First determine whether you received or entered the same supplier bill twice, or issued two customer invoices with a colliding number. Check the underlying transaction and payment status before changing records; then make any correction in a traceable way that follows your accounting system and local tax rules.
First identify which kind of duplicate you have
These situations need different remedies. A duplicate supplier bill can lead to paying the same bill twice. Two sales invoices issued by your business can confuse a customer, compromise your numbering records, or affect tax reporting. Compare the parties, source documents, dates, amounts, currency, tax, purchase order or contract, delivery or service evidence, ledger entries, and payment status.

| Situation | What to verify | Immediate priority | Possible correction path |
|---|---|---|---|
| Two supplier bills recorded with the same number | Supplier, original bill, date, amount, purchase and receipt evidence, posting and payment status | Prevent a second payment | Hold and investigate; if the accounting entry is confirmed as a duplicate, remove it from the payable workflow using the system’s traceable reversal or void process. Ask the supplier to correct an inaccurate source invoice. |
| Two customer invoices issued with the same number | Customer, supplies, dates, tax treatment, delivery evidence and ledger history | Avoid duplicate collection and preserve valid records | Keep the issued documents and correct the customer and accounting trail with linked documentation under local rules. |
A number match alone does not establish that the underlying purchase or sale was duplicated. SAP’s documented duplicate checks combine fields such as vendor, currency, company code, amount, reference number and invoice date; SAP Concur also supports configurable criteria. A software warning is a screening signal, not a final decision: SAP ERP duplicate invoice check and SAP Concur’s Is Duplicate rule.

If you received or entered the same supplier bill twice
- Pause the questionable payment. Hold the bill in your approval or payment workflow while you check whether either entry has been paid.
- Match the bill to the transaction. Compare the supplier identity and original document with the invoice date, amount, currency and tax. Check the purchase order or contract, goods receipt or service evidence, ledger, and payment history. Similar invoice numbers can belong to different suppliers or transactions.
- If both entries are for the same bill, correct the accounting entry without erasing its history. Use your accounting system’s documented duplicate, reversal or void process, as appropriate to whether the record was posted or paid. Keep the reason and supporting evidence with the record. Menu names and accounting entries vary by system.
- If both were paid, contact the supplier. Arrange repayment or an appropriate credit and track the recovery through your normal accounting process. The right adjustment depends on what actually happened and applicable tax rules.
- If the supplier’s invoice itself is wrong, request a corrected or replacement document. For UK VAT, HMRC directs recipients whose invoice shows an incorrect VAT amount to go back to the supplier for a replacement; see VAT Notice 700/45.
If your business issued two invoices with the same number
- Preserve both documents and their history. Keep the issue dates, delivery records, customer communications and accounting-system records. Establish whether one document is a duplicate copy for one supply or whether two distinct supplies were given colliding identifiers.
- Ask the customer not to process both as separate charges while you investigate. Confirm which supply and amount are valid before changing the customer-facing record.
- Make a linked correction rather than silently editing or deleting an issued invoice. Use the correction document required by the facts and local rules, and reference the affected original invoice or invoices so the record can be followed. Reconcile the ledger and tax records.
- Check whether a tax return has already been filed. If it has, or if you cannot determine which invoice is valid, consult a qualified accountant or the relevant tax authority before amending the records.
What UK VAT guidance says about issued invoices
The jurisdiction matters: the following requirements are UK VAT examples, not universal rules. HMRC says a VAT invoice’s identifying number must be sequential, based on one or more series, and uniquely identify the document. HMRC’s Electronic invoicing (VAT Notice 700/63) also describes audit-trail controls and says an amending document, such as a credit note, must include the original invoice details and enough information to identify it. For a VAT correction, the notice says the credit note should refer to the original invoice number and date and show the relevant correct and incorrect VAT amounts.

HMRC’s VATREC13010 guidance on credit and debit notes describes credit notes as documents used to amend or correct invoices. That does not mean a credit note is automatically the right fix for every same-number incident: establish the transaction and follow the rules that apply to your circumstances.
Do not confuse a duplicate number with a duplicate copy
A replacement copy of a lost or unreadable invoice is different from issuing two invoices for separate supplies with the same identifier. HMRC says a supplier providing a copy of a lost or unreadable UK VAT invoice should mark it “duplicate”; see VATREC8050.

HMRC’s VATREC8010 guidance on duplicate VAT invoices states: “There is no specific law relating to duplicate VAT invoices, but present policy recognises the risk that the recipient of a duplicate invoice may deduct input tax twice.” That passage describes the duplicate-invoice context and risk; it is not a universal correction procedure for every incident.
Keep an audit trail of the investigation and correction
Retain the original documents and system history, record what you checked and why you changed an entry, and link any correction to the affected invoice. HMRC’s electronic-invoicing guidance calls for an audit trail between invoices and related business records, with controls for completeness, accuracy and duplicate processing. The precise accounting action depends on your software, payment status, jurisdiction and whether tax has already been reported.

Software behavior can also be platform-specific. SAP’s public preview for Knowledge Base Article 3558413 describes a duplicate invoice ID issue near the beginning of a year in SAP Business ByDesign. The full article requires SAP for Me login, so the preview does not establish a general fix for other systems.
