To change what a key does, use your operating system’s remapping tool: PowerToys Keyboard Manager on Windows, App Shortcuts on macOS, or Keyboard settings in GNOME. A key remap changes the output or action of a key, while a keyboard shortcut assigns a combination such as Ctrl+Shift+K to an action. Choose the workflow that matches your operating system, whether the action is global or app-specific, and whether it is a built-in command or something you launch yourself.
Remapping a key is different from creating a shortcut
A remap substitutes one key for another action. For example, you can make one physical key behave like another key, emit Unicode text, start an application, or open a URI. A shortcut is a key combination bound to an action; it can leave the individual keys unchanged while adding a faster way to invoke a command. The controls and limits differ between Windows, macOS and Linux desktop environments, so start by identifying which system and desktop you use.

Choose the right method first
| Need | Windows | macOS | GNOME Linux | Keyboard firmware |
|---|---|---|---|---|
| Change one key’s behavior | PowerToys Keyboard Manager, Remap a key | App Shortcuts are for menu commands rather than a general key substitution | Keyboard settings change predefined bindings | QMK keymap, if the exact keyboard and revision are supported |
| Create a shortcut | PowerToys, Remap a shortcut | App Shortcuts for an existing menu command | Predefined or custom shortcut in Keyboard settings | Program the keymap in firmware |
| Limit the action to one application | Specify the app’s process name in Keyboard Manager | Choose a particular application in App Shortcuts | Desktop-environment settings determine scope | Firmware mapping is independent of the foreground app |
| Launch an app or command | Map to an application launch or URI | App Shortcuts do not create a general app-launch shortcut | Use a custom shortcut with a valid system command | Use the keyboard’s supported firmware features |
| Keep the mapping active without a desktop utility | Not with Keyboard Manager; PowerToys must be running | Stored in macOS settings | Stored in GNOME settings | Stored in the keyboard firmware after flashing |
The Windows, macOS and GNOME procedures below are the supported desktop routes. QMK is an optional hardware route for people who want the keyboard itself to apply the keymap.
Windows: remap keys and shortcuts with PowerToys
Microsoft’s PowerToys Keyboard Manager can remap individual keys, key combinations, text, application launches and URIs. A shortcut can apply everywhere in Windows or only when a specified process is in the foreground. The utility must be enabled and PowerToys must remain running in the background for the mapping to work; closing PowerToys disables it. See Microsoft’s current procedure in Remap Keys and Shortcuts with PowerToys Keyboard Manager.

Remap one key
- Open PowerToys Settings.
- Select Keyboard Manager in the left navigation.
- Choose Remap a key.
- Select Add key remapping (or the equivalent add control), then choose the physical key in the input column.
- Choose the output: another key, a shortcut, Unicode text, an application launch or a URI.
- Confirm the mapping and leave PowerToys running.
This is the appropriate route when a misplaced or unused key should behave consistently across Windows applications. If the desired result is a multi-key command rather than a replacement for one key, use a shortcut remap instead.
Remap a shortcut globally or for one app
- In PowerToys Settings > Keyboard Manager, choose Remap a shortcut.
- Add a shortcut mapping and press or select the original key combination.
- Set the output to another key, another shortcut, text, an application launch or a URI.
- To limit it to one program, enter that program’s process name in the target-app field. Leave the field without an app target for a global Windows mapping.
- Save the mapping and test it in the intended application.
Use the process name rather than the window title when targeting an app. If the program has multiple editions or executables, verify which process is actually running before concluding that the mapping failed.
Build combinations and sequences carefully
Keyboard Manager documents modifier-key requirements and limits on how combinations are constructed. A shortcut may need a modifier such as Ctrl, Alt, Shift or Win; the exact constraints are shown by the current Keyboard Manager interface. For a sequence of key presses rather than one simultaneous chord, use its chord option when available.
Order matters when a key is both remapped and included in another shortcut. For example, changing a key first can alter what a second shortcut receives. When two mappings interact, test the intended order of presses and remove overlapping mappings that are no longer needed.

