Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsReduce security risk by fitting safeguards to the work people need to do: protect sensitive access with strong multifactor authentication (MFA), grant only the permissions each role requires, secure access to specific resources, and keep patching, backups and reporting routines current. The aim is not to make security invisible or promise friction-free work; it is to avoid obstacles that do not meaningfully reduce risk.
Start with the work and the resources at risk
Begin by identifying the business tasks that matter, the information and systems those tasks depend on, and the people and devices that need access. Then prioritize protection according to the sensitivity of the resource and the consequences of an account being misused. This is more useful than applying identical restrictions to every employee and workflow.

NIST’s Cybersecurity Framework 2.0 workforce and risk-management guide, published in March 2026, connects cybersecurity risk management with enterprise risk management and workforce planning. It treats risk communication and workforce adaptation as ongoing responsibilities, rather than a one-time technology purchase. The guide is aimed at organizational planning; it does not measure how particular controls affect employee task times.
Protect sign-ins without treating every MFA method as equal
Require MFA wherever the service supports it, with priority for administrator accounts, sensitive information and other high-impact access. MFA adds a verification step beyond a password, but methods differ in how well they resist phishing and account takeover. CISA’s guidance for small and medium businesses identifies physical security keys as a strong option and places app-based number matching ahead of app-generated one-time codes, biometrics used with another method, and SMS or email codes as weaker fallbacks. Availability depends on the account and its implementation; follow the strongest method the service supports rather than assuming every option provides the same protection. See CISA’s MFA guidance.

| Authentication option | Security guidance | Workflow and deployment consideration |
|---|---|---|
| FIDO security key | CISA identifies physical security keys as a strong MFA option. | Check identity-provider support, device ports, enrollment and account-recovery procedures. A separate key is not the only FIDO form: NIST says authenticators may also be built into a phone or laptop. |
| App-based number matching | CISA places this ahead of app-generated one-time codes among the listed options. | Use it as an interim choice when phishing-resistant authentication is not yet available; plan a move to a phishing-resistant method where supported. |
| App-generated one-time code | CISA ranks this below app-based number matching in its listed options. | Use only where stronger supported options are unavailable, and account for the method’s recovery process. |
| Biometrics used with another method | CISA lists this below app-generated codes in its guidance. | Biometric use here is part of a multi-factor setup, not a reason to treat biometrics alone as MFA. |
| SMS or email code | CISA describes these as weaker fallbacks in the listed options. | Retain only when stronger methods cannot be used, rather than making a fallback the default for high-risk accounts. |
NIST’s 2024 small-business fact sheet, Taking MFA to the Next Level: Phishing-Resistant Authentication, describes FIDO authenticators as either separate hardware keys or authenticators built into platforms. A hardware key is therefore optional, not a universal requirement. Confirm that the chosen method works with your identity provider and employee devices, and provide a supported way to enroll, replace a lost authenticator and recover access. A fallback that is much weaker than the primary method can undermine the protection the primary method was meant to provide.
Grant access to the task, not to everything nearby
Use role requirements to decide which people can reach which resources, and limit each account to what its work requires. Review elevated or administrator access separately from ordinary access. Narrow permissions reduce the number of systems an account can reach if it is compromised, while avoiding a blanket restriction that prevents an employee from doing an assigned task.

NIST’s Special Publication 800-207 on zero trust architecture explains why a request should not be trusted merely because it comes from inside the network or from a familiar location. Authorization should account for the particular user, device and resource. In this model, “zero trust” is an approach to access decisions, not a single product or a directive to challenge employees indiscriminately.

Employees may reach cloud services and business systems from different locations and devices. Protect access to each resource rather than assuming that work is safe because it happens behind an office firewall. Apply the same user-, device- and resource-focused authorization to remote access as to other access, and tailor the design to the organization’s systems.

NIST emphasizes that zero-trust architectures are custom builds because organizations’ network environments differ. Its June 11, 2025 article on examples for building zero-trust architectures describes 19 example implementations developed with 24 industry collaborators. Those counts describe the NIST project; they are not evidence that one implementation fits every organization or improves productivity. NIST computer scientist Alper Kerman put the implementation challenge plainly: “You have to understand who’s accessing what resources and why.”

Access controls do not replace basic security practices. NIST’s Cybersecurity Basics guidance, updated August 26, 2026, covers foundational steps that include keeping software updated, maintaining and testing backups, using strong unique passwords, addressing phishing and ransomware, and training employees in cyber hygiene.

Roll out controls in a way employees can actually use
- Map the task and access. Identify the role, device, application and data required for a common workflow, along with the impact if access is misused.
- Choose the strongest supported sign-in method. Prefer phishing-resistant MFA for sensitive and privileged accounts; verify compatibility and recovery before requiring enrollment across a team.
- Set resource-specific permissions. Give the role the access it needs, avoid unnecessary elevated privileges, and test whether routine tasks still work.
- Prepare support and recovery. Tell employees how to enroll, replace a lost authenticator and get help if access fails. Define who can approve exceptions and how those exceptions will be reviewed.
- Check real workflows after deployment. Observe common tasks and collect employee and support feedback. Adjust configuration when a control causes repeated avoidable friction without adding meaningful protection.
- Reassess as work changes. Revisit access, devices, systems and recovery arrangements when roles or business processes change.
To assess usability, organizations can track avoidable lockouts, enrollment failures, repeated prompts, support tickets, time to complete common tasks and exceptions by role. These are measures to collect locally, not published findings that a particular control saves or costs a set amount of employee time. The cited guidance supports the security practices, but does not establish a universal measured productivity effect.

What a good balance looks like
A sound design protects high-impact access more strongly, gives employees only the permissions their work needs, and supports cloud and remote access without relying on network location as proof of trust. It also provides a workable enrollment and recovery path, keeps baseline protections current and checks actual workflow problems instead of assuming a control is either effortless or unworkable. The right configuration depends on the organization’s resources, systems, workforce and risk; regulated or high-impact environments also need to verify their applicable requirements.
