Bluetooth Enabled PCs/Mac
  • Compact design saves desktop space and allows for close, comfortable mouse position.
  • Optimized key spacing and key travel for fast, fluid typing.
  • Sleek, low-profile design complements any workspace.
  • Expressive input key[2] for quick access to emojis, symbols, and more.
  • Connect up to 3 devices and switch seamlessly between them[1].

Prerequisites and what you need to know first

  • Know where your categories live: Categories are tied to your Outlook profile and mailbox type (Exchange/Microsoft 365 vs local PST). In most cases, the web client is the most reliable place to manage them for Microsoft 365/Exchange accounts.
  • Plan for automation changes: If you use Outlook Rules or third-party automations that reference category names, you may need to update them after the rename.
  • Expect propagation time: After renaming, other clients can take a few minutes to reflect the updated category list, especially on mobile or when using slower sync.

Rename a category in Outlook for Windows (classic desktop app)

Outlook for Windows classic (the traditional desktop app) includes a dedicated “All Categories” dialog where you can rename existing categories.

Open the Category manager

  1. Open Outlook on Windows.
  2. Go to the Home tab.
  3. Select Categorize.
  4. Click All Categories…

Rename the category

  1. In the Color Categories window (often titled Color Categories or similar), select the category you want to rename.
  2. Click Rename.
  3. Type the new name (for example, change Client A to Client Alpha).
  4. Press Enter, then click OK.

Outlook will keep existing items tagged with the renamed category in most scenarios. If you don’t see the update immediately, verify the item’s category details and refresh the view.

Check rule mappings and saved views

If you have rules that apply categories by name, rename can impact matching. After renaming, do a quick check:

  • Open File > Manage Rules & Alerts.
  • Look for rules that use Category conditions or actions.
  • Update any category name references to the new label.

Rename a category in Outlook on the web (Outlook.com / Microsoft 365)

For Microsoft 365 and Exchange accounts, Outlook on the web usually provides the cleanest category management. It’s also a good fallback when desktop clients behave inconsistently.

Go to Mail categories settings

  1. Sign in to Outlook on the web (commonly https://outlook.office.com or https://outlook.com).
  2. Click the Settings gear icon in the top-right.
  3. Go to Mail > Categories.

Rename the category

  1. Find the category in the list.
  2. Select it (or click the category row) to bring up its details.
  3. Choose Rename (wording can vary slightly by tenant UI updates).
  4. Enter the new category name and confirm.
  5. Close settings; changes typically sync automatically.

After renaming, open a recently categorized email and verify the Categories field shows the new name.

Verify changes applied to existing messages

  • Use the search box and type the new category name (e.g., search for Client Alpha).
  • If items don’t show up, refresh the mailbox and give sync 5–15 minutes.
  • Check that the item is actually categorized (some items only show category color in the UI, not the label).

Rename a category in Outlook for Mac

Outlook for Mac supports category management, but the exact menu labels can shift by macOS and Outlook build. The goal is to open the Categories editor and rename the entry.

Use the Categories editor

  1. Open Outlook on your Mac.
  2. From the top menu, select Tools.
  3. Choose Categories… (or Manage Categories…, depending on version).
  4. Select the category you want to rename.
  5. Click Rename.
  6. Type the new name and confirm with OK or the equivalent confirm button.

Confirm the rename and test it

  1. Create a quick test: pick an email, apply the renamed category via Categories.
  2. Wait a minute and then open the email details to confirm the new category label persists.
  3. If it doesn’t persist, try doing the rename in Outlook on the web and let it propagate back to the Mac.

If you can’t rename in your Outlook version: practical workarounds

Some newer Outlook interfaces and certain environment setups don’t expose category renaming in the same way. If you don’t see a Rename button or the category list is locked, use one of these reliable alternatives.

Use Outlook on the web as the source of truth

If your Windows or Mac client can’t rename categories, rename them in Outlook on the web (Settings > Mail > Categories). Then wait for other clients to sync the updated list.

Create a new category and re-assign items

If rename is blocked (or keeps reverting), you can:

  1. Create a new category with the desired name.
  2. Re-apply that category to existing items (manually or with rules).
  3. Stop using the old category name going forward.