Windows limitations that matter
- PowerToys must be running. The mapping is not provided by the keyboard hardware or by Windows itself when PowerToys is closed.
- Reserved combinations cannot be taken over. Windows reserves combinations including Win+L and Ctrl+Alt+Delete.
- Sign-in and elevation boundaries apply. Keyboard Manager does not work on password screens or while the relevant program is running as administrator. Do not depend on a remap for signing in or for an elevated prompt.
- Games can read input differently. Microsoft advises avoiding Keyboard Manager remaps in games because compatibility depends on how each game reads keyboard input.
These restrictions are reasons to keep a physical fallback for an essential key and to test a remap in the exact context where you will use it.
Find existing shortcuts with Shortcut Guide
If your goal is to discover a shortcut rather than change one, PowerToys includes Shortcut Guide. It shows a searchable reference for the foreground app and supported applications. The default activation shortcut is Win+Shift+?; PowerToys settings let you change that activation combination. Shortcut Guide also requires PowerToys to be running. Microsoft’s reference is PowerToys Shortcut Guide utility for Windows.
macOS: assign shortcuts to menu commands
macOS App Shortcuts bind a key combination to an existing menu command in one application or across applications. They are not a general-purpose tool for replacing a physical key and do not create a universal shortcut that launches an app. Apple describes the current workflow in Create keyboard shortcuts for apps on Mac.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCreate an app-specific shortcut
- Open the Apple menu and choose System Settings.
- Select Keyboard, then Keyboard Shortcuts.
- Choose App Shortcuts.
- Click the add button and choose the application. Select All Applications if the command should be available wherever that same menu item exists.
- Enter the menu command’s title exactly as it appears in the app’s menu, including capitalization and punctuation.
- Click the shortcut field, press the desired combination, and select Done.
Open the target app and use the menu to confirm the command’s spelling before entering it. A title that differs by even a character may not bind. If the application uses a different label in another language or version, use the title displayed in that installation.

Resolve conflicts and unsupported commands
A conflicting existing shortcut can prevent the new binding from working. Check the app’s current menus and the Keyboard Shortcuts list, then choose a free combination or remove the conflicting assignment. Some applications do not allow custom shortcuts, and App Shortcuts only address commands that already appear in a menu. They cannot turn an arbitrary script, URL or application launch into a shortcut by themselves.
For a command that should work in several apps, All Applications applies the menu-title rule system-wide. That does not guarantee identical behavior: each app must expose a menu item with the same title, and an app can still reject or override the shortcut.
GNOME Linux: change built-in bindings or add a custom command
GNOME’s settings distinguish between predefined actions and custom shortcuts. These steps apply to GNOME’s desktop settings; other Linux desktop environments use different panels and terminology. GNOME documents the procedure in Set keyboard shortcuts.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Change a predefined shortcut
- Open Activities and search for Settings.
- Open Keyboard, then choose View and Customize Shortcuts.
- Search for an action or select its category.
- Click the action’s row and press the desired key combination.
- Use Backspace to reset the shortcut or Escape to cancel the edit.
Choose this route when the action already exists in GNOME’s list, such as a desktop command with a predefined binding. Test the new combination immediately so that a conflict is visible while you still have the settings panel open.

Create a custom shortcut for a command or app
- In Settings > Keyboard > View and Customize Shortcuts, choose Custom Shortcuts.
- Add a custom shortcut and enter a descriptive name.
- Enter a valid system command in the command field.
- Record the desired key combination when GNOME prompts you.
- Test the command in Terminal first, as GNOME’s guide recommends, before relying on the shortcut.
The command must work on your installation and in your user’s environment. A custom shortcut is therefore suitable for launching a command or application, while the predefined list is better for actions GNOME already understands. Because desktop environments vary, do not assume that a GNOME shortcut definition can be copied unchanged to KDE or another Linux session.
Optional hardware route: a programmable QMK keyboard
Software remaps depend on the operating system or a background utility. A QMK-compatible keyboard can instead store a customizable keymap in keyboard firmware. This is useful when the same physical layout should behave consistently across several computers, but compatibility is model- and revision-specific. QMK’s guide is QMK Configurator: Step by Step.
Configure and flash a keymap
- Open QMK Configurator and select the exact keyboard model and layout.
- Verify the keyboard’s hardware version or revision before editing anything.
- Define the keymap in the configurator, assigning the desired keys and layers.
- Compile the keymap to create firmware.
- Follow the keyboard’s supported process to flash that firmware.
- Reconnect and test every changed key, including a way to access essential functions you did not remap.
QMK explicitly warns that a product advertised as QMK-powered may not be available in Configurator. Treat the exact model and revision as a prerequisite, not an assumption. No particular keyboard model is implied by the existence of QMK support, so verify the manufacturer’s identification and QMK’s listing before buying or flashing.
Decide between a remap, a shortcut and firmware
Use a key remap when the physical layout is the problem
Choose a key remap when one key is in the wrong place, a seldom-used key should produce another key, or a key should emit a fixed piece of text. Windows Keyboard Manager is the most explicit of the documented desktop tools for these targets. macOS App Shortcuts and GNOME’s predefined settings focus on commands rather than arbitrary physical-key substitution.

