If you just deleted a local file, stop using the affected PC as much as possible: new activity can overwrite the space the file occupied, making recovery harder or impossible. First check where the file was stored. A file may still be in the Windows Recycle Bin, OneDrive’s online recycle bin, or a backup; only files permanently removed from those places require a recovery attempt such as Windows File Recovery.
Choose the recovery method that matches where the file was stored
| Where the file was | What to try | Important limitation |
|---|---|---|
| Local Windows folder | Windows Recycle Bin, then File History or another existing backup; if permanently deleted, Windows File Recovery | Recovery software cannot guarantee that deleted data has not been overwritten. |
| OneDrive-synced folder or online-only file | Windows Recycle Bin for a locally available copy; also check the OneDrive website’s Recycle bin | Online-only deletions may not appear in the PC’s Recycle Bin. |
| Network share or cloud service other than OneDrive | Check the service’s own recycle bin or ask its administrator about backups | Windows File Recovery does not recover from cloud storage or network file shares. |
Do not create a new partition on the affected drive after data loss. If Windows is installed on the drive you are recovering from, Windows File Recovery needs a different drive for its output.

Restore a file without recovery software
Check the Windows Recycle Bin
- Open Recycle Bin from the desktop or Start menu.
- Find the file or folder. Select it, right-click, and choose Restore.
- Windows returns it to its original folder. If you do not know that location, search for the restored file by name.
Check OneDrive online
- Sign in to the OneDrive website with the same personal or work/school account that contained the file.
- Open Recycle bin, select the item, and choose Restore.
Microsoft says OneDrive items are retained for up to 30 days in personal accounts and up to 93 days in work or school accounts, unless an administrator changes the work or school retention setting. If the item was in Personal Vault, use the option to show Personal Vault items in the recycle bin. For files deleted from a shared SharePoint or work account, an administrator may control retention or recovery options.

Restore a previous version from a backup
File History can restore previous versions of files and folders that were included when it was set up. Open the folder that held the file, use File History to browse available versions, then restore the needed copy. Windows Backup or another backup may also have a copy. This works only if a suitable version was saved before deletion; a backup cannot recreate a version that never existed. See Microsoft’s File History guidance.

When OneDrive damage affects many files
Microsoft 365 subscribers can restore their whole OneDrive to a point within the previous 30 days. This is a broad rollback, not a single-file restore: activity on files and folders is rolled back, and items created after the selected restore point are sent to the OneDrive recycle bin. Microsoft says this method cannot restore an item permanently deleted from that recycle bin. Use it only when the wider rollback is appropriate; see Microsoft’s OneDrive restore instructions.
Recover permanently deleted local files with Windows File Recovery
Windows File Recovery is Microsoft’s free command-line app available from the Microsoft Store. It attempts to recover files from local internal drives, external drives, and USB devices after they are no longer available in the Recycle Bin. It does not support cloud storage or network shares. Microsoft documents Regular and Extensive modes; the appropriate mode and filters depend on the drive and file sought. Read the current Windows File Recovery instructions before running a command.

Prepare before running a recovery
- Use the computer as little as possible. Microsoft warns that ordinary computer activity can overwrite deleted-file space, and specifically notes that recovery may be harder on an SSD.
- Install or run the recovery tool with care; avoid saving new files to the affected drive.
- Choose a destination on a different physical drive from the source. If the PC has only one drive, connect a USB or external hard drive and use it as the destination.
- Do not create a new partition on the affected drive, which Microsoft says reduces the chance of successful recovery.
Run a Windows File Recovery command
The documented command format is:
winfr source-drive: destination-drive: [/mode] [/switches]
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesFor example, these Microsoft command patterns use C: as the source and E: as the separate destination:

- Recover a Documents folder in Regular mode:
Winfr C: E: /regular /n Users<username>Documents - Search for PDF and DOCX files in Regular mode:
Winfr C: E: /regular /n *.pdf /n *.docx - Search drive E: for filenames containing “invoice” in Extensive mode, saving results to C::
Winfr E: C: /extensive /n *invoice*
Replace <username> with the Windows account folder name. The source and destination must be different drives. Follow the prompt to continue the scan and review the recovered output on the destination drive. Recovery can take time. If Regular mode does not find the file and its type is supported, Microsoft advises trying Extensive mode. A scan is only an attempt: if the deleted data has been overwritten, the file may not be recoverable.
Why recovery can fail
- The file was overwritten. Deletion marks storage space as available; subsequent computer activity may reuse it. This risk is especially relevant on SSDs.
- The wrong location was searched. OneDrive online-only items and network files are not recovered by scanning a local disk with Windows File Recovery.
- No earlier copy exists. File History and backups can restore only versions they actually saved.
- The output drive is not separate. Writing recovered files to the source drive risks overwriting data that the scan might otherwise find.
- The scan settings do not match the case. Windows File Recovery mode and filename filters depend on the source drive and the file being sought.
Do not use System Restore to undelete one document
System Restore is intended to change system files and settings, not restore personal documents. Windows point-in-time restore is a broader rollback that can affect system files, apps, settings, and files, potentially losing changes made after the selected point. Microsoft says restore points are retained for up to 72 hours, subject to feature availability and configuration. It is not the normal first choice for recovering one deleted file; see Microsoft’s point-in-time restore guidance.
