Use your meeting platform’s built-in recording controls, tell participants what will be captured and who will receive it, then check the saved file’s permissions before sharing. Recording access depends on the platform, account, meeting type and administrator policy. An in-app notice is not necessarily enough to satisfy consent requirements that apply to your meeting.
Before you record: check access, purpose and notice
First decide whether a recording is necessary and what it should include. Depending on the platform and settings, it may capture audio, video, screen sharing, a transcript or captions, and possibly chat. Google Meet says recordings include the active speaker and presented material; chat may also be saved in some configurations (Google Meet recording guidance).

- Check eligibility. Recording may depend on your account edition, meeting type, administrator settings and assigned permissions. In Teams, both the organizer and the person starting the recording need the required permissions; Meet recording requires an eligible account and administrator enablement. Review your platform’s current controls before the meeting (Microsoft Teams recording policies; Google Meet recording guidance).
- Set the intended audience. Where the platform offers access choices before recording, select the smallest audience that fits the meeting. Remember that cloud-file permissions may affect access independently of meeting settings.
- Explain what is happening. Tell participants why you are recording, what may be captured, who will be able to view it and how long it will be kept. Ask for or obtain any permission required for the participants and context. Microsoft notes that permission may be needed depending on region; Zoom and Meet document participant prompts or notices in their recording flows (Microsoft Teams recording help; Zoom recording consent guidance; Google Meet recording guidance).
Recording laws vary by participant location and circumstances. Do not treat the software’s notification as universal legal consent; check the requirements and organizational policy that apply to your meeting.

Microsoft Teams
- Join the meeting and open More actions > Record and transcribe > Start recording.
- Confirm the start if prompted. Teams says participants are automatically notified when recording begins, and only one person can record at a time.
- To end it, open the same menu and choose Stop recording. If transcription is running, stop it separately when appropriate.
These are Teams’ documented controls; Zoom and Meet use different controls, and labels or availability can vary with app version, account, meeting type and administrator policy (Microsoft Teams recording help).

Zoom and Google Meet
Use the recording control in the meeting app and follow its participant notice or consent prompt. Zoom documents that participants may be prompted to consent or leave when recording starts, and that desktop or mobile version requirements apply. Meet notifies participants when recording starts or stops. Check the platform’s guidance and your administrator’s settings if the control is missing (Zoom recording consent guidance; Google Meet recording guidance).
Where the recording is stored
Cloud recordings are files in a storage service, so the place they are saved affects who can manage and share them. The documented storage locations differ by platform and meeting type:
Rank #2

| Platform | Recording location | Important access point |
|---|---|---|
| Microsoft Teams | OneDrive or SharePoint, depending on meeting type. | File-level permissions or link sharing can change whether the original meeting-level access setting still applies (Microsoft access guidance; Teams recording policies). |
| Zoom | Cloud recording storage. | Hosts can require sign-in, restrict access to a specified domain, or share with selected people (Zoom authentication for cloud recordings). |
| Google Meet | The meeting organizer’s Google Drive. | Manage access through Drive sharing; calendar or event behavior may also affect access (Google Meet recording guidance). |
How to share the recording securely
- Wait for processing, then locate the file. Find it in the platform’s designated storage: Teams recordings go to OneDrive or SharePoint according to meeting type, while Meet recordings are saved in the organizer’s Drive.
- Grant access to the smallest suitable audience. Prefer named recipients or an authenticated, limited group rather than a public or broadly accessible link. Zoom’s cloud recording controls can require sign-in, limit access by domain and allow sharing with specific people (Zoom authentication for cloud recordings).
- Check the file’s own permissions. After sharing, confirm who can view or download it in the underlying storage service. Teams cautions that changing permissions in SharePoint or sharing a recording link can mean the original meeting-level access setting no longer applies (Microsoft access guidance).
- Handle external viewers deliberately. Do not assume guests or external attendees can open a meeting recording automatically. Teams says guests and external attendees need explicit sharing for access in the documented workflow. Confirm external access is authorized before granting it (Microsoft Teams recording help).
- Set retention and remove unneeded copies. Follow your organization’s retention schedule and remove the recording when it is no longer needed if policy permits. Account for transcripts and associated chat as retained information too.
Retention and privacy after sharing
Keep recordings, transcripts and related chat only as long as they are needed and allowed by the applicable policy. The University of British Columbia’s October 2025 institutional guideline says, in its own context, “Microsoft Teams and Zoom retain recordings for 12 months by default.” That is a UBC-specific statement, not a universal platform default. The guideline also recommends need-to-know access, controlled external sharing, reviewing transcripts and summaries before relying on them, and following institutional retention schedules (UBC PIA Guidelines: Meeting Recording, Transcription and Assistant Tools, October 2025).