Use a shortcut when the action is occasional or app-specific
A shortcut preserves the normal behavior of the keyboard while adding a direct command. On Windows, set a process target when only one app should receive it. On macOS, bind the exact menu title in the relevant app. In GNOME, use a predefined action or a custom command. This keeps the mapping from altering ordinary typing in unrelated programs.
Use firmware when the same keymap must travel with the keyboard
Firmware is the only route covered here that does not depend on a desktop utility being active. It requires a compatible programmable keyboard and correct model and revision selection. If hardware compatibility is uncertain, use the operating system’s software method until the exact QMK support is confirmed.
Troubleshoot a shortcut that does not work
Nothing happens anywhere on Windows
- Open PowerToys and confirm Keyboard Manager is enabled.
- Leave PowerToys running in the background; closing it turns off the mapping.
- Check that the combination is not a Windows-reserved shortcut such as Win+L or Ctrl+Alt+Delete.
- Test outside a password screen and outside an elevated administrator process.
The Windows mapping works in one app but not another
- Remove or correct the process-name target if the shortcut was intended to be global.
- Confirm that the target program is the process you specified, not a launcher or a different edition.
- For games, assume input-handling differences may prevent Keyboard Manager from seeing the keys reliably.
- Inspect overlapping mappings, especially when a remapped key is also part of another shortcut; press the keys in the intended order.
A macOS App Shortcut is ignored
- Copy the menu command’s title exactly from the application, including punctuation and capitalization.
- Try the shortcut in the application whose menu item you configured, rather than a similarly named command in another app.
- Look for an existing binding that conflicts and choose a different combination.
- Confirm that the command is an existing menu item; App Shortcuts do not provide arbitrary app launches or commands.
A GNOME shortcut does not launch its command
- Run the command in Terminal first and correct its syntax or path there.
- Return to Settings > Keyboard > View and Customize Shortcuts and verify that the shortcut is recorded on the intended custom entry.
- Use Backspace to clear a conflicting binding, then assign an unused combination.
- If you are not using GNOME, consult that desktop environment’s keyboard settings instead of applying GNOME’s paths literally.
A QMK keymap is unavailable or behaves unexpectedly
- Check the exact keyboard model, layout and revision selected in QMK Configurator.
- Do not infer Configurator support solely from a product description that mentions QMK.
- Rebuild the keymap after correcting the hardware selection, then flash the firmware supported for that exact board.
A practical setup checklist
- Identify the operating system and, on Linux, the desktop environment.
- Decide whether you need to replace a key, add a key combination, launch a command, or bind an existing menu item.
- Choose global scope, one-app scope, or keyboard-firmware scope before creating the mapping.
- Record the original key behavior so you can undo the change.
- Pick a combination that is not already used by the operating system or the target app.
- Test in the exact context that matters: normal desktop, target application, sign-in boundary, administrator window or game.
- Keep an unmodified way to open settings and undo the mapping.
Bottom line
Windows users get the broadest software remapping options through PowerToys, including app-specific shortcuts and launches, but the utility must keep running and cannot take over reserved or protected contexts. macOS App Shortcuts are the cleanest choice for existing menu commands when the title is entered exactly. GNOME provides editable built-in bindings and custom commands, with the command tested first. Choose QMK only when you specifically want the keymap stored in compatible keyboard firmware and have verified the exact model and revision.
