A familiar logo, display name, or convincing story does not prove a message is genuine. Warning signs are clues, not a perfect test; verify any plausible request through a contact method you already know is legitimate.
How to recognize a possible phishing email
Phishing messages try to persuade you to disclose information, open harmful content, or take an action that benefits the sender. Scammers can imitate a colleague, vendor, or institution, and targeted messages may use details that make them feel familiar. Judge the request and verify it independently rather than trusting how polished the email looks. NIST and the FTC describe common indicators in their guidance on phishing and recognizing and avoiding phishing scams.

- Unexpected urgency: The message pressures you to act immediately because of an account problem, payment deadline, or other claimed emergency.
- A request for sensitive information: It asks for a password, account details, personal information, or confidential work records.
- An unexpected link or attachment: It tells you to click, download, or open something you were not expecting.
- A suspicious sender or unusual request: The sender address or requested action does not fit what you know about the person or organization. A display name alone is not reliable proof of identity.
These signs justify caution, but none is a definitive test: legitimate messages can be unusual, and malicious ones can look professional. Do not click or open something just to investigate whether it is safe.
How to verify a request safely
Contact the purported colleague, vendor, or institution using a phone number, website, or other contact method you already know is genuine. Do not reply to the suspicious email or rely on its links, phone numbers, or reply details to confirm the request. For requests involving money, credentials, or sensitive records, use your organization’s independent verification policy if it has one.

How to report a suspicious work email
- Pause: Do not click, download, reply, or enter credentials while assessing the message.
- Use your employer’s approved route: Select the organization’s report-phishing control, if available, or contact its designated IT/security team. The exact route depends on your employer and email system; there is no universal internal reporting address.
- Follow instructions for the message: Your organization may tell you to leave it in place, forward it internally, or preserve it another way. Follow local directions rather than forwarding a work message externally or deleting it without guidance.
- Verify separately if the request may be genuine: Contact the supposed sender through a known, independent channel.
The FTC lists forwarding phishing email to the Anti-Phishing Working Group and reporting scams to the FTC as public reporting options. Those options do not replace notifying your employer when a work account or organization may be affected. Follow company policy before sending any work email outside the organization. See the FTC’s phishing guidance.
What to do if you clicked, opened, or replied
Tell IT/security promptly and accurately describe what happened. Say whether you clicked a link, opened an attachment, entered credentials, replied, or sent information. Early, accurate reporting gives the organization a chance to assess and contain possible exposure; do not hide a mistake.

Follow your employer’s incident procedure and coordinate containment with IT/security rather than improvising steps that could disrupt a response. FTC business guidance advises immediately changing compromised passwords and disconnecting a device suspected of malware infection from the network. Work with your organization on how and when to take those actions. The FTC’s Cybersecurity for Small Business guidance discusses response steps.

What employers should make clear to staff
Organizations should teach employees both how to recognize suspicious messages and how to report them, establish independent verification for sensitive requests, and make escalation routes easy to find. A reporting process should explain what employees should do with the message and whom to contact if they have already interacted with it.
Phishing simulations can support awareness training, but a single click rate or score does not establish overall readiness. NIST’s NIST Phish Scale User Guide, published November 15, 2023, describes a method for rating how difficult simulated phishing emails are for people to detect. It is an additional assessment method, not a measure of every part of a training program. The FTC’s small-business cybersecurity guidance names Microsoft and KnowBe4 as examples of providers offering free phishing simulators.
