When business reports show different numbers, first check whether they measure the same thing on the same basis. Differences can reflect a genuine error, a valid difference in scope or timing, an explained adjustment, or an issue that remains unresolved. Reconcile the definition, dates, population, source data, and calculations before deciding which figure to use.
Why can two business reports show different numbers?
A matching label does not guarantee a matching measure. One report may cover a different period, business unit, population, accounting basis, currency, or set of filters. A number may also differ because of missing or duplicated records, changed mappings, a formula error, or a presentation mistake.

Start by treating the difference as a question to investigate—not as proof that one report is wrong. The comparison axes below help establish whether the figures are genuinely comparable.

| Meaning | Do the labels use the same business definition and calculation? |
| Time | Are the start and end dates, fiscal calendar, as-of date, event date, and data cutoff the same? |
| Scope | Do the reports include the same entities, locations, products, accounts, population, and exclusions? |
| Basis | Do they use the same accounting or measurement policy, gross-versus-net treatment, and recognition rules? |
| Units | Are currency, scale, unit, precision, and conversion factors consistent? |
| Data lineage | Do they draw from the same source system, extraction, version, mappings, and transformation steps? |
| Completeness | Are missing, duplicated, late-arriving, or invalid records handled the same way? |
| Presentation | Do aggregation, rounding, filters, and narrative context match? |
| History | Did a definition or method change, and were prior periods restated or the change explained? |
For example, SEC staff has described filing errors caused by stale context dates, incorrect comparative years, calendar year-end dates used for non-calendar fiscal years, and incorrect event or measurement dates. A date that looks plausible can still make a comparison invalid. SEC staff guidance on non-GAAP financial measures discusses these filing and presentation issues.

How to reconcile the figures step by step
1. Define the measure and why it matters
Write down what the number represents, who relies on it, and what decision it supports. Establish the business definition and the rule for what counts as a valid record. The UK Government’s Government Data Quality Framework recommends understanding a data asset’s purpose and defining what good-quality data means for that purpose.
2. Align the comparison basis
Compare the definitions and every relevant axis in the table: period, cutoff, entities, population, measurement basis, units, filters, missing-value treatment, and formula. Record differences rather than silently assuming they do not matter. If the reports are intended to answer different questions, their figures may both be valid.
3. Trace both figures to their source data
For each report, record the originating system or document, extraction time, included records, mappings, and transformations. Then compare the underlying inputs, processing, and final presentation in turn. The UK Department for Education’s data-quality framework for statistics describes checks across those stages.

For a financial report, a relevant check may be comparison with general-ledger data or a trial balance. Microsoft’s product-specific guidance on troubleshooting financial reporting in Dynamics 365 Business Central explains how to balance reports to the general ledger.

4. Check for mechanical faults
Look for omitted or duplicated accounts or records, changed mappings, incorrect filters, arithmetic or aggregation errors, and inconsistent report definitions. Microsoft identifies several Business Central-specific examples: a newly added general-ledger account may be absent from financial reporting, an account may be omitted from a totaling definition, or an account may appear multiple times. The same page describes adding a validation figure designed to calculate to zero as a way to expose report-design errors.
More generally, the Department for Education guidance recommends checks for missing and duplicated data, valid ranges, calculations, and internal consistency. A sensible investigation checks the source and the logic before changing the displayed total.
5. Recalculate important totals and test the report
Independently recalculate material totals and compare relevant amounts and wording with the financial report or other authoritative source. In the Australian auditing standard ASA 720, the auditor compares information intended to agree with a financial report against that report; if management provides a reconciliation, the auditor compares its items and checks its arithmetic. This is an audit responsibility under that Australian standard, not a universal procedure mandate for every business.

6. Explain the residual difference
For each remaining variance, identify the records, account, timing, definition, or transformation that explains it. Classify the outcome as a correction needed, a valid difference in scope or measurement, an explained adjustment, or unresolved pending evidence. Do not force a difference to zero if the reports are meant to measure different things.

For U.S. public-company non-GAAP financial measures, SEC staff guidance calls for reconciliation to the most directly comparable GAAP measure with enough detail for readers to understand the reconciling items. It also cautions against presenting a non-GAAP measure more prominently than its comparable GAAP measure. These points apply to the relevant SEC context; they are not rules for every internal business report.
7. Correct the cause and preserve the history
When practical, fix a repeatable cause in the upstream data or process rather than patching only one report. In a 2021 discussion of UK financial-sector data collection, the Bank of England reported that participating firms checked and fixed issues at both input and output layers, and described difficulties keeping related data consistent across multiple reports. That account describes those participants’ experience, not a prevalence estimate for all businesses.
Document the change, owner, reason, effective date, affected reports, and any historical restatement or explanatory note. GRI 1: Foundation 2021 advises providing restated historical information after applicable changes or explaining the changes when restatements are not provided. Its comparability guidance also addresses consistent measurement methods, assumptions, and context for differences. Check which GRI edition applies before making a compliance claim.
8. Add a control to catch the same issue again
For recurring reports, make the data rules, owner, thresholds, change control, and sign-off explicit. The Government Data Quality Framework recommends quality rules, targets, performance bands, prioritization, and action on root causes. The Department for Education framework also treats planning, automation, documentation, and change management as quality enablers.

How should you choose which number to use?
Choose the benchmark that fits the measure’s purpose and intended date and population, follows the applicable reporting basis, and comes from a reliable, controlled process. Do not pick the figure simply because it is newer, larger, or more convenient. If neither report has a clearly superior basis or source, document the unresolved variance and seek the evidence or review needed to decide.
PCAOB AU 329.16 lists considerations for assessing data reliability, including source independence, reliable systems and controls, audit testing, and the use of varied sources. The cited PCAOB page labels this text as legacy and links to a current version, so it should not be treated as current audit-standard guidance without checking the applicable standard. This workflow is general operational guidance. Financial, regulatory, statistical, and sustainability disclosures may have jurisdiction- and framework-specific requirements. The SEC guidance above applies to its U.S. non-GAAP context; ASA 720 is an Australian auditing standard; and GRI 1 concerns sustainability reporting.
For sustainability reporting, GRI 1: Foundation 2021 states: “The organization shall select, compile, and report information consistently to enable an analysis of changes in the organization’s impacts over time and an analysis of these impacts relative to those of other organizations.” That standard also discusses consistency in methods and assumptions, explaining differences, and restating or explaining changed historical data. Confirm the applicable edition and reporting requirements before relying on it for compliance. GRI standards and standards development.

What to record in a reconciliation
A useful reconciliation lets another person understand what was compared, why the figures differ, and what decision followed. Retain a concise record with:
- The report names, versions, dates, owners, and intended purposes.
- The definitions, periods, populations, units, filters, and measurement bases used.
- The source systems or documents, extraction times, mappings, and transformations.
- The variance and the records, accounts, or calculations that explain it.
- The conclusion: correction, valid difference, explained adjustment, or unresolved issue.
- The approved benchmark, responsible owner, effective date, and any restatement or explanatory note.
- The control or process change intended to prevent recurrence.
These details make it possible to distinguish a true error from a legitimate difference and preserve context if definitions or methods change later.
