Outlook has no universal button that finds and deletes every identical email. Use Conversation Clean Up for redundant quoted messages in a thread; find truly identical messages with search, filters, sorting, and a manual comparison. For contacts, new Outlook and Outlook on the web can hide exact and subset duplicates, while classic Outlook requires manual deletion or a carefully backed-up CSV export/import.
First identify your Outlook version
- Classic Outlook for Windows: usually has a File tab at the top.
- New Outlook for Windows: has the newer web-style interface and normally does not show the classic File tab.
- Outlook on the web or Outlook.com: runs in a browser.
- Outlook for Mac: uses different menus; do not assume the Windows paths below apply.
Microsoft notes that commands differ between new and classic Outlook. Select the matching client instructions before changing messages or contacts.

A conversation thread, an exact duplicate message, and a duplicate contact are different problems. Conversation view can group legitimate replies under one subject, and a directory profile can appear beside your saved contacts without being a duplicate record. Microsoft explains the distinction between directory information and personal contacts at Manage contacts in Outlook.
Remove redundant messages from a conversation
Conversation Clean Up removes an earlier message when its complete content is included in a later reply. It is intended for quoted conversation history, not for every pair of byte-for-byte identical messages delivered independently. Cleaned messages go to Deleted Items by default.

Clean one conversation in classic Outlook
- Select a message in the conversation.
- On Home, choose Clean Up.
- Select Clean Up Conversation.
- Confirm if Outlook asks.
On a simplified ribbon, the command may be under the arrow beside Delete. Microsoft documents this feature for classic Microsoft 365, Outlook 2024, Outlook 2021, and Office 365 Small Business at Use Conversation Clean Up to delete redundant messages.
Clean a folder or its subfolders
Choose Home > Clean Up > Clean Up Folder or Clean Up Folder & Subfolders. Start with one test folder: the subfolder option can affect many conversations. You can change the destination and exclusions in File > Options > Mail > Conversation Clean Up.
Check exclusions before bulk cleanup
Do not use a broad cleanup until you have considered messages that are unread, flagged, categorized, digitally signed, altered, needed for an audit, or subject to retention requirements. Preserve any message with a unique attachment or metadata you must retain. Outlook’s documented behavior and settings are detailed in the Microsoft article linked above. If Clean Up is missing, use the manual method below; it is not exposed in every client.

Search a manageable scope
- Work in one folder first, such as Inbox, Sent Items, or an import folder.
- Search for a distinctive subject or sender.
- Narrow by folder, date, attachment status, or other filters.
- Sort results by subject, sender, received date, size, category, or importance.
Examples of Outlook on the web Advanced Query Search syntax include:
subject:"monthly report"from:[email protected] subject:"invoice"received:08/01/2026..08/18/2026hasattachment:yes subject:"contract"
Use month/day/year date syntax only where it matches your client and locale. Outlook on the web search results are limited to the first 1,000 results, so narrow a broad search by folder, sender, subject, or date. See Search Mail and People in Outlook on the web and Sort email messages in Outlook.
Compare before deleting
Open the candidate messages and compare sender, all recipients, received or sent time, body, attachments, folder, categories, flags, read state, and any other metadata you need. The same subject alone is not evidence of duplication. Keep the copy with the correct attachment, folder, category, flag, or complete metadata. Delete only confirmed duplicates, then inspect Deleted Items before emptying it.

Rule out conversation-view confusion
Conversation view groups messages with the same subject. Temporarily switch to an individual-message layout in your client’s layout or message-organization settings, then compare the actual messages. Use Conversation Clean Up only when the earlier content is fully repeated inside a later reply. Microsoft’s view options are described at View email messages by conversation in Outlook.

Handle duplicate contacts in new Outlook and on the web
New Outlook for Windows, Outlook on the web, and Outlook.com can automatically hide exact duplicates and records that are a proper subset of another contact. Hiding is not merging or guaranteed permanent deletion. Two records containing different additional information can both remain visible.
Consolidate information before deleting
Open the visible records and copy useful phone numbers, addresses, companies, job titles, notes, and other fields into the contact you intend to keep. Deleting in new Outlook or the web can synchronize across connected Outlook clients and remove the contact and associated hidden duplicates. A hidden record can reappear if it is edited so it no longer qualifies as a duplicate, or if only another visible record was deleted.
Microsoft documents these behaviors at Manage duplicate contacts in Outlook. Confirm the account and Contacts folder when several accounts are configured.
Delete a few duplicates in classic Outlook
- Open People.
- Change to a list-style view such as Phone, which makes scanning easier.
- Hold Ctrl and select the duplicate records.
- Press Delete or Ctrl+D.
Before selecting multiple records, open entries with different phone numbers, addresses, companies, or job titles and transfer valuable fields into the record you are keeping. Classic Outlook does not automatically clean existing contact folders.
Clean a large classic Outlook contact list with CSV export/import
This Microsoft-supported workflow is more efficient for hundreds or thousands of contacts, but it temporarily moves the working folder. Export a backup first and verify the account and folder.
- In People, create a temporary folder such as Contact cleanup.
- Move all contacts from the primary Contacts folder into that temporary folder.
- Choose File > Open & Export > Import/Export.
- Select Export to a File, then Comma Separated Values (Windows).
- Export the temporary contacts folder.
- Return to File > Open & Export > Import/Export and choose Import from another program or file.
- Select Comma Separated Values (Windows) and the exported file.
- Choose Do not import duplicate items.
- Import into the now-empty primary Contacts folder.
- Move contacts remaining in the temporary folder back to the primary folder and resolve duplicate prompts.
- Check the result before deleting the temporary folder.
| Import choice | Effect |
|---|---|
| Replace duplicates with items imported | Imported information replaces the existing Outlook item. |
| Allow duplicates to be created | Creates another contact record. |
| Do not import duplicate items | Keeps the existing Outlook item and discards the matching imported item; it does not merge every field. |

Trace repeated email delivery
If a deleted message returns, it may have been delivered again rather than restored. Check whether multiple Outlook accounts or profiles receive the same address, whether forwarding or redirect rules create another copy, and whether an import or synchronization process is repeating messages. Rules can move or delete mail, but use a specific, reliable condition rather than trying to match duplicates blindly. New Outlook has limitations for rules on third-party accounts such as Gmail, Yahoo, and iCloud; configure those rules with the provider when required. See Manage email messages by using rules in Outlook.
Trace returning contacts
- A hidden duplicate may still exist.
- Another Outlook client or synchronized service may contain the record.
- An edit may have made the record no longer a subset duplicate.
- You may have cleaned the wrong account’s Contacts folder.
- An external import may have been repeated with Allow duplicates to be created.
Check each connected account and client, then consolidate fields before deleting. Contact lists or distribution lists are separate collections of addresses, not individual contact records; their editing guidance is at Create, view, and edit contacts and contact lists.

Safety checklist before permanent deletion
- Export contacts and keep the backup outside Outlook.
- Confirm the account, folder, and client you are editing.
- Inspect attachments, flags, categories, unread status, signatures, and retention or legal requirements.
- Test Conversation Clean Up on one conversation or a small test folder.
- Review Deleted Items before emptying it.
- Do not grant a third-party cleaner mailbox or address-book access unless you have independently checked its privacy, security, retention, and compatibility terms.
If mailbox space is the goal, Conversation Clean Up can remove redundant thread messages, and a search such as messagesize:>5 mb can locate large messages. Deleting mail may not immediately shrink a local PST or OST; Outlook can compact data files later. Microsoft’s storage guidance is at Reduce the size of your mailbox and Outlook Data Files.