This approach is slower, but it’s predictable when rename isn’t supported.

Update rules that reference the old category name

After you rename (or replace with a new category), check:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Rules that apply categories.
  • Rules that move emails based on a category condition.
  • Any workflow that uses category names in its filters (including exported rule scripts, if you use them).

Gotchas: what can break when you rename

Renaming is usually safe, but categories can be referenced in multiple places. These are the most common failure points.

Rules, Search folders, and saved filters

Examples of what can happen:

  • Rules may still run, but they might apply the old label if the action remains bound to the original category name.
  • Search folders or custom searches built around the category name might not match until updated.
  • Saved views can show stale labels until refresh/sync completes.

Shared mailboxes and delegation permissions

If you manage categories in a shared mailbox:

  • You may need adequate permissions (not just read access).
  • Different users can have different category sets depending on mailbox configuration.

Rename changes can appear inconsistent if you’re viewing items from multiple mailboxes or identities.

Multiple accounts and different data stores (PST vs Exchange)

Category lists can differ between a local PST and an Exchange/Microsoft 365 mailbox. If you see different categories on different clients, confirm which account the item belongs to and where your categories are stored.

Troubleshooting checklist when renaming doesn’t take effect

When the rename doesn’t show up, don’t assume it failed. It can be a sync delay or a workflow referencing the old label.

Category rename works in one client but not another

  1. Check the account: confirm the client is connected to the same mailbox (same Exchange profile / same Outlook account).
  2. Wait 5–15 minutes for sync (longer on slower networks).
  3. Force a refresh/reconnect: in Outlook, trigger a sync (send/receive) and restart the client if needed.
  4. Verify by opening a single categorized item and looking at its category field.

Renamed category disappears or reverts

Common causes:

  • You renamed a category in one mailbox while the other client is connected to a different one.
  • The category name collides with an existing category (some systems avoid duplicates).
  • A rule or add-in re-applies the old category name after sync.

Try renaming to a unique new name and repeat the operation in Outlook on the web. Then test one categorized item end-to-end.

Automations stop tagging messages

If categories are applied by rules, automation, or integrations, update them after renaming:

  • Open Manage Rules & Alerts and edit any rule that references category name text.
  • Check any conditional formatting or add-in that filters by category.
  • Perform a test: move a new test email into the rule’s target folder and confirm the category action triggers.

Comparison: which method you should use

Client Typical rename workflow Best for
Outlook for Windows (classic) Home > Categorize > All Categories… > Rename Quick edits and immediate desktop verification
Outlook on the web Settings > Mail > Categories > Rename Consistency across clients and fallback when desktop UI lacks options
Outlook for Mac Tools > Categories… > Rename Direct management from macOS with quick testing

If you’re troubleshooting cross-device differences, use Outlook on the web to rename, then validate from Windows and Mac after the sync window.

FAQs

Can I rename a category without affecting existing emails?

Usually yes—existing items remain tagged to the renamed category. However, anything that searches or rules based on the old name may stop matching. After renaming, confirm your rules and any saved searches.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will my category color stay the same after renaming?

Renaming typically keeps the category’s color assignment. If you recreate a category instead of renaming, you’ll need to pick the desired color again.

Why can’t I see a Rename button?

In some Outlook experiences (especially certain “new Outlook” setups) the category management UI can be limited. Rename the category in Outlook on the web (Settings > Mail > Categories) and wait for propagation.

Do categories sync between devices?

For most Exchange/Microsoft 365 accounts, categories sync across clients after the rename. Local PST folders and certain mailbox configurations may behave differently.

Should I rename or create a new category?

If rename works cleanly and you have minimal automation tied to the old name, rename is best. If rename is blocked or causes issues, create a new category and reassign items while updating rules to use the new name.

Bottom Line

Renaming an Outlook category is usually straightforward: use Categorize > All Categories… > Rename in Outlook for Windows classic, or Settings > Mail > Categories in Outlook on the web. After the change, verify rules and saved filters that might rely on the old category name.

If your rename doesn’t show up everywhere, treat Outlook on the web as the source of truth and give sync time—then test with a single email so you can confirm the label end-to-end.
